A Rolex Vacation on a Timex Budget: Sept '11 PTR (TR is Live!)

So, this evening is going in a much better direction than this morning and day did!

Just got an email.....

"I will contact the chef tomorrow to bounce these ideas off of him. I spoke to our pastry chef today and sent him your pictures – they are going to get back to us on cost. xxxx and I have an appointment to tour the “mystery” space at Animal Kingdom tomorrow to see if it is a good fit, so we will let you know all about it!"

More to come later after dinner when I sit down to update some other goings-ons (MORE PINS!)....but it looks like we're making progress on the event! :goodvibes

Ooh yay for hearing back, excited to hear what they come back with :)

Lovely pictures of Charlottesville :)

Yay, that is great news!!! :thumbsup2

Look forward to hearing more of your plans. Also love the pics of your weekend away :)

Glad to hear that you got a response from dining! Those pictures are beautiful, I have been wanting to tour some of the wineries in that area, I may have to do that this year!! :goodvibes

HI!
TGIF!
glad you got an email from dining....I'm sure that makes you feel a little better to know they are working on something really cool!

My DH and I LOVE Charlottesville! We've been there about 4 or 5 times for a Jeep event (Camp Jeep)...we never had the extra time to do any winery tours, after seeing your pics I'm really regretting it!!

Joining in! I've only made it to Post 6 so far. So sorry aobut your dad, but what a fairytale romance you have!

Thank you . I'm so glad you came over to join in on the thread! I truly am lucky to have my DH, he is the world to me and I cannot think of anyone else I'd like to spend the rest of my life with.:lovestruc

Except when he hogs the covers. Then I question things.:lmao:

I was going to comment on your ADRs (better late than never.)They sound great. We have done the following:
LeCellier - not worth all the hype (and the wait - we waited over 30 minutes past our ADR time)
Tutto Italia - good and fun environment
Jiko - my DH's birthday dinner last Sept. We really enjoyed this. I read something about one of the walls changing during dinner, but we totally didn't notice that. The food was exceptional, as was the service.
Rose & Crown - haven't been for dinner but sure love the bar, the scene, the bartenders and the cocktails!
Brown Derby - awesome - we did it as part of the Fantasmic package. Not a bad choice on the menu.
'Ohana - I loved this. Of course I love pineapple. And meat. And the Lapu Lapu I got at Tambu Lounge before dinner probably helped my enjoyment.

We went in August '08 (crowded, but manageable) and Sept 15-20something in '10 (amazing with no crowds whatsoever). You will really enjoy your trip!

Can't wait to catch up and read more.

I'm starting to get a little worried about Le Cellier, but I think we're still going to give it a shot. I think Brown Derby might be one of those "sleepers" for us, I keep hearing more and more good things about them, when I only made the ADR based off the fact that it was the nicest place in DHS available for lunch! :)

I am REALLY hoping our timing works out well. Neither my DH or I are terribly fond of crowds, so we're hoping going at the very start of the schoolyear will help with the crowd volume.

Love this. You have me with a tear in my eye! Something about that daddy-daughter connection. My daughter is an only child. And I'm divorced (and remarried). I never quite thought about what would happen if something were to happen to her birth father. Ahh regardless, there's much more to the story, but that's more for my PTR than for yours.

I think my bond with my father was that much stronger because my bond with my mother has been practically non-existant for so long. (And that's a story I won't get into, let's just say she's not a great human being.) I understand the stress and questions you just don't think to ask, especially when you are trying to move on. As horrible as this may sound (and please, anyone who reads this do not judge me on my words here) I worry of what I will have to do if/when she ever passes away. I don't even know where she lives, but she never remarried so all the responsibility will go to me. I'm just so greatful for the amazing extended family I have - I am so blessed with them.:lovestruc

And I want to mention that I love your writing - degreed or not. And I think you should follow up on that author/historian dream you have. What about a historian focused on Disney? I have a real respect for those who can write well. I'm a stickler for grammar. So I love reading your writings!

That is so terribly sweet of you to say, THANK YOU! If I do one thing outside of IT in my life, it will most likely be writing, so any feedback (both negative and positive! ) is greatly appreciated.:woohoo:

Ooh yay for hearing back, excited to hear what they come back with :)

Lovely pictures of Charlottesville :)

Thank you! I'm trying not to watch the clock, I never thought to ask them WHEN they would be checking out the space, it might be after the park closes, which means I wouldn't hear anything today....but I'm hopeful!:thumbsup2

Yay, that is great news!!! :thumbsup2

Look forward to hearing more of your plans. Also love the pics of your weekend away :)

Thanks! We shall see......tee hee. Yeah, I'm in a good mood today.

Glad to hear that you got a response from dining! Those pictures are beautiful, I have been wanting to tour some of the wineries in that area, I may have to do that this year!! :goodvibes

If you do, please let me know, I will be more than happy to point you in the direction of some great wineries, places to eat, and places to stay (in all price ranges)

Back at ya! This is a "good" friday, indeed!

As I stated earlier, please let me know if you are ever planning at trip back to C'ville and I'll be more than happy to give you some suggestions and let some people know you are coming!

Hooray!!! :cool1:

:dance3:I'm waiting on pins and needles! :dance3:

Dear Reader, I’ve been remiss.

My past few updates were more of a whirlwind of questions than anything coherent. Let’s try and remedy that, shall we?

I promised you that my next update would be on the overall planning process for our special event at Disney. While I have given bits and pieces, mostly my whining about having to wait, the only thing I have truly conveyed to you is the fact that I am not a patient person. It’s a vice. I accept it and work on it every day. However, that takes too long to see results, so I get frustrated and quit trying. :lmao:

So, that leaves you with more questions and me with some explaining to do!

The title of this whole PTR is a bit of a misnomer. I am certainly trying to save money any way I can to pay for the “fun” parts of our trip with survey sites, points based shopping, and the Fun Fund Pig™, :cutie: but our special event obviously falls outside that category. While it was very little I did end up with a bit of money from my father, as well as vacation savings that we didn’t use getting such a good deal on our package. Once I decided I wanted to make this vacation amazing for my DH I decided to pull a bit out and treat him (and, with the event, myself) to something extra special.

To start, yes, I did put money down on a Rolex for him. I know, rather anti-climactic at this point but I can at least confirm. I’m hoping to have it paid off early (only 2500 to go! ) but I have until September as it is on layaway at one of our local jewelry stores. They have been so amazing, doing the research to find exactly what he wanted: a stainless steel Submariner ‘No Date’ watch. I probably still got that wrong, but here is a picture I snapped of it before it went back into the vault for safekeeping!

Apparently, the watches without the “cyclops” or little bubble over the date are pretty hard to find.:confused3 Thankfully, it’s not one of the more insanely expensive Rolex watches which I never would have been able to afford!

On a slightly humorous note, I do have the watch in my planning notebook listed under my budget and payments. Mike does not rifle through my things, but if he happens to glance at the notebook he will see it listed as “Nemo”. I thought it fitting. :rotfl2:

After the watch, I came up with a budget for the event itself. I am willing to spend around 2500 on this event (in my mind I can swing 3k, but no more than that), and I gave the planners that number up front. I believe any time you are planning something special the first discussion should be money. You don’t want to waste their time planning something if it turns out its way outside your budget, and it helps them narrow down their focus much more clearly. It’s just not fair to anyone if you hold that information to yourself.

I started by calling the event planning line and gave them my general information, when I was coming down, what I wanted to do (I said private dinner in the parks, with a wedding cake recreation, at that time) and what resort I was staying at. She took all my information , then said someone from the Yacht Club would get in touch with me.

As you all have already heard ad nauseam, I ended up having to call back myself a few days later to get in touch with the Events team at the YC. However, once I did, Joselind stayed on the phone with me for an hour just brainstorming ideas, and it’s simply gone on from there!

Next up – What I requested (with reference pics!)

Obviously I am not working all that much today. In reality, I should be planning a menu for Easter dinner with DH’s family on Sunday, but I figure I’ll wing it when I get to the grocery store. Yes, you should be laughing, because this is the worst possible idea ever.

Whole Foods + No Grocery List = BAD THINGS:scared1:

(Well, good things, but BAD for checking account! And waistline.:lmao:)

Anyway, I thought next I would tell you what I requested from the event planning staff at the YC to compare to what they come back with / cost. Hopefully this will give you a better idea of how things break out if you decide to plan your own event in the future! :wizard:

Timing: I requested to have this event on Saturday evening, the final day of our trip. This can be a bit of a gamble, as most weddings occur on the weekends – however due to the small nature of our party (just the two of us!) we do have a bit more flexibility in some of the parks.

It looks like our event will run about 5 hours altogether, it’s certainly a longer even than just a private dinner.

Location, Location, Location!: As you all know, I originally decided upon the Tamu Tamu courtyard in the Animal Kingdom, which we are no longer going to be at. However, the event planner and I spoke about TONS of spaces in the parks that might work. No events can be held in the Magic Kingdom, I should point out. Some of the areas we chatted about:

•DHS: Hollywood Hideaway, Tower of Terror Coutyard, The Great Movie Ride

•AK: Belvedere Palace Ruins, Tamu Tamu Courtyard, Conservation Station, Upcountry Docks and Overlook, “mystery location”.

•Epcot: Originally discussed Rose and Crown, but Epcot (and to some extent,
DHS) is a bit tricky when it comes to timing. We wanted to do a private event AFTER a park had closed. Most of what Epcot offers is just private space while the park is open (at least from my discussions and timing request)

Other things I’ve learned about the locations:

•Events start anywhere between 1:30 – 2hours after park closes for the day – no earlier than that. Perhaps now you understand why AK was such an appealing option to us, since it closes the earliest of all the parks.

•Private events in the park (at least from what we looked at) start around 1,000. There is probably a way to get below that, but it’s a good number to expect, bare bones. If you want to spend less than that, I would suggest Private Dining in one of the resorts.:goodvibes

•Most event spaces have a rental fee (250 and up) while all of them have a food and beverage minimum. If you only have two people, this could be pricey.

•Unless you love the park music playing in the given spot of your event (which they will pipe in at no extra cost) plan on spending a bit of money to have an iPod hookup for your own playlist. Some might believe this is expensive (I won’t know how much until I see the contract, but expect 100-200 dollars) but I believe it’s a nice way to personalize your event.

•If you are having an event in an area with tables already there, and you want to remove them, plan on forking over 250 dollars for the work!:scared1:

Theme!: If I could recommend one thing when you talk to a planner, HAVE A THEME READY! I was sorely lacking in this category on our first call together, so bad that my idea of “theme” was “nice event with hubby.” Not helpful in the least. :rolleyes1

Once we started talking about our wedding (Old Hollywood with an Exotic twist via Casablanca – yes, this is exactly what I told all of my vendors for the wedding and they all got it somehow:hippie:) the pieces started falling into place quickly. I wanted the jewel tones on the linens like we had at our wedding:

(Those golden elephants were our place card holders and wedding favors…more to come on them in a bit!)

I wanted to pull in certain aspects of our wedding as this will in fact be a celebration of our anniversary. However, I didn’t want a straight copy. So, we started switching things up. This is going to be an outdoor event in a lush setting, so what would our wedding have looked like if the elephants and peacock feathers weren't merely just an accent, but the major theme? Out of the ballroom and into the jungle we go!

Wow, your special night sounds likes it is going to be soooo amazing!!! :lovestruc

I have never read/heard about someone having a private event like this at WDW, I am very excited to hear more!!! Great pick on "Nemo"....very nice watch, I couldn't even afford to look at it :rotfl:

Wow, your event is going to be so amazing! Do you have pictures of your location yet, I'd love to see them! :cool1: I had no idea it was so much work to plan something like this!

And that Rolex looks beautiful!

Thanks for sharing the private event planning info! Sounds like it is going to be a wonderful night and surprise. I'm looking forward to hearing more of your details.

The only private dining experience I have had at Disney was a solo lunch over by the dancing fountains at the Figment ride - one that is special to you, I know

I got the roasted beet and goat cheese salad and creme brulee from Sunshine Seasons, took it over to a quiet spot and enjoyed, while the rest of my family was back at the resort.

Magical and memorable!

Wow, that rolex looks pricey!! What a great surprise and lol on naming it Nemo!

Thanks for sharing all the event details - did not realise so much effort goes into planning them. Looking forward to reading where it is :)

I was soooo scared about even researching the prices, to be honest. Thankfully it wasn't outside of the realm of possibility, but even with saving up it's STILL going to take me until September to pay it off. Thank goodness for layaway! :goodvibes

Thanks! I'm not entirely sure how much work is required vs how much I insist on doing. I go a bit overboard when I plan things, and try to make sure every last detail is covered. I am sure you could have a lovely event there without all the effort... I think I just like doing it. :rolleyes1

Don't have pictures yet, and, as usual, haven't heard back from them. :lmao: I do think with it being a holiday weekend, they probably left the office early, and I don't blame them. Hope to hear today though!

Thanks! I was contemplating naming it Dory, but he might have pointed that out like "what's this?"

Would have been funny tho.... :rotfl2:

That would have been sooo funny!! :rotfl:

I think Nemo is the better choice...less likely to be questioned about that name! ;)

...here is the latest from Events:

"We actually saw a few locations but one stood out. We’re now working on getting a manageable F&B minimum for that one. ( : I’m having some problems getting the photos sent from my phone but our tech guru is back today so she’s going to help and we’ll get them sent out. The location xxxx and I are working on is very pretty and right on the river that goes around the Tree of Life. It’s very close to the Bird show if that helps orient you a bit. It has lots of foliage and feels very secluded. There’s a small, winding walkway that takes you from the promenade down to the location which is only about 15’ x 20’."

So....we shall see!:confused3

Sounds like an ideal location - love the description and how it will feel very secluded! :thumbsup2

Let us know how you get on.

yeah! for the plans coming together...I hope you hear from them today...your right, they probably took some time for the holiday...no they have all that catch-up to do....

I would have named it Dory!! :rotfl2:

Ok, so I've been staring at park maps and I can't figure it out:

Where is this "bird show" she's talking about??:confused3

Is anyone familiar enough w/ AK to help? The last time I was at WDW, AK had just opened, and was far from complete.
