A dear friend asked me to help her plan her first DVC/ Disney trip. She reserved her resort room from David' s DVC rental. She bought tickets for herself, her husband, all of her children, grandchildren & their spouses. I made her ADRs & fastpasses for her. Her reservation is for June. Last week after a 4 day illness, she died...her family & friends are grieving but her children are determined to go on this WDW trip as it was her dream for them. They know nothing of the details of the trip and want me to help them which of course I will do. Is it possible for them to check into the DVC resort without her since the reservation was in her name?
 
I'd contact David's. Perhaps they can have the member modify the lead guest's name. As an owner, I know I'd be willing to do that given the circumstances. That is an easy modification for an owner although I know David's says no changes, it is worth asking.
 
So sorry for your loss of a dear friend. What a tremendous gathering you two were planning for her family. Yes, contact David; I'm certain they will coordinate a name change. Best wishes for all involved.
 

They all should be listed on the room reservation and any adult (ages 18+) can check-in at the resort.

Agree - as long as they are listed on the reservation, check-in won't be a problem.

islamom - AFAIK, there is no need to alter the existing reservation to remove your friend unless they purchased one of the dining plans. Sorry for your loss.
 
OP, you did not mention it in he original post:
Did they have a DP added?
If so then the person who passed away will need to be removed from the reservation so that they can be removed from the DP and have those funds returned.

Yes, they did have the dining plan. Thank you for this info. If her sister were to go in her place... could she just use my dear friend's magic band? I am just guessing at this point...

It is so hard to believe that she will not be going to WDW with her family. It was such a sudden and shocking loss.

I'm sure she could.

But do have someone already on the reservation do the checking in.


I know that she is your friend and you are in mourning too, but it is so nice to have someone just a step outside of the family to help with the day to day stuff. My husband just went to help his friend as he lost his wife and the whole family leaned on him and were incredibly grateful for his presence and support. So to have you help with this I'm sure is a great boon for the family.

So sorry for your loss. Are there tickets attached to the band?
 
So sorry about your friend. I am sure David's and Disney will do what they can to help. To make it easier for them to do this, I would suggest that you find out who the executor of the estate is (I would assume the husband) and have the executor involved on initial contacts with David's and Disney. They can then give you permission to be the one to handle the details.
Also, I would check if there are any remaining payments due.

I believe the Magic Band will be listed in the My Disney Experience account under the name of the person who passed away. If sister uses that Magic Band and group makes additional Fastpasses during the trip, MDE will show that they are making Fastpasses for the deceased person. If I were the one making the Fastpasses, I would find it sad and depressing to be doing it for a dead loved one. I would add sister to reservation. If it's too late to customize a Magic Band for her before the trip, she can get one at check in.
 
Just wanted to say sorry for your loss and offer e-hugs. I am not sure the answers to your questions except that if they did online check in they will just get a text when the room is ready... make sure it is not the deceased's cell number. I would think the sister could take her place. If you add her to MDE, I think you can then transfer the deceased's park tickets to her. You may have to then remake FP for her. But I am not 100% sure on the transfer of park tickets. I just know it has option to 'assign ticket to another person' on there.
 
Ticket and fastpass are not attached to the Magicband.

The ticket, the fastpasses and the Magic band are assigned to a person.

Let's say I make the DVC reservation. I go into my My Disney Experience account and enter the DVC reservation number.

Let's say the people going with me have never gone to WDW before. I create identities for them in my MDE account. So I create an identity for John Boy. I create an identity for Jim Bob.

I buy tickets. If I buy them online from Disney, the tickets will automatically appear in my MDE account. If I buy them from a different vendor, I add the ticket info to my MDE account.

Once the tickets are in my MDE account, I assign one to John Boy and one to Jim Bob.

I use my MDE account to customize Magic Bands for each of us. Each person's Magic Band is assigned to the appropriate person in my MDE account.

If John Boy decides not to come at the last minute, I can reassign his ticket to someone else in my MDE account. I can throw out his Magic Band.

If Erin decides to take John Boy's place: I think I can call and add her to the resie, create an identity for her in my MDE account, get fastpasses for her, customize a Magic Band for her if there is time. If it is very last minute she can gets magic band at the hotel. Can she take over John Boy's hotel spot and fastpasses and use his magic band? Maybe. I don't think everybody needs to show ID at the front desk.

But if I die before the trip... it has all been set up in my MDE account. Can Jim Bob become the lead name on the resie? If David's and the DVC owner agree to do it, doesn't that mean Jim Bob needs to enter the resie into his MDE account? Would he have to create an identity for everyone, re-customize magic bands? Wouldn't the fastpasses be lost?

Since the dining plan was added, you are going to have to contact them to have the owner remove that if the sister ends up not going. Thoughts and prayers to all...
