Hun! I know EXACTLY what you are talking about!!!
Unfortunantly apathy is too widespread in schools today. I didn't even have a volunteer coordinator at the time of our carnival. The principal asked me to take on that job too but I told her that I had already maxed out my salary potential in the school.
I had a terrible time filling spots BUT it was much worse when people who had signed up didn't show up.
If you are going to sign up but not show up why even waste your time filling out the form?!?!?! OY! I could go on & on about that.
We offered volunteers a ticket for a free meal (slice of pizza, cup of soda, chips). They got it when they showed up & picked up their packet with nametag. One thing that we are going to do differently next year is send the slip for the meal home with the info in a letter beforehand BUT make them validate it when they report to their station.
I only had 3 other people to help me set up the decorations & everything else that day. Thankfully the principal & cafeteria manager agreed to have the kids take their lunches back to the classrooms that day so that we could start setting up the cafeteria right away. I was hanging decorations for two weeks before that. We had an auctions too. Thankfully that isn't until next October for me again. I hope that everything comes together & you have a great turnout. The most important thing is that the kids have fun!
Try to remember that.
Do you have a military base nearby? They have a rental place at ours & we rented the moonwalk very cheaply ($75 I think it was) and several other game set ups too. DH works for the government so we could do this but there should be someone in the school who would arrange this for next time.
