UPDATED: 3/19/03! A Bit of a RANT -or- How Our Band Got The Shaft!

UPDATE 3/19/03: Everyone has been so supportive and wished us well--I thought I'd give you an update of sorts. I've been on the phone A WHOLE LOT today and haven't even had a chance to check on AP rates for our June trip--hope those didn't pop up while I've been otherwise occupied!

Anyway--WDW has room available for our group at ASMu for our revised dates (our actual spring break time). We have been able to contract with a company for a bus large enough to haul our band AND instruments to WDW. All of the above is falling in nicely with our budget too!

Unfortunately, our band director submitted our application to perform the related documents YESTERDAY instead of last week as we had thought. Further, she didn't directly submit them to WDW but instead mailed them overnight to the possible TA she thought of hiring (before she put her faith and trust in my husband and I--hope it's not misplaced). So, the TA is just today mailing that stuff to WDW. We can't be considered for the clinic OR performance until WDW MMDE (Magic Music Days Entertainment) receives AND approves our application and performance. Our prior performance stuff was to have been submitted a year ago by the OTHER director who put us in this predicament and we have since found out he didn't even do it!

WDW MMDE encouraged me to get this stuff to them overnight today and was hopeful that because of some cancellations they would at least be able to get us into a clinic--possibly a performance. Time is not on our side since we are a mere 13 days from our proposed arrival date. Until we receive a confirmation about clinic/performance acceptance we can't purchase our tickets because there is an additional fee associated with the MMD hoppers--the clinic is an additional charge of around $20 per child. Still, we have a rough idea of what it will cost and we can use that for planning purposes.

We have managed to make this gig come in less than the cost provided us by the TA because I booked the room for the bus driver (knocked off around $500), the bus we found is less costly than the TA option, we're staying on property and won't need the bus/driver to take us to and from parks each day, and we opted out of the Medieval Dinner--more time for the kids in the park.

We also found out that our son and my husband need not purchase the hoppers with the rest of the group since they have PAP. Further that despite what the TA told my husband, my son can and will be permitted to attend the clinic and perform without purchasing those hoppers. We will simply pay a $20 fee to WDW to cover the cost of the clinic (t-shirt/pin included) and--fingers crossed--performance!

On the major downside--the war could put the kabosh on all of our last ditch efforts. Our board had originally said we would go regardless (this trip was already cancelled because of 9/11/01 and this is our rescheduled trip)--BUT, apparently there's been some sort of a fuss raised by members of the school board and a meeting will be going ahead on this matter tomorrow. The superintendent listened to our thoughts about it (we say go for it--life doesn't stop at home because of the war. . .we didn't stop for WWII, Korea, Vietnam, the Gulf War, etc., etc., . . .), yet we realize that we are only two parents in this group and understand the good of the many philosophy. . .

So. . .that's where we're at folks--thanks for the happy thoughts--we're trying to remain optimistic that we'll get the official okie dokie tomorrow a.m. (or more to the point that our prior permission won't be rescinded). At least it looks like we've got a viable plan in the works--we may not get to perform or go to the clinic--but there's a World of Music at WDW to take in and things to be learned from that too! Besides, the kids will just flat out have a good time and some may never get the opportunity again!

I won't go into the gory details, but the highlights are that our band was to be in WDW on during part of its spring break into the following week. We were to be going with another band whose director had "allegedly" arranged EVERYTHING. My husband (a chaperone) and another parent (both familiar with WDW) have been questioning the "arrangements" for the past 9 months and have received minimal information--actually nothing more than a 4 line itinerary.

Last night my husband attends a band meeting wherein everyone is advised the other band is not going and cancelled all the reservations WITHOUT TELLING US! Our band director found out this weekend. Our band kids were supposed to be taking this trip last year, but the board denied permission post-9/11. This year was to be the postponed trip.

So as of today (with about 15 days left until our originally planned dates) we have NO transportation, NO hotel, NO passes, NO reservation for Magic Music Days marching, and NO reservation for the MMD clinic at WDW!!!! We are pretty ticked about this whole thing because we kept telling our Director that the other band director was yanking us big time! She thought the sun rose and set upon this guy and "he has been doing this for 20 years [arranging Disney trips]" so he had MUCH more experience than us.

Our band, because it was going with the other, was going to miss 3 days of school because the spring breaks were different and, of course, we had to go on the other band's schedule. The guy wouldn't book at Disney--too expensive and he could get a better deal (he/wife are part-time TAs)!

Well, we did some checking way back when {when we surmised we were being led down a path} and found it was less expensive to stay on property with UPH than the "deal" he had arranged! My husband is on the phone as I type trying to put together a package (bus transportation, hotel, passes, MMD clinic res, etc.) that will fall within the budget previously planned. So far, the bus is less expensive! :D

Send some Pixie Dust our way that we can fulfill this dream for the kids! I just hate it when adults let the kids down and I'm sending some evil glares to the directory who "has been doing this for 20 years". There's no way our kids are going to get to march at WDW as originally planned--the guy NEVER sent the required videotape, audition application, etc. and now we've not made the 2 month prior deadline--GRRRRRR! Hopefully they will get to do the clinic and have a terrific spring break trip that they've all worked hard to accomplish!

Think those happy thoughts for our kids! We should know if we can pull this off soon!
 
I am so sorry, what a position that other person put you in. I hope that these kids get to go on their trip.
 
Wow! What a bummer...but huge kudos to you and your DH for taking the bull by the horns and trying to make this trip happen for the kids...sending some pixie dust your way and hoping it all works out well! Please let us know what happens...
 
The responsible party here is YOUR Band Director. I would strongly recommend speaking to his/her supervisor about this. He/She is the one responsible for kids on a field trip like this and that responsiblity appears to have been dropped!
 

Oh, I hope that things can be arranged. You are going to have some mighty unhappy teenagers if not.

I agree with Carol that you should arrange to speak with the band director's supervisor!
 
We are a bit older (and wiser I daresay--maybe cynical is a more appropriate label) and just didn't get warm fuzzy feelings from our Band Director's "experienced friend". (In fact, the other director was HER director in high school.) Our director's greatest mistake is her misplaced loyalty to this other fellow--that and blind trust coupled with an inability to organize out of a paper bag! Don't get me wrong, we like this woman--we truly do--it's just we have been a bit frustrated with the misplaced loyalty thing--her job is to do her best for HER band.

I wholeheartedly agree CarolA--it is her job and she was trying to make arrangements (she submitted our audition tape overnight delivery this weekend even though it's most likely going to be rejected) BUt she's never been to WDW and doesn't have a clue where to begin. We decided it's not about her now, it's about the kids and we want things to happen for them despite the failings of the adults in their lives! I just wish she had taken us up on our offer OVER a year ago--we offered to take the planning burden off of her shoulders and do it when the first trip was cancelled. She just had too much faith in this other guy. . .after all, he's the "expert"! ;)

We're still trying to get in touch with the group sales office to see what, if anything we can arrange. The bus is going to be less expensive AND we can change our trip dates to fit OUR spring break. We have nearly enough people to fill the bus (3 extra seats left--any takers?) ;)

How disappointing for the students as well as the parents. :(

Did your husband check into the Swan or Dolphin? I got an email about $139 rates there. (I hope that's ok to say...)

How awful for your kids. Having 2 girls who went to Disney with their bands, I know how much they were looking forward to it. I'm thinking good thoughts covered with pixie dust for you and your husband that you can get this trip to go. Best of luck to you.
 
Good for you to help the kids out. Keep us posted. And as soon as you said that he was her highschool band director, it all come into light. Did you ever play in a HS band? I can tell you that for the most part Directors have a very special place in kids hearts, especially the kids that are really into band. And I am not surprised at all that she has this loyalty to him. Is it right? Absolutely not, because she has hurt her own kids, and as someone already posted she should be loyal to her kids. Maybe now she will see the light, but I bet underneath she will still be very loyal to her mentor.
 
I just deleted a rant about your band director. I'll just say I would be ticked, if I was one of the kids, if I was one of the parents, if I were you.

I understand your frustration. We took DSs band in 1994, they did a sit down and marched in the Studios. It was not part of Magic Music Days, and it was very poorly organized. Our director just put everything in the hands of the company that sells the trips. Everything was out of pocket, it seemed. They put the kids in a HoJo in Kisseme, 4 to a room, gave them 2 one day, one park tickets, no meals, but the bus was included. I volunteered to chaparone, but "wasn't needed". Ha ha, I stayed on site, had hopper passes, watched the competitions, but didn't have to do the work. The chaparones didn't enjoy it, there were not enough of them, and our kids were pretty well behaved. That was a lesson for them, more chaparones, even if you need an extra bus.

Best of luck getting it together. Your booster organization has learned a sad lesson, but I hope it turns out that the kids get to go and enjoy.

I would off to come in the bus, but you are toooooo far away, LOL.

Have you spoken to the most high up person in charge of this event. Sometimes miracles can happen and things can be changed to allow for mistakes. Explain the gory details and perhaps even send a copy of the original contract/paperwork the kids had received so he can see that the kids really believed they were playing.
I am assuming that the band has the funds and has done the practice/routine.

This is horrible! I hope you can get everything arranged so the kids can go. My brother is a band director and they are leaving tomorrow morning for their trip. He goes every other year.

Good luck. I feel for the kids and I'm so glad you are working hard to make it good for them. Let us know how this turns out.
 
Group sales is putting together some figures--there is availability! ALSO--major pixie action here--he may be able to get the kids a chance to march! Woohoo! Our break dates will work, too!

I know what you mean about the "out of pockets". The plan we had included a hotel room at a Ramada (who knows where??), 4 to a room, 4 one day, one park passes (that we could not upgrade so we wanted them deducted from the cost), 1 pass to TL, a res at the MMD clinic, a res at the dinner show with jousting (why we'd want to do that I'm not sure?), the bus transportation and that's it! Our band was going to supply the kids with $25 per day for meals and anything over and above that they were on their own.

I've never been in band--couldn't play an instrument, although I can read music, does that count. My husband is the band guy and both kids play, too. I'm musically challenged I guess. I do understand what you're saying about the loyalty thing--my daughter wants to be a band director someday--I just hope she doesn't follow in the footsteps of her now band director! I really shouldn't worry--she has a very anal parent and has learned organizational skills! :D

Things are looking brighter. . .I'll update later when the quote comes through! If it's as it was before--it should work fine since the price was a bit less than the original plan. I guess it's a mixed blessing--travel must be way down to have availability during this time frame AND be able to get a bus in a flash. :confused:
 
Our kids were ready to go and we, parents, students, and director, thought things were a go until Saturday! We have the money, deposits and final payments were paid to the band by all students/chaperones. Our final payment was due to the original TA arranging the deal this Friday (3/21). We are just SHOCKED that it was all cancelled without our knowledge. . .this guy must be some piece of work. . .

Tess, good for you to prove your "expert" status to the band director. You can be the parent that all future trips are compared to... "Tess got us this price."... "Tess got us on property."... "Tess got us these perks."...

Good luck. It sounds like you're turning very sour lemons into perfect lemonade.
 
Tess-The band does have all the $$ right? This other director didn't make it disappear too? Sounds like things might just work out great. A little more pixie dust coming your way..........
 
I'm so sorry! My DS is in our high school band and I know how disappointing this would be for them. I sure hope something can be worked out. Good luck. They are lucky to have you there to help!!!
