All of my guest said that they r waiting until after X-mas 2 book their rooms :confused3 so as of now i only have 6 nites :sad2: i need to fill at least 38 rm nites... Im glad ur not going thru what im going thru in that area... i have 2 look at the bright side, i can at least ask the ladies on the disboards 2 fill rm nites ;) they r at least booking their transportation early..Everything is looking good :thumbsup2

Ugh we can't, I tried already. hahaha We are using the chivari chairs for the reception and apparently they will sink into the sand, so we need the folding chairs for the beach. And I don't really prefer the folding chairs for the look of the reception. foiled. Thanks though that would have been great! :cutie:

Alrighty everyone, so I was having a great day when I saw the updated floral BEO this morning and now I am stressed. I decided to sit down and now see what "my edition" of the BEO adds up to, so I can be prepared when talking to Maxine on Thursday.

To add to my stress, my mom is stressing to me she is sticking to 20k and we can't go over it. Soo I am struggling to get there. I could take out the DP, but I really don't want to.

With that, I have a few questions and need some help!

1. For cocktail hour/pre-reception. Right now we have everything listed as 65 adults and 15 children. The children in this case are all under the age of 3 except for DF's niece (my jr bm) who is 12. I am taking out the children's meals as they can all eat off of their parents. How does this work for cocktail hour. Do we have to include them in the per person? Right now Maxine has pre-reception for 80. Is it feasible for me to change this in "my edition" to 65?

2. Cake. Can I also request the cake is per adult and not include the children? I don't want to start to get petty and have Maxine roll her eyes at me, but is this reasonable? Our cake right now is for 100 people and around $1300, because we are taking the top tier for our anniversary. I am debating not taking the top layer and making it for 80 people, or having them make it smaller and not serve the kids. (bring it down to 1065 for 80 people)

3. Is it terrible to not give people a choice for dinner? Right now we are offering beef and chicken, with a veg option (we are using penne alla vodka as a full meal and also as our starter). Apparently most people choose the beef just because they aren't paying, and if we don't give people an option and everyone gets chicken (or options are chicken or pasta), it would bring our cost down significantly. Thoughts? Not sure how DF will feel on this either but he's not home from work yet and my mind is racing.

4. Is Disney weird about kids sharing off plates, ie the kids eating off their parents? I feel like I already asked this and now can't remember. I think we said they didn't care. Just making sure again they won't charge some sort of weird plate sharing fee. I wouldn't think that was very "Disney like" but who knows.

5. For those that have had DP's, is it feasible to have it very basic, ie maybe just an ice cream bar or an ice cream cart for people to grab pops, say for $15pp maybe? The lowest menu Maxine gave me is $23/person, and it gives like 10 different desserts, plus coffee and tea. 30 of us are coming from 'Ohana and are going to be stuffed. I just cant justify having all that food there. We're going to do a cash bar for sure to save funds, and I think bringing everyone into the park for fireworks is going to be amazing in itself. Really I'm trying to get the most experience I can for the 20k my mom is sticking me to, clearly. :goodvibes

Cake: well, kids are going to want cake and I think it would be kinda weird to not offer them cake but that is your choice. You could always offer it to only adults and have children eat from their parents. Is cake served? Or do they do it buffet style? Really, the cake price may be based on 100 people b/c at least 100 people will eat it...but if they serve it buffett style which I have seen most of the time, anyone can have as much as they want...Again, I can't answer this..I am really not helping you much. I would def make it smaller to save some money. A lot of people don't even eat cake. Keep the top tier, I think you'd regert it if you didn't.

Of all of the weddings I have been to most of them were buffet but of the sit down weddings a few of them just gave us one thing and offered a vegetarian option (I think this is a must). Even the buffets offer few choices. Offering chicken and pasta is a great idea in my opinion. Skip the beef. I just went to a wedding last weekend and all they had was noodles, two types of sauce (alfredo and tomato), and salad...it was probably the worst wedding meal I have ever had and also blatently obvious that they didn't want to spend money on food. Not a single bit of meat in sight...I am not picky at all but this was just in poor taste. My fiance and I spent a total of 8 hours driving to and from the wedding, had to pay for a hotel, and spent $100 in expenses on top of the hotel and they served us pasta...lol...the wedding only lasted 3 hours too. It wasn't what you hope for in a wedding. Anyway I have gotten off topic. That little story may not make you want to skip the beef but my point is that people have done MUCH worse than what you are doing... you are still having a cocktail hour, two options, and cake...it's great and perfect, and more than generous, don't worry.

I am pretty sure they don't care and also what are they going to do? Monitor you? Video tape you? I doubt it. You're paying 20k for a wedding that could cost half the price anywhere else, they can let the kids eat of their parents plate.

I think a simle ice cream party is a wonderful idea...it's a DP, and you can have as little or as much as you want. And since a lot of you are coming from Ohana then you just won't need that much. Pick something that costs less and it will still be an amazing experience.

Only other thing I wanted to say is that nobody should be rolling their eyes at you (I know you said Maxine might if you talk about petty stuff)...you're paying big bucks for a wedding and this is Disney we're talking about...she can suck it up and smile and listen to every petty request you have. It's not her dime so don't you worry your pretty little head over what she thinks.

ah, Thank you so much Courtenay for this!! I am feeling a little better and I have a few ideas I'm going to bring up with Maxine at 2 today and see what she thinks. I think right now our cake is being handed out, ie. being placed at each place setting. How many wedddings have I been to where people are up dancing and don't even eat their cake?? I am going to ask if it can be cut and put out on the table for people to take as they want, and I'm sure the kids will eat off their parents (since theyre so little, we dont really have any even toddlers, theyre all pretty much babies. haha) Thanks for that idea whether you meant to give it to me or not! ;)

I think we are going to keep the beef (I knew DF would not support taking it out and ugh I was right :rolleyes:) Soo my idea is to add a fish as this may deter some people who were going to get steak, and the fish choices are all still less. I am also going to ask for a lesser beef option, right now we have filet. Maybe a prime rib or etc would be less. I'm going to try! :goodvibes
I agree, we are asking people to come all the way there and people will talk about the food, whether it's great or its terrible, so I want it to be memorable in a great way, whatever they get!

I'm definitely going to try for a bare bones type DP, I really want it for the experience and I think even if we just viewed fireworks with no desserts at all, our guests would be impressed (not that I want that) but I think a full buffet of lots of desserts would just be too much. Hopefully this will work out! Keep your fingers crossed for me, I really hate confrontation (not that this is confrontation but) hopefully I can get it to where I can breathe and not be stressed, so I can get back to my happy planning mode!! :goodvibes

Money really is my biggest stressor these days just because I'm so in the mindset that people will notice all my small details, even though I bet they really won't. I'm trying to stop myself lately and it's been calming me down more. I/We have not charged 1 thing yet for the wedding and the plan is not to, so I am at least glad with that! I really thought that too- this is supposed to be such a great and fun experience so why am I so miserable right now?? haha I know in the end it will be amazing and to just try and sit back and enjoy this!! :)

I am so excited we have so many nights booked already, it really makes it real. I've really been trying to push our wedding party specifically and our photographers to book soon- our STD's are going out and once people start booking we're only guaranteed so many rooms at that price. Hopefully they listen! Oh- when did your photog come down? Did you pay for their hotel so you chose where they stayed or how did that work? We paid ours a flat $1000 travel fee to get to FL and home and stay, so I can't really tell them where to stay or when to come but I'm anxious to know of course! :)

As for our photographers. We paid for hotel and air. They came down the Tuesday before the wedding and then left the Saturday after. We showed him our locations Tuesday and then they were on own until Thursday. They practiced different shots at the locations and went to illuminations Wednesday night so they would be prepared for our welcome dinner. We bought them 2 day after 2 park passes as well for this. Thursday we did shots in Epcot before the dinner and then they photographed our dinner and fireworks! It worked out really well.

IF I can pull this off, I've got my BEO from 33k down to 20934.14. I would be pretty impressed with myself if that were the case! Wishful thinking...

As for not paying for the kids we tried this for our welcome dinner and the best they can do is cut the dinner price in half for both our welcome and reception or you can get a child's meal for around 25. We ended up doing kids meals for reception. From our understanding you can't have them eat off the parents meals unless they are under 2. Maybe you can get away with some of them being under 2? As for the cake I believe the only way to not include them in the count is if they have a separate kids meal because that includes a dessert. I'm not sure on how I would handle the food choices. I would talk to your planner for some options on this. I have heard of people serving beef and chicken as one meal so there is no choice but this probably not any cheaper. I'm sure your planner can come up with some options if you talk to her and let her know you have to cut your budget. We found out if you push a little bit they do have some room to work with you price wise on certain things.
 
I am so glad you're feeling better. Your plans sound good and I think the fish option is smart. And the DP is really just for the experience, as you said, so a lite dessert option is fine. It will all work out (I live by that motto). :wizard:

The price on the Revere bowls is definitely something I can live with for ours, especially since we should need maybe 5. Woohoo! So glad I took a careful look at that when you first posted it. :rotfl2: I can't wait to see your pics from the reception, so I can get a really good idea of them. Thanks again!

I definitely agree with taking the kids off, if possible. That's crazy when they are that small.

In regard to the cake, I would say go ahead and serve the top layer. They don't really taste that great after a year has gone by in the freezer. Depending on where you spend your anniversary, get Disney or a local bakery to make you a nice anniversary cake. You will be so much happier. There is actually a bakery up here that when you get a wedding cake through them, they actually throw the anniversary cake in.

I already responded to the chair idea on facebook. I hadn't thought of that before. I hope they can figure out something for you. Once again, you have me thinking about my own stuff. :)

Hang in there,you will make it through, I promise!! One of these days I will get around to starting my trip report. It has been so nice to come home from work and do nothing. I've been a bit lazy :).

As for our photographers. We paid for hotel and air. They came down the Tuesday before the wedding and then left the Saturday after. We showed him our locations Tuesday and then they were on own until Thursday. They practiced different shots at the locations and went to illuminations Wednesday night so they would be prepared for our welcome dinner. We bought them 2 day after 2 park passes as well for this. Thursday we did shots in Epcot before the dinner and then they photographed our dinner and fireworks! It worked out really well.

Oh that does sound nice for your photographer to have some time, I really wonder when ours are coming, I'm so anxious! :) We are having a plated meal so I think they have to give kids meals to the kids- I just got off the phone with Maxine so I'll post more on the kids below!

Thanks so much for the picture of Asbury Patio. Now why can't THOSE chairs be in the Boardwalk?? haha I am so foiled... oh well! I didn't bring up the patio to Maxine but I'm thinking maybe as we get closer if the space is available, Josh & I can host the farewell breakfast there and pay for it. We'll see! :)

Alrighty... I was on the phone with Maxine for about 45 minutes and feel a sigh of relief...
Let me tell you though, this call did not start off great. The first thing she tells me is that my mom called her and made some major changes to the BEO (unknown to me until the very second she told me) :confused3
In my mind I'm thinking OH GREAT, what did she take out??

So, we started with the rehearsal:
I told her we are booked at 'Ohana for 5:05PM for 30 guests 27 adults and 3 kids. We need the mini motorcoach from Beach Club to the Poly and back. Done. That was easy!

Next, the DP
-She said you don't have to prepay the $12.95 fee for everyone. This can be billed later depending how many people you have. I didn't want to take it out completely, so we dropped to 1/2. We are going to pre-pay for 25 people and if more than 25 people don't have tickets to the park that day, we'll be billed.
I am fine with this, since we are planning on going into the park Friday morning with our guests and assume most of them will have tickets (and we all have AP's).
-We can't do a 'bare bones' DP- the lowest package is $23/person. She is going to see how much the ice cream bar package is and we'll likely get an ice cream bar with coffee and tea for $23/person. We are also setting up a cash bar.

We took out the reserved YC conference room and bridesmaid lunch, since my maids are throwing the breakfast 3 hrs prior and we can get ready in our villa. Cue the "Staples" ad- that was easy!

Ceremony:
-We took out all of the sound equipment. We told her in our PS we didn't want it and she added it anyway. She said she's been at a wedding where she couldnt hear and added it so we could see it, but that we could always add it back if our budget allowed. Understandable, but for now, it's cut.
-I asked her about our chairs. Currently we have the white folding chairs for $5.50/ch and we also have the chiavari chairs for reception for $9/chair. I'm trying to use the chiavari chairs for both. She said there may be an issue with being on the sand and going to dinner near food, but they may just give us two sets of the same chairs and we'll still pay a moving fee. As long as the moving fee is less than $440, I'll take this. I think the Chiavari chairs will look really pretty on the beach. If people sink for 20 minutes, it wont be the end of the world. :) Crisis averted.
-I asked if we could get a sample of the guitarist assigned to us and she said no. :rolleyes1 She told me to look up acoustic guitar on Youtube. Foiled. I did try to look for our songs on an acoustic guitar on youtube but didn't find them. If anyone is a you-tube-expert and can find our songs on an acoustic guitar, I will love you forever. They are: Can you feel the love tonight, Some Day my Prince Will Come, So This is Love, and our exit is to "Sweet Caroline" by Neil Diamond (red sox reference of course!)

aaaaaaaaand I'm back!

Cocktail Hour:
At this point I updated her with what I think is our guest count, I did a mock seating chart of everyone that I think is coming. If we get more or some people I thought were coming dont, I can adjust. As of now we have exactly 80 people, 69 adults and 11 kids (8 of which are under 3). I confirmed the kids under 3 are only counted for seating purposes, and don't factor into any food. So as of now all of our counts of 80 will drop to 72, meals for adults will drop to 69, etc.

Apparently this is where my mom came in. She bumped us from having 3 hord's passed, to the antipasto display. At first I was immediately fuming she would do this since we tasted and loved everything, but the more Maxine said all the things in the antipasto, I perked up a little. AND it's 1/2 the price. I'm holding off on a hissy fit over this until I see the updated BEO. :laughing:

I guess it's not the end of the world and may be just fine, she said there are meats, cheeses, vegetables, etc. Anyone with opinions, photos, reviews of this?

Our cake:
Surprisingly, my mom didn't touch the cake. And I did!! haha
So Maxine says we will be perfectly fine to make the cake for 80 people. We will drop to 3 tiers instead of 4, drop our chocolate layer, and still take home the top tier. They will cut the bottom two tiers, plate them, and put them on a "cake buffet" table for people to take as they'd like. This way they aren't being passed to each seat for people to potentially not eat. I am happy with this. I also told her I was okay with the cake being round or square, it did not have to be a hexagon like it is in the picture. She is going to re-submit to the bakery for a new cake quote. I am totally good with this. :goodvibes

Reception/Dinner.
Apparently this is where my mom struck again. She took out our pasta course, so people would only get a salad and the meal. I'm not sure how I feel on this. Mostly because we already took out the cocktail hour food we tasted and now we're taking out the pasta too.
-I told her I want to add in the Salmon option (as this may get some people to get salmon instead of beef), she is also going to submit a price request to the chef for maybe a NY strip instead of filet. Disney won't do a Prime Rib as it's a huge looking piece of meat on the plate with usually more fat than real meat- understandable. So we'll see where the NY strip comes out at. And hopefully put my pasta starter back ;)

She's going to make a new diagram for me, and I asked her to add in a place for a photo booth. I told her I'm not sure if I'll be able to have one, because if my parents won't pay for something we want we'll likely end up paying for it ourselves to have it. But if we can have the photobooth I want to know there will be room and we can have it. She said no problem on this- yay!

I also asked for a room for the bridal party for before we are introduced and etc after Ashley wasn't able to have one. She said she can't reserve a space now, but two weeks prior if there is a room open, she will hold it. I'm happy with this too!

Also confirmed they have highchairs for our kiddos under 3 (8 of them) and they will set them at the tables. (8 x $9/chair, $72 savings. me likey.)

My biggest irk:
The bar. ugh.
Josh's parents are paying for the bar, because his family is big drinkers, mine isn't and they felt like my parents shouldnt have to pay for them to all drink. I think it's also partly that his parents are particular and didn't want my parents getting bare bones liquor. Anywho, they are paying. So apparently when my mom called this week or last whenever it was, she told Maxine she wants the bar included in our bill (right now the bar is on a separate bill) so that she in turn pays less. (my mom is killing me... really.) shoot me.
So Maxine dropped our bar package to only beer and wine (this will NOT fly with Josh's family... and she's not paying so I don't really get it). Maxine was saying something like she dropped it to show her how much the cost was? I'm still kind of confused about it. She told me to sit down with Josh's family, ask them exactly what the ideal bar would be and get back to her, then she would get back to us with a price. So that is my plan. I am going to sit down with Josh tonight, find out which beers and which liquor they want and go from there.

She told me the cake quote alone will take a week or so, she didn't tell me when I'd get the updated BEO but I'm hoping it wont be too long and I can get a nice little Christmas gift of less stress. haha

Thanks ladies for following along, giving me ideas and letting me put it all out there/vent it out. whew! I had a 1/2 day today and I'm off work tomorrow. Hopefully I can relax!! :yay:
 
Wow! You made a ton of changes (Well, your mom did too...): good for you! I think the cake definitely sounds like the best idea. And I am LOVING the idea of the chiavari chairs in the sand. What color are they? Gold? Whatever, they'll look gorgeous.

And what the heck about the bar: why does your mom care?! Ugh, parents, right?!
