Recent Experiences with the Waitlist

This past couple of weeks, experienced the following with the waitlist:

1) Had 3 waitlist requests active at the same time under one membership; my understanding is that only 2 are allowed at any one time. Had forgotten about the other 2 when I put in the 3rd. All 3 show up under "Active Waitlist Request(s)" and are still there even after a week.

2) Canceled several reservations (that had no availability) and immediately went to the RAT and saw that those rooms and dates were immediately available for general booking. Some of those reservations were for popular rooms/times, so assumed that the waitlist program was not running at the time.

3) Had 2 browser windows open and canceled a reservation and tried to immediately book it using points from a different contract/UY in the 2nd browser window, but it was gone in those couple of seconds and never showed available again. This led me to believe that all cancellations are now immediately checked against the waitlist and held if there was a match.

4) Had an active waitlist for a specific night, and last night checked the RAT to see that the room was now showing available. Checked my Upcoming Vacations and did not see a reservation for that room and night. Went to Waitlist Manager and saw that my waitlist was still showing active but never filled. Went back to the RAT to see that the room was still available, so grabbed the reservation, then went and cancelled the waitlist. This shows that not all cancellations are immediately checked against the waitlist. Or that the waitlist program needs to be actively running for the checks to occur. Or there's a bug in the program?

So inconsistent and confusing. Anyone have an explanation or other thoughts on this?

My understanding is that there is no wait list "program", but rather CMs manually check the inventory against the wait lists. So depending on who's checking it and when, released rooms may or may not be taken before a wait list request is filled. It's all in the timing. I hope I'm wrong, or at least they're working on automating this.

It is an automated system that is run during the day to catch cancellations for waitlists. No one knows how many times the system is run.

I have also cancelled hard to get reservations and sometimes they show up immediately on the RAT, and sometimes they don't. Not sure how it all works.

Yes, everyone should check the RAT - I have filled multiple of my waitlists myself :)

I always heard the system catches the dates, but a cm has to manually set it up. I cancelled a couple of days and checked the rat and never saw those days show up, so must've gotten pulled into the waitlist system.

It's 2 waitlists per UY. Depending on timing you could have up to 4 at one time - 2 in one then 2 in the upcoming year. ie, an Oct UY - you could have 2 in the 2016 UY still and 2 in the upcoming 2017 UY. Would that explain the 3?

Thanks for the good info. But all 3 are in the same UY.

You caught a glitch then. I happened to have 2 waitlists I'd like to set up but already have one. So I just gave it a try and added one new one but it wouldn't allow the 3rd. If one fell in my next year of points I would have been able to but no go for 3 in one year.

All for reservations in the same UY? All from the same Master Contract?
They are under 2 contracts in the same membership. The 3 waitlists fall under the same UY, but one is in the next calendar year:

BLT contract (Aug UY)
Waitlist #1 for 12/26/17
Waitlist #2 for 12/27/17

BCV contract (Aug UY)
Waitlist for 1/5/18

All 3 still show up under Active Waitlist Request(s).

Had a waitlist come through today! Was very surprised to get an email this afternoon. Date was for May 9, had been waiting for 4 months! Originally we thought we would stay off site since we get in at 7 PM, then thought how good it is to wake up where you want to be!

If they are under one master you did get a benefit that was not intended. I wonder if it's a technical glitch due to the UY. I also wonder if the wait list will pick it up even if available.

Sometimes there is a delay after a match occurs. I had two recent experiences in which the room I wanted popped up, but my waitlist was still active. Instead of snagging the room myself, I called MS. Both times the CM told me that I had already been matched; the transaction simply wasn't complete. They put me on hold and then told me to refresh...and my reservation appeared.
