Chancer emails - when and where?

I know this has been discussed before but I can't get my search function to work properly. We are staying at the Cheyenne and would like to email in advance to say it's our DD's 3rd surprise birthday trip and we are telling her she is being invited by Tink, Mickey and the Princesses and to ask if it is possible for a nice room, possibly as close to the parks as possible and for a little magic fairy dust if they can!

When should I email? What should I ask for and who should I email?

Hi Rosebug.

I've just come back from a stay at the Cheyenne and had sent my chancer e-mail just over a week before we arrived. I used this e-mail address:

dlp.guest.communication@disney.com

They e-mailed back saying my requests had been forwarded to the hotel but that nothing could be guaranteed - fine :)

I started by saying how much we were looking forward to our stay and asked if it would be possible to have a room close to the facilities (as we visited with my Mum and knew she would appreciate a shorter walk at the end of the day). Said I didn't know if it would be possible etc. then mentioned it was a very special trip as my daughter would be celebrating her birthday a couple of days after our return.

We had a room about 30 seconds from the Chuck Wagon and chocolate coins, bottled water and a lovely welcome note upon arrival. Nice surprise really as I had honestly gone into it all expecting nothing!
