One Reservation, Rotating Guests

Hi All!

Thanks in advance for your help!

We have an upcoming trip in October of this year, and are staying in a 2 BR at the BCV. I understand the villa has a legal limit of 8 people.

6 of us will be staying the entire week, however we would like to have a couple other parties stay with us for portions of the week. At no time would we be violating the 8 person limit, as the other parties would not overlap each other. So here are a few questions:

1. Is it possible to have the reservation structured in such a way so the 6 of us are on the ressie the entire week, and the other parties are on the reservation for portions of the week? A cousin would be staying with us for two nights, and then two friends would be staying with us for two separate nights.

2. Would they be able receive magic bands for their portion of the stay, and get all on-site privileges for that portion (like 60 day FP+ reservations, entrance to SAB, etc.)?

3. Finally, how would we go about making this type of reservation? Guest services would be involved, but should we tell them anything specifically?

Your proposal seems reasonable, but complicated enough that I would simply ask them directly for how to make the arrangements, rather than getting "best guesses" from us Internet chat group contributors.
 
You could go to the front desk to change the 2 guests but the issue will be the FP+. I don't think you will be able to get 10 in advance.
 
Without separate reservations for the stays that involve them, you are only going to get Magicbands in advance and be able book Fastpass+ for those on your reservation at that time.

If you only have 6 people on the reservation at 60 days out, those are the only ones you can book Fastpass+ for.
 

I would think that guest services could cut the reservation into segments and put different guest names on each segment. Then they can link those segments together. However, in this scenario you run the risk of having to change rooms mid-stay.
 
With all of the "glitches" in the FP+/MDE system, I would try and keep it as simple as possible. In order to book FP+ reservations, your guests would have to be listed on your reservation and have tickets attached in their/your MDE account. You won't be able to list all of your guests on your reservation at one time.

I think that in order to make it work and everyone have their own magic band, you would have to break your reservation into different segments - a segment for each time period that a guest would change. That will get very confusing with checking in and out with each segment, the possibility of having to change villas and your mousekeeping schedule could get messed up. Not to mention what havoc this could cause with your FP+ reservations.

If you decide to wait until you are actually at the resort to add the extra guests, they might not get magic bands, or be able to make their FP+ reservations early.

Given it's for October, I would be concerned that as MS was dropping nights from the initial reservation to create a new reservation, those nights might be lost to someone on the waiting list. There have been conflicting opinions here on whether or not MS CMs can hold nights or whether they go back into the pool when attempting changes like this.
 
Thank you everyone for your thoughts! Considering the current state of Disney IT and the time of year / location, I'm not going to mess with the reservation.

The last think I would want would be to have to change rooms or lose some nights altogether!

I would set up the reservation for the 6 of you plus the first 2. You can then go to the front desk and remove the 2 that have left and add the 2 that are coming in at that time. At your 60 day mark you would be able to make FP+ reservations for all 8 of the people on the reservation provided they are all linked to your MDE account and everyone has tickets linked to them. Have the 2 people that are joining you later set up their MDE account and link to you. At the 60 day mark once you have made your FP+ reservations you can copy your reservations to them even though they do not show as an on site guest at that time. They or you would be able to change the times and/or selections of their FP even though they are not yet at 60 days. They would not be able to make their own selections in a different park if they want to venture off without you during their stay until they reach the 30 day mark.

If that's the case, a reservation for a Two Bedroom villa should accept all 9 names. You'll get MagicBands for everyone and can make FP+ in advance as long as tickets are linked to the bands.

Dining plan purchase would complicate matters. But without that, I don't see any reason why you couldn't just list all people on the reservation.

This might change things - I thought a 2BR villa at the BCV had a "legal" limit of 8? It it's 9, then I will likely do as you suggest.

Most two bedroom villas SLEEP a maximum of 8 guests but DVC has been allowing 9 occupants at any of them for many years now.
 
You are allowed 9 people, but bedding is only supplied for 8. We usually pack a twin sized air mattress.
