Need Help Please! Time from Closing to DVC System-longer now?

The conventional wisdom on this board is that it takes 7-10 days from closing until you are "in the DVC system," and thus able to enjoy member benefits like AP discounts, as well as make reservations. We just received notification today from both the TTS and Timeshare Closing Services, Inc., that our BCV purchase closed and was sent off to DVC today. :sunny: The email we received from TTS cited the typical 7-10 days until we would be in the system. It did not differentiate between calendar or business days. The email from Timeshare Closing Services, however, provided as follows:

I have sent your transfer documents to Disney via Fed Ex. However, they have informed me that they are approximately 15 business days in putting the changes on their system.

Eek! Hopefully that was just a very conservative estimate. Today is February 22. We fly down into MCO on March 15 (exactly 15 business days from 2/22) for our Spring Break trip. First thing I had hoped to do was use our new DVC membership to get APs at the DVC discount. It's going to be tight, obviously. Here come the questions. If anyone can help, thank you!

1) Is there anything I can do, short of beginning to call Member Services on Day 7, and ever day thereafter, to find out when I am in the system?

2) Is there anything I can do or anyone I can check with to at least confirm that Member Services has received our information, even if it is in the bottom or a processing queue somewhere? Somebody related a horror story on this board about how their closing documents went into a black hole at DVC for a period of time.

3) Can I order the APs somehow in advance, or am I better off to just order them when we get down there? I recall from a thread on this board that I will need some kind of a DVC membership card-- albeit maybe a temporary card-- in order to get the discount, so that sounds like a "down there" transaction to me?

4) Is it still the case that SSR is the ONLY place to get a temporary membership card?

5) And finally, the kicker. We are going to be staying at AKL on (hopefully) an AP rate. The timing seems such that, when we arrive very late on 3/15 (actually early morning 3/16), we won't yet have our APs in hand, because I'll be trundling off to SSR and DTD to get them the morning of 3/16 while the family sleeps in. In fact, that is probably the way this will work even if we are in the DVC system well before we head down, because the sequencing seems to be that I will absolutely need the temporary card to get the AP discount, but I can't get the temporary card until I am down there the morning of 3/16-- after having checked in the previous night. Does anyone think this will be a problem, in terms of whether it will be sufficient for me to show them my AP the morning AFTER check-in? I can and will call down to AKL, but just curious, as I know the company line is that the AP is required at check-in. That said, there must be instances where families can't find their APs right at check-in (packed them in checked luggage-- oh forfend!), or were in the same predicament as us (could not pick up their APs until the next morning). Aaargh. I have a headache now. Any advice!

Others here will help more I'm sure. My advice is to email MS with your request to see if you are in the system. Don't tie up phone lines with that or frustrate yourself waiting. I really wish they wouldn't give people these 10 day estimates of being in the system. It is what it is, you are in when you are in. Could be much longer than 10, I've heard of 30 days. It all depends on how busy they are and how soon they recieve the docs. The Ap discount isn't going to happen. Whatever rate you've got now is what you are going to get. AP discounts are not guaranteed, not available year round and won't be applied after the fact. Try but I would be shocked if you are sucessful. My question is why did you cut it so close? I hope you din't buy in quick to try to take advantage of these discounts. Relax, you'll get those chances at all of the perks once you are an official member. Hope it works out for you and you have a great trip.

Thanks Dave. Just to be clear, we already have reserved the AP rate at AKL, and if it comes down to it, I will buy one AP at full freight without the DVC discount in order to ensure the AP rate for the room for our stay. I agree it would make SO much more sense if DVC MS would simply send a two-word rote "you're in" email as soon as that is the case. It would save lots of phone calls and follow-up I'm sure. Unfortunately, it does not appear that they do that, leaving repeated checking as the only means to know when you are in. As for cutting it close, didn't really have a choice as this all came together, and as the resale that we wanted came available. This was a long term plan (I have researched and lurked heavily here for years), but if we can pull off the extra sweetener on this March trip, that would be great. I am betting that we will be in the system by 3/15, since the docs went by Fed Ex today to DVC. We shall see!
 
Here's what I would do in your situation. Call MS in 10 days (elapsed) time and ask if you are "in the system". If they say "no", tell them what's going on: You've got a trip coming up March 22, you hope to get a temporary membership card either before you go or once you arrive at WDW so that you can buy discounted APs at the start of your trip. The folks at MS are very nice and maybe they can and will do something to help you out.

Assuming they can move things along for you and get you into the system before your trip, you will need to find out how to get a temporary membership card. I have no idea how that works, but I'm sure others here have done this.

As far as checking into AKL without an AP or a voucher in hand, if they ask to see if at check in, explain your situation. They will probably tell you to get the AP as soon as possible and show it to someone at the check in desk once you have it. Our very first trip to WDW was on very short notice so we had no time to purchase APs before we left. We checked in to AKL on an AP rate and they did ask to see an AP. We explained we would be purchasing one ASAP and they reluctantly said that OK but to stop back at the desk and show it to someone once we had purchased it. It was late so we purchased the pass the following morning at one of the parks and showed someone the pass when we returned to AKL later that day.

You said you are checking in very late/very early so the next day go get your temporary membership card and purchase your AP(s) and follow up with the staff at check-in at AKL, if that's what they've told you to do.

Worst case scenario: MS cannot help you and you don't make it into the system in time, so no temporary membership card and no discounted APs. Then you will have to purchase one AP at full price so you don't lose your AP rate at AKL. The AP will cost you an extra $100, but you're probably saving way more than that with the AP rate. The question is, what to do about tickets for the rest of the family? Buying one AP at full price is one thing, having to buy them for the whole family would be very unfortunate when you are so close to being able to buy discounted APs. Not sure what to suggest.

Call me an optimist, but I think MS will come through for you.

We just got into the system this week, on the 12th business day after closing. On day 11, I saw the new contract show up on the member website. I called, but was told they needed 48 more hours to get the detail into the system so they could see (and I could use) the points. I checked the website 24 hours later, and all the detail was in place. I made our reservations at that time.

TTS had told us 10 days, the closing folks told us Disney was running 3 weeks behind. This turned out NOT to be the case for us.
