Question about new hire paperwork

My son is doing the Spring/Spring Advantage. This is his last semester at college and is graduating in 2 weeks. Anyway, he's swamped with six finals in the next six days so he asked me if I could check on this for him.

For his I-9 we know we can use his passport. Will he also need his Social Security Card for payroll purposes?

Does he need a physical? He doesn't see any forms but he seems to remember reading something somewhere.

He does not need a physical and I believe if he uses his passport he does not need any additional documents.

where do we get the I-9? we need it for our son too, and he doesn't have a passport.

I'm not sure if this has changed since I did my program but I believe you download the on-boarding paperwork from the CP website particularly the part that you access to accept your role. I can't remember if the I-9 is a part of that paperwork. I believe it is. Its like a whole packet you download, print, and fill out.

The I-9 will list the documents other than a passport that you can use. I always use my SS card and my Drivers License but I believe you can use an official copy of your birth certificate too. If you don't use a passport you have to have 2 forms of identification (ie: a SS card or Birth certificate and a license or state id)

thanks. i don't think it's part of the paperwork there, but i'll double check with my son. he's got the other three, license, ss and birth cert.
 
It may be part of the paper work you get when you check in at Vista. I honestly can't remember. I thought I had mine already filled out and that was the one part they don't take at Vista but take at Casting. But its an easy enough form to fill out that if you have to do it you can do it quickly. You can probably just google 2011 I-9 form and find a copy online that you could print and have ready.
 
As how Frizzbird said, if you use a passport, you only need the one form of id. Anything else you need two forms of id from either. One must be a license or state id. The second either SS card or Birth certificate. I got a passport specifically for this reason so I didn't have to carry my S.S. card or Birth certificate with me to the program.

Also, I DO recall them taking it at Vista, but I can't recall if you got it there or elsewhere. I kinda remember being at one of the tables filling it out with someone where to help you though it, but... was that for THAT form? Gosh. I DO recall being with my roomie as we were going though it though cus I had the one form while she had the two and we were commenting on that with the person copying them and placing the copies with the paperwork. Where in the check-in process that was, I can't recall. There was SO much going on that morning it's really all a blur now.

As for a physical, the only role I could see the NEED for one would be for lifeguards. Other then that, which again not totally sure about, no physical required.

Those born here there is no problems provided you have the required documents. They cannot tell you what to use but I work i n HR and i can tell you that if you have a passport that is the one document you need. If you do not have a passport their are a list of other documents and you generally need more then one. The most common are the SS card and your drivers license or state ID. Sometimes some companies ask you for your SS card for payroll purposes to make sure you are putting the right number down on the paperwork. If you fill it our wrong and the company needs to make a W-2 adjument it cost them a considerable fee.

Would any of the other mothers to college students doing a internship be interested in joining in a thread for us to share information? Those with daughters probably will have more information then those of us with sons. Those of us with sons, know exactly what I mean :) I am assuming we should start it on the community board and leave the college board to the kids.

I'm bringing my passport (I do not have a driver's license) so I shouldn't need my SS card at all... right? It's just another thing I don't want to take down to FL with me in case I lose it.
 
From everything I am reading you do not need it. What i would do is bring a photo copy of it. That is what I am having my son do.

Edited to add, if you are bringing the drivers/state license and your SS card then I would bring the actual card. Passport just a photocopy of the ss card.
