Outside vendors and your planner?

Hi,

I will be using an outside florist, chair and linen rental for our Disney wedding...has anyone been given grief from their planner about this? Does your planner take care of all the vendors on the day of the wedding, meaning does she indicate them where to go, to do, etc.?

I am having an outside videographer and all Ken Weaver said was that he would send me a third-party indemnity contract for Apex Media to sign. Ken sent it to me by email and I got it back from Apex executed immediately and sent it back to Ken.

I am pretty sure most outside vendors around the Disney area are used to dealing with Disney and are familiar with the procedure, but you may want to check with your coordinator to see what their requirements are.

My planner did, she even called my florist with specific questions since I was having a custom dance floor and wall draping. She called them and set up a meeting and he came by and measured and they made a floor diagram etc. I had no problems but our florist had done Disney weddings before, everything appeared seamless on the day.

ETA: We did have a problem at our dessert party where they could not find all of our custom signs, napkins, etc. from Impressions and I had to call my planner. She knew where they were and it was fixed in about 2 minutes. Just very frustrating because I spent a lot of money on those things and they were not out when we got there and then everyone was looking around. It was a waste of money because by the time they were out most of the guests had gotten food etc. so the signs and napkins were hardly noticed.
 
I'm using a few outside vendors and while I think they may prefer you to use Disney for everything, which is understandable since they can control that better, I don't think they'll give you a problem. My planner said a few of her other brides are also using that company and the contact lady seems very good. I did mention possibly using outside floral and she encouraged me to talk to my Floral planner about ways to keep the budget down first but definitely didn't give me any grief about it so I wouldn't worry.

We were also thinking about waiting to get a proposal from a Disney florist but we both agreed that getting a mock up was important and the flowers/decor we want aren't cheap (i.e. crystal and black candelabra's, cymbidium orchids, anemone's, ranunculus, etc.) and we know Disney is definitely going to be expensive.
 
Yes we are! My planner asked if they were big on the dis, but I hadn't heard of anyone here using them before. I found them on wedding wire and Ann was just the sweetest lady ever! Plus they had the silver chairs with silver cushions that I wanted for a price that wasn't crazy.

I totally agree. I priced out Disney to see, still waiting on that BEO, but we're definitely using outside floral at least for personal floral since I already gave him a deposit! But I found he is much cheaper for personal floral and his centerpiece prices were really reasonable too. I feel like with outside floral you get more for the money.
 
Hey Sara, Did you change your vendor for the chairs? I thought you had posted someone else on your PJ, is this new vendor even cheaper than the other one? If so, thats great!

Yes we're using A Chair Affair now, it's a recent development and I've been slacking on updating my PJ! For the chairs with standard cushions (black/white/ivory) Bell Chair covers is cheaper at $6 per chair but if you want different color cushions it would be $2 extra. At my PS Laura said she really thought the white would stand out and look funny with our linens and I think the black would be a little off too.

A Chair Affair has a little more variety in colors for the chairs and cushions. They had silver cushions which was perfect. Once I spoke to Ann, I was sold, she's just the sweetest lady and all of their chairs are new. They have a promo going on so it will $7.50 per chair and $50 delivery fee, set-up and removal is also included. They also arrange everything whereas with Bell it seemed like I would have to do a lot of it. I could be wrong on that, but it's the impression I got.

Wow, 7.50 per chair! That is an awesome price. Is this similar to Disney, the chair cover and bow? Or are these nicer chairs? If so, can you post their website, I would love to look around. Im glad that you posted this because I had no idea that I could have outside vendors for chairs, thats awesome!

Chiavari chairs are really nice and Disney rents them at a very high price depending on the color you choose, they can range from $11 to $15 per chair. At "A Chair Affair" they are having a promotion right now and renting them at $7.50, usually they are $9.00 (that is till cheap compared to other places).

I didn't realize it was possible to use outside vendors for floral and chairs? Is this the case everywhere outside of the parks, or are their exceptions? I am having my reception at ADH and really wanted to bring my own centerpieces, but I am under the impression this is not possible, but if we could use an outside vendor that would still keep the costs down quite a bit I'm sure.

The website is www.chairaffairrentals.com. Disney charges a lot for the chiavari chairs and I had to have them, so I had to find another option. For the chair covers and bow you may want to contact a linen company since I think it would just be a cover for the existing chairs. As long as you're in an indoor, non-park location you can use outside vendors. You may want to double check with your planner before actually booking anything, I'm not sure if Ariel's has any special rules, I wouldn't think so, but I've heard of rules for Atlantic Dance hall, so you never know.

She really was just the sweetest lady, I felt bad that I couldn't talk to her for as long because I was at work. But she is just a genuinely sweet person that really cares about your big day. I can't wait to work more with her.

I haven't heard of anyone here using them, but my florist recommended them and I think he has worked a lot with them in the past.

How much does Disney charge for linen? Sorry for all of the questions, Im not having my planning session until the end of May, so I dont know all of these details

Linens can range from $20 to $100.00 the norm I've seen on here have been $39.00...BBJ Linens quoted be beautiful linens for $27.00..

Who is your florist? I'm still on the fence about who to choose, I've received 3 proposal's and have 3 more coming next week, lol. :confused3
 
We're using Lee Forrest. Our photographers recommended him and I'm really looking forward to working with him. Bellebride also used him and was very happy.

Unfortunately, Atlantic Dance Hall is the one non-park-location where you can't use any outside vendors except photographers and videographers. This is a fairly recent change.
