And just to add in -- my dates are correct as well. And even more thanks for organizing and managing all this for us. Can't wait to break in the Group #2 chairs in just 3 weeks! I am so tired of the real white stuff and looking forward to FL temps, even if they're cold for FL natives.
 

Just called VB and asked to speak with Nicole. She is off Fri and Sat ! She won't be in until Sunday. I left her a voice mail message. I was prepared to order the chairs/umbrellas today but noone else at VB seems to know the protocol for this ? I wonder if starbox could tell me ? I just don't want to place the order and have it shipped incorrectly ? Does anyone recall how starbox handled it last year ? I spoke with Linda and then Bonnie (who is filling in for Nicole Fri and Sat). Neither could shed any light.
 
My dates are correct, have you received my check?

No dairyqueenmom. I am keeping a list and check off names as the checks come in. I don't see a check mark next to your name ? When did u mail it may I ask ?

We are down to the wire. I MUST finalize the list in next 48 hours and fax to VB. PLEASE....there are a few of you who I have not received checks from and not even heard from in over 2 weeks. IMPORTANT UPDATE

I just faxed the final list to Nicole at VB. She was off Fri and Sat and I was told on Friday she would be in today (Sunday). Just called and they told me she is "out" today---maybe ill ?

Anyway....wanted to speak with her prior to ordering the chairs just to make sure everything was still a "go". I planned on ordering the chairs today. I spoke with starbox who has been VERY helpful. She suggested I address the chairs and umbrellas to the first two people of each group. That would be Tgan and dgaston.

So when you both check-in, please make sure you let them know there should be a very large package for you. Not every CM is knowledgeable about the chair swap. Nicole has been the go-to person in this last year and this year as well. I faxed Nicole my home phone number and cell number. So if anyone has any problems, the CM's working Bell Services will have my number.

Also, just a few guidelines....
1)please make sure to care for the items during your stay and leave them in good condition for the person folllowing behind you. Shake out sand etc.
Last year, we had issue with torn umbrellas. I need to hear some suggestions as to what we should do about that ? I have been thinking about this issue for a couple days. I considered holding back some of the CM tip money as sort of a surplus budget should any item become damaged beyond repair ? What do u think ???? If you all don't agree, that is fine. I understand. Just trying to plan ahead for damages.

2)Also, please do not add any items to the swap. Some last year added floats, boogie boards, snorkels etc. I am sure these were all good-intentioned, but it aggrivated the CM's. If you all go back towards the beginning of this thread when I first spoke with Nicole, you will see she and the other CM's came very close to not authorizing a swap this year. They felt there were too many issues with it. If anyone is disgruntled about something, PLEASE do not vent to the CM's. They are not deserving of it. They don't even HAVE to do this. Rather, ask them to call me and I will see what I can do about any potential problems. I actually have a daughter that goes to college only about 30 min from VB so if needed, if an item is damaged, she could replace it and drop it off at the resort. Please don't vent to the CM's. With a total of 42 parties in this swap, there are bound to be some issues. If anyone feels they would like my cell phone number, please email me : MiaSRN62@aol.com
I just ask that if you feel you need to call me, please do so only for urgent matters. I work crazy hours and sometimes I am asleep during the day. I rotate through all different shifts as an RN and it's not unusual for me to be asleep at noon because I worked 11 pm to 7:30 am. There will be some moments when I'll be at work and won't be able to get right back possibly. Again---work all hours and shifts (7 am to 3 pm; 3 pm to 11:30 pm and 11pm to 7:30 am). I never had a set schedule.
But if it is a serious matter, feel free to call. I will only give out my cell to those that feel they want it and email me. My PM box is just too full.

3) Please show appreciation to the CM's handling this. This can be via kind words, tips, cards...a box of candy....anything. I think if we make this a more enjoyable experience for the CM's (who are not getting paid to help us with this...they are doing us a favor), the swap will me more likely to be allowed again next year.

4) CM tip. I will have money for a tip. Nicole suggested a fruit basket from Edible Arrangements. Let me know if you have any other suggestions ??? I will probably be able to send a few baskets spaced out over the length of the swap (which spans from Feb to Nov). Any other suggestions....I'm open.

Now...do u all feel I should just place the order without touching base with Nicole ? I haven't spoken to her in like 3 months. I was mentally prepared to do it today.

Ok...another update from me.....

Nicole called me back since my last post. She explained she was working housekeeping today and the front desk didn't realize she was there.

She was nicer and more relaxed about the swap from our last conversation. I tried my best to put her mind at ease that we would handle this as smoothly as possible and she seemed very appreciative of that.


I ordered the chairs/umbrellas 5 min ago. Total was with shipping :
$276.86

Total I collected from you all :
$509.55


I was *thinking* about keeping aside maybe $80 as a reserve for any potential damages so we could replace anything if need be ? If u are all in agreement, this would still leave $150 tip for the CM (to purchase the fruit arrangements or whatever else u all might suggest).

So :

Collected total checks : $509.55
Less chair/umbrellas: $276.86
leaves : $232.69
damage reserve : $ 82.69
leave CM TIP : $ 150.00


If during the length of the swap, the reserve money is not needed/utilized, then that $82.69 will go as a final "thank you" to the CM's at the end of the swap.

If everyone is in agreement, that was my plan. If not, please let me know your thoughts.

tgan and dgaston.....the entire order was shipped in both your names at Nicole's recommendation. Shipping with this company appears to be quick, so I feel confident everything will be there for you upon your arrival. Tgan...since you get there first, just let them know there is another DIS'er arriving 2 days after you on Feb 15.

And, one more reminder.....there are many of us in the swap that check out the same day the next DIS'er checks in. Make arrangements please with those in front and behind you via PM's about the specific times the chairs will be returned to Bell Services. For example, Samamit is right before me on the list, but he is way before me so it won't be an issue when I pick up the chairs. But pinktales arrives the day I leave, so I will communicate with them as to when the chairs will be returned.


For those who have not ever been to VB, the Bell Service desk/room is in the lobby, and to the left of the front desk if you are looking straight at the desk (near elevators). This is where you go to pick up the chairs/umbrellas.....not the front desk. I think only tgan and dgaston may have to inquire at the front desk since you both are the initial swappers. Last swap, the chairs and umbrellas remained in your room for the duration of your stay. So we are not constantly going back and forth on a daily basis picking up and returning chairs. Don't think the CM's will appreciate that.

It all sounds great. I like the idea of spreading out "thank you's" to the CM's throughout the swap rather than a big tip at the end. I also think the idea of holding onto a little extra for damages is a good idea.

You've done a GREAT job with this and it's much appreciated! :flower3:
