Reservation Confirmation Letter Timing

Long story short, DVC may have ruined a special vacation surprise. I was able to get 2 rooms at the Poly for the second week of December (a small miracle). It was going to be a Christmas surprise for my Mom. When I booked the room I left it in my name and left it in my address. That way if anything was mailed I would get it. I called DVC Sunday to cancel another reservation and they saw I had two reservations that were exactly the same (the 2 Poly rooms both in my name). She said if I keep it somebody might think it was a mistake and cancel one of the reservations. So I agreed to put the second room in my mom's name. I specifically said to keep the address as my address. I even said it was a surprise and no mail is to get to her. Well, I checked Monday afternoon and saw that they copied my mom's address from another reservation I made in the past and that it was listed on the reservation. I was mad because no information was suppose to go to that address ever, I couldn't be any more clear. I called back Monday afternoon and changed the address back. Disney sends out a welcome package after reservations are made that include names, reservation numbers, and dates. My question is, when does Disney pull the addresses to print out the welcome packages? Is it pulled and printed each night the reservations are made? Once a week? On weeknights? I made the reservation Saturday morning, DVC changed it Sunday afternoon, and Monday afternoon I changed it back. What are the chances Disney ruined this big surprised I put so much effort into (including buying airline tickets to a different city to throw her off)?

I don't think that even Disney knows when they do what. Sometimes we get a confirmation, sometimes we don't. I was told that MS has to request that the confirmation gets emailed and sometimes they don't push the button.

Most of the mailings come from an outside contractor and somewhere, some how they get the data file sent to them buy the contracted IT company.

I would not worry much. It has been years since I received anything via snail mail regarding any DVC reservations I have made. Everything comes to my e-mail. And everything is always in order, no mistakes. Is the DVC in your name or hers? There is such a thing as privacy issues too. I could not follow what you were saying here in print....so....good luck with your surprise. A nice thing to do.

What I don't understand is that you bought airline tickets to a different city to throw her off. Did you tell her you are taking her to Ohio or Tennessee or something? How are you going to get tickets to Orlando if you bought them for a different city?

DVC used to send snail mail confirmations. So not new, just old stuff.

I think what the OP is speaking about is the snail mail that comes later on with the Incredibles theme, which includes dates for the trip and dates when you do certain things such as dining, fastpass, etc.

I have never ever had any of those. All I've ever had was an email confirmation

Yes, I receive the Incredibles theme packet. It has all the details in it. I'm curious when they pull the names and the address for this. I assume nobody really knows. I'm so disappointed in DVC for screwing this up.
 
Ever since the introduction of Magic Bands and FastPass Plus, you get a lot of snail mail after you make a reservation. Not a clear-cut confirmation, but a bunch of other stuff explaining things which anybody on the Dis already knew.
 
I think you will be fine. I usually get my packet about 30 days before our check-in date, whether I book 8 months out or 2 months out. I would think they poll for address right before shipment.
 
I got my Incredibles packet about 2 weeks after making my reservation for our upcoming Thanksgiving vacation. I changed rooms, changed resorts until I finally pieced together what I needed for our reservation and with each change I received the packet roughly 2 weeks after making the change.
