When should we ask for rooms close together for exisitng res?

We are going to be doing dapper day in Nov. and already booked our room for GCH. My family also did the same thing on their end. We are wanting to have rooms close to each other for obvious reasons. We made our reservations seperately and are wondering at what time should I call to see if they can put the rooms in the same vacinity. If I call too soon my request might get lost, or call too late and we won't have the option. What do you think?

Always get confirmation numbers, date & time of call, and the name of the person you talked with.
