Hi -

We're staying at BWI concierge in January, and it's the first time we've ever stayed concierge. We're then moving to the Poly for a few days, but not staying concierge.

Can anyone tell me if there's a general rule about when you should email the concierge office? My 180 day mark is July 5, and I'm wondering how soon before that I should try and send an email. I'd like to have them make a few ADRs (not all of them because I'm a total dork and really enjoy making some of them myself) and eventually a specialty cruise reservation at the 90 day mark. I've tried reading some previous posts but I can't get a sense of how early you all are calling.

Also, does anyone know ... as my whole trip won't be at the BWI concierge ... if I ask for an ADR or a cruise, can I tell them any day of the trip would be fine if there is no room on my preferred day or do they stop trying for ressies after the day I switch to the Poly?

Any insight is appreciated. Thanks!

I don't remember the hot dishes for everyday of the week, so here the ones I do remember.

Tuesday: Beef Wellington Puff Pastries, however I forget the 2nd hot dish.
Thursday: Chicken Wings and Ribs.
Saturday: Mini Egg Rolls, however I forget the 2nd hot dish.
Sunday: Steamed Shrimp, however I forget the 2nd hot dish.

Hopefully someone else remembers the other dishes, if not you should find out when your at the Atrium Club.

Thanks for the quick reply but I was asking about the WL. The Atrium Club is at the CR, right? I got excited about the variety and then realized that this wasn't referring to the Old Faithful Club.

Yes the Atrium Club is at the Contemporary and I think you 1st titled you post Atrium Club Level and you must have changed it to WL Club Level after I posted my reply. Maybe what I posted will help someone else who has an upcoming stay there?

Call/email IPO now. The planners can make your reservations before the 180 mark. They made mine early so I got exactly what I wanted.

They can't book most things more than 180 days out (the system just won't let you), but they put it in their system and book it first thing on the first day available to book

Has anyone recently received a new itinerary form? I got mine the other day, but the address was from Corp Business Objects. I almost thought it was spam. The addresses to send it back are the same as the old IPO addresses. I was just wondering if someone new what was happening. I got one from the Contemporary and one from the Boardwalk. It said welcome, but it was just the standard sheet you fill out with your plans. Just thought I would share.

My DH and I would like to stay at the Poly King Kamehameha Club. My question is this; is the building where the monorail is running considered club level and can you request a room in that building? TIA

no the poly club level rooms are in the hawaii building and the suites are in different building as well
the main building doesnt have any rooms in it I believe

If our room is ready when we arrive can we ask them to bring our luggage with us when we go to the Hawaii building? That's what we always do when checking into the Atrium Club, so we would like to keep doing it like that if we can.

When we arrived in May, our room was ready so they put us plus all our luggage on the golf cart and took us straight to Hawaii and directly to our room. When we got a little settled, then I went out and did the official check in with the concierge staff while my family snacked upstairs. Very easy and convenient.

That's right.

Forgive me if I'm wrong (I certainly have been before), but I believe the concierge staff can make ADRs up to 190 days ahead of time. That's because of the 180 + 10 rule for all on-property guests (everyone, not just concierge people, can make ADRs up to 180 days before their arrival date as long as their arrival date is not more than 10 days prior to the requested ADR date. I hope I'm explaining that correctly.) Anyway, because of that, the concierge staff can make each day's ADR exactly 190 days ahead of time, on a day-by-day basis. That's at least what happened with us - we got CRT breakfast exactly 190 days prior to the date we went.

Nope. Never edited. We're staying on the Club Level at the WL in October. I didn't even know the name of the concierge lounge at the CR until your reply. Your username + Atrium Club= the CR. (I also confirmed it at AllEarsNet ) I'm sure that others will find the info helpful though as it's what I'm looking for. Now, if I could just find out what they have at the Old Faithful Club......Anybody?

Just to add to this if you book a room in the King Kamehameha Club in the Hawaii building that would be the only occasion when you don't request a building at the Polynesian.

The girls at the YC planning office were nice enough to setup a Christmas tree that I sent down. They purchased pins, lanyards, Pal Mickey and a few other things for me and placed them under the Christmas tree.
