DME without Magic Bands

On our next trip, DS and his family will be coming in a couple days later than us from a different part of the country. But all the Magic Bands are being sent to us (uncertainty of where they'd be just made it easier to send all to us). I made reservations for them on DME, but they won't have MBs when they land, those will be at the hotel with us. Without their MBs, will they have to go to the DME desk to get on the ME bus? I'm trying to make it as easy as possible. I'd love to think they could just tell the people at the hotel lines "Yes, we have reservations". Since they're coming in after 9:00 pm, they'll have their luggage-should I send their yellow tags to them. If they show those, can they avoid the desk?
 
Others may have a better option but when we have encountered this in the past we just send the letter that comes with the yellow DME tags to our family, they can use the letter to check in at the DME podium, and we use our MBs, the yellow tags will not be helpful to them.
 
We are international so don't get magic bands. We just show our booking stuff.
 
Confirmation number at the podium should be enough, but if they have the original email printed with the information on it, it wouldn't hurt.
 

I verified with DH today that we have their address, so when we get the DME documents, we'll send that to them. I'd forgotten that there'd be a letter.
 
Wouldn't you always have to go to the DME desk to get on the ME bus? That's like the first thing (the desk) that you come across in the long path towards the bus.
 
Nope. The last few years, I've just had to go directly to the line and they scanned my MB. I forget exactly when it was that they stopped requiring people to go to the desk. I know that it used to be that way, though.
 
Ah, I just went in May and people were lined up at the desk waiting to be told which row to go to.
 
Our family travels from all over the country and I am usually the person who makes the arrangements. I just mail the a copy voucher that you will receive along with the appropriate luggage tags to each family. Alternately you can scan and email the voucher if they aren't using the luggage delivery feature.
 
It's a good idea to bring some paper with you to confirm your Magical Express reservation with. Just in case "the system" lost your information.

Make copies so family (and friends in your room) arriving at different times have something to bring.
 
From Canada and pick our bands at resort. there was a letter with a bar code that came with the luggage tags. used that to board ME
 
When should I start looking in the mail for the letter? We're 44 days out.

Do you mean the free standing desks where CMs stand to scan the band or check letter or ID and point you to the line...OR are you referring to the desks on the side like rental car agency desks, who would the point you to the CMs at the free standing desks who will scan/check and point you to the line?
