I phoned to add a request to my reservation at the BWI, the CM added it no problem and then told me my reservation had a freeze on it. Huh? He had no clue what that meant.
Has anyone ever experience this? I did ask for no smoking for medical reasons, could that the reason? hmmmmm.

call back- if it still is frozen, ask to speak to a supervisor....someone has to know why.....

This may not be your problem, but if you originally made the reservation through a travel agent or made it yourself but then turned it over to a travel agent, it is considered "their" (the travel agent's) reservation, not yours. You have to get your agent to add things or make any changes for you, disney will not allow you to do these things yourself. I found this one out the hard way a few years ago.

I never use a travel agent, I have to be in complete control of my reservation.;) I think I will call later this morning, just to inquire. I'm sure all is well, just a little strange.

Hi, your ressie may be under the special reservations area ask to speak to them. Sometimes when you make a medical request thats where it goes and no one can touch it but them hope this helps Jill

I had a feeling it had to do with the non-smoking room. It was requested for medical reasons. Disney is so wonderful about things like that.:D

yes, that is most likely the case.

i have a guaranteed non-smoking room too with special instructions on cleaning supplies due to asthma/allergies and it is booked through Special needs and CRO cannot touch or change it; they have to get Special Needs on the line and have them do so.

this is why i didn't bother dropping our room rate by 5 dollars a night with the AP discount, cause it would have been more trouble than it's worth to me, and i didn't want them to risk messing up the way it's set up now which is perfect.

good luck!

How would one go about making a Special Needs reservation? I also have severe allergies/asthma & cannot tolerate any smoke. While this has not been a problem to date, we are planning a trip Nov/Dec 2005 & will be arriving the Saturday after Thanksgiving. So I've been concerned about room availability. I'm also insulin dependent diabetic so must have a fridge. Does anyone know if it's possible to reserve more than one room this way? A number of our family members are asthmatic. I've never heard about these reservations, so would appreciate any information.

Thanks!!!

If you make arrangements thru Special Reservations (the number for Special Needs), they lock them so that only Special Reservations can make changes to them. That way, no regular CM will delete something that is needed.
Here's the phone number for WDW Resorts Special Reservations:
(407) 939-7807 [voice] or (407) 939-7670 [TTY]

Reservations made by DVC members on points do not use the Special Reservations numbers. Member Services takes care of special needs for DVC.

Thank you Sue for posting that number! when I called and told the woman about my asthma/allergies and such she was very kind and called them for me and made the ressie, but its good to know that they have a direct line!

You da woman, Sue! LOL :flower2:

THANKS SueM in MN for the phone number! I can't take a chance on either being in/near smoke or being without the fridge for my insulin. Either would be a disaster. I hadn't really worried until recently someone posted that they stayed at POR & were unable to get a fridge for the duration of their stay. I had never even entertained the idea. Disney has been very accomodating with my diabetes. Thanks again!!

A reservation being 'frozen' has nothing to do with special requests.

Sometimes when they are in a reservation, making changes or searching for rates, the reservation locks up or freezes.

Its just a matter of waiting an hour or so for it to "thaw'.

Glad to help with the number. DO still mention your special needs when you get there to make sure they have been met (also check your bill at the end to make sure that the refrigerator you need for medication was not charged for).

They may not use the term "frozen" for Special needs requests, but I have been told (by posters and CMs) that most Special Needs requests/reservations made with the assistance of the Special Reservations CMs are "locked" so that the special needs information can't be deleted or changed by mistake.

Sue, would you have any suggestions for me? My mother has congestive heart failure, so walking far is a big issue for her. She doesn't like using a wheel chair all the time (in parks it's almost a must), Esp at the resort. When we did our last land/sea package trip through a travel agent (I never use one, mom does) I suggested a couple of buildings that would be better for mom so she wouldn't have to walk so far to the restaurants, lobby etc. (This was at the Poly) supposedly the TA was supposed to inform them about her problem but they didn't address it and we were far out. They had nothing closer and everything that WAS avail. was even further away. Next June we are doing another land/sea and staying at the CB. I know when we stayed there years ago it was probably as far away from the food court etc there as we could get. I want to tell the TA again about last years room problem, but will she have to handle all this herself, or would it help if I called a few days before our arrival?

Sorry, I can't give you a lot of advice about this. We use a travel agent for our flights, but not for room reservations where ever we go. Most travel agents don't really k now how to deal with special needs and don't realize how important they are to some people. We've had travel agents tell us that airline seating for people with special needs is always arranged at check in, when right on the airline website, it says seat assignments for people with special needs can be made at the time the tickets are bought!

I don't know if travel agents use the Special Reservations number or not. I'm also not sure if you can call the resort yourself for a travel agent reservation to make sure you get what you need.
I'd suggest telling the Travel Agent about the problems you had last time, making a list of exactly what you need. I suppose you could call the Special Reservations number to ask them how to deal with a Travel Agent reservation.
Another thing you might want to look into is whether your mom would consider using an ecv (electric mobility scooter). A lot of people don't want to use a wheelchair because it makes them dependent on someone else pushing them. They feel like they are a bother to others. With an ecv, she would be able to conserve her energy, maintain her independence and not feel like she is inconveniencing anyone or holding the group back.
If you want more info on ecvs, follow the link in my signature to the disABILITIES Board. We've got a lot of people who were relucatnt to use an ecv at first, but realize it is the best decision they made.

more on freezes... I called two weeks ago to add one day to our stay at AKL. The CRO rep told me it was frozen. He'd put me on hold to find out why.

He came back a few minutes later and asked me how I spelled my name... I said, "now that your mention it, that's a sore point with me..." and spelled it for him. He said that's what he thought and put me on hold.

Another minute or so he was back and said they were cleaning their records and noted that I was in their system several ways. With that fixed, the ressie was freed.

Funny thing though... I've been getting the how'd-it-go postcards every time I talk to CRO for the last year (one trip last October, one coming in December). This last one I used the comment section to wail about the fact that no matter who I speak to or how many times I spell my name, the confirm is always wrong. I told them this was a little thing that signals that they're not listening. The survey is clear that no one will get in touch with you, but I have to wonder if they connected my response back to my reservation and froze it.

Don't get me wrong, I don't usually get picky, but after 12 years and countless mentions that my name is spelled incorrectly I must have snapped.
