(This is a continuation of a previous thread, but I wasn't sure if you go back and check old threads.)

Are you saying that it's possible to be on the wait list and then never get contacted by SOG because you guys are too busy to call? I will be contacted by mid-April for sure if I got in wouldn't I?

Since our ressies our late in April (23-30), I would assume I may not know for sure if I get in until at least March 23 because of the 30 day cancellation policy.

We do have backup ressies, but I would love to make it in to CR, and I'm not sure if we could ever afford it otherwise.

Thanks so much for answering all these questions! It's great to 'know' someone whose in the know!

I'm not noel, but I think I can help.....

I highly doubt that you will get passed over for a waitlist room because the reservationists have been too busy. The call might not come as soon as you'd like (say, right now, for your April reservation), but if a room comes available and it's your turn on the waitlist, then I'd say you'll get a call.

one thing to remember is that the people with SoG reservations often wait until the very last second to cancel, which is 30 days out from their arrival. If you haven't heard anything about 30 days before your arrival date, then you might choose to go with your backup plan or get in touch with SoG and see what is available on overflow.

Since you have backup, it can't hurt to wait as late as you can to see if the CR room becomes available. that's what I plan to do with my May reservation :)

hope this makes sense and I hope it helped!

Thank you for the help, Madge!!! You're a vet with all of this and you definitely know what you're talking about. :)

As to your question Cameo, is it possible to not be contacted because we're too busy? Yes, it's possible. Having looked helplessly at the Feb and Mar wait list because I was too busy to be of much help calling, I noticed that my boss, her boss and the front desk supervisor (who used to be one of my supervisors in reservation until she was promoted up) did their best to get every one in they could. From my eye, they did a great job, considering the circumstances.

Did they get every one in? No. But, even when we're slow, we can't get every one in. If we don't get the cancellations, we can't call any one and we won't call you to say, "Hey there....it's not looking good for you. How about some overflow?" We have done that in the past, but usually because of extenuating circumstances (like we had to do with a number of crossover Mar to Apr people because of the hotel move).

The problem is that we're so busy that we can't call people like we usually do. Let me try to give you an idea of what I'm talking about and may be it will help.

When we're slow, we can usually go through the current month's list and 3 months out from that, with ease. If we're going through them that quickly, we will continue to press further out. I've had it be Aug, and I'm able to call people the next Feb and Mar. The reason we can go through them so quickly is because:
1. It's slow
2. And, because it's slow, we're able to continually (2-3x per week depending on how far out the month is we're calling) call which keeps the list open and moving, however the further out the month is, the less cancellations we get and the quicker we move through that month because there isn't that much to call and because we're keeping on top of it (how's that for a run on sentence?).

However, when our busy season hits, we don't have the time to call because there are 40 people waiting to be picked up....constantly. This means the boss has to appoint someone to come in on a Saturday to call the guests. 8 hours goes by very quickly (less time if you take out the lunch and standard break). And, because it's busy, the list gets backed up because it's only being called once a week, if that much, so there are a TON of people to go through.

Normally, the boss' boss doesn't help out with the list, but we were just so slammed this year that she had to help because there was no one else to do the list.

This week should be a good tell. Last week was slower (but still busy) than it has been since the beginning of the year. If this week is no worse than last, then our busy season should be winding down. On average, it seems the wait list doesn't start getting back to 'normal' until May. Unfortunately, that just seems to be the 'given' from what I've seen.

I hope that helped to clear things up for you! :)

:::blush:::

thanks noel, I only know what I've learned from you over the past few years :)

Is it possible to have a room come available and the waitlist people not get called? I certainly wouldn't expect you to call me to let me know that I need to make other plans, that the room isn't going to be available after all, but it makes me a little curious to know if a room comes available, my name is next on the list, but the list doesn't get "worked" in time....does that happen?

purely hypothetical question, LOL....not that I'm antsy about my waitlist room or anything :D

Yes, it's possible (any thing's possible! <g>). I don't see it happen very often, but it happens from time to time. It's always last minute, though and usually because we received last minute cancellations (someone's sick, someone died, etc).

I haven't seen it happen that we had, for example, 20 rooms and lots (10 or more) of people still on the list. I have seen a few (5 or less) people on the list when there have been 1 or 2 rooms, but I don't know, without searching, if those people have been contacted and we're waiting to hear back from them or they're on the inhouse list. Once it gets to be a week to 2 weeks out from any given date, the list is worked every day to day and a half to get every one in. We just can't guarantee that the call you get will come in a timely manner for you (not you Madge, just the general public "you"). :)
