When to contact concierge

We have 2 upcoming trips and will be staying in concierge rooms for both, (for the first time!), GF concierge in May and June and AKL concierge in June. When should we hear from concierge for these trips? Or should we contact them ourselves? If so, how do we do that, e-mail, fax, phone? Though we plan to make most PSs ourselves, the May trip is with a large group and it would be great to have them help out with booking certain events. If we should or can contact concierge on our own, does anyone have the e-mail addresses or phone numbers for GF or AKL concierge?

I have (had, I just modified to standard), an AKL concierge ressie for July, and I e-mailed them just recently, only because I was so excited and couldn't wait. They e-mailed me back, and sent me the forms and info about all the offerings.

I've read that concierge contacts guests 90 days ahead of time, in order to get the ressies done, but it can't hurt to do it now if you can't wait! They were nice enough to go along with my premature enthusiasm!

We are staying at the Poly in (Not sure check our countdown - think it is about 104 days or so (April 26 we arrive) and concierge called us last sunday and we received a planning itinerary the next day. So I would think if you haven't heard from them say at least 100 days before you go I would call them!

You have me abit concerned, staying at GF concierge 5 nights at end of Feb. and have heard nothing since our confirmation slip. Should I ring GF direct do you think?
