Touring Plans Fax Room Request

I have never done this before but am considering it for our upcoming Sep trip. How do I make a room request to be faxed by touring plans. I have a TP subscription already. How successful are you at having your request granted?

Id say its about 50/50 on the ratio of success. Its pretty easy, just go to your dashboard, put in info about your trip, then choose configure this fax. You will see a layout for you to choose a room in different buildings, and once you choose one you will see photos of the view from that room.
 
I have not gotten the exact room I put in for, but have always been close. That's all I wanted anyway, just a general location. I used it for POR to get a room close the West depot bus stop on multiple trips.
 
I have used it for our January and April trips and we were within one room of what we requested and I was pleasantly surprised. I would have been happy with high floor or view but they did really well. Now, I did visit during what I believe is a slow time so I think that needs to be taken into account. I leave in 7 days so I will see if we get lucky again.
 

Your success will be determined by how many rooms at the resort meet your criteria, and how many of those rooms happen to be vacant on your arrival day. It’s just math and luck, no matter how you make your request.
 
A couple of things...

1 - Leave the pre-populated text where and as it is. That is in room assigner language. I have found that it starts with the room number you input.

2 - In the larger text box on the fax form, you can add info such as your priority order. For example, mine that is to be sent today says something like “My priorities for the room are 1st - top floor and 2nd - corner room” I also listed a specific number and said that as a single female arriving after midnight, I preferred a room as close to the main walkway as possible and that number appeared to be among the closest. But my priority order for requests is clear.

I had good luck in Feb at Sports. Was 1 or 2 doors down from the first room in the pre-populated field. We shall see in 5 days how it works this time (though with my late arrival I am fully braced for the possibility that someone complains about their room and gets switched to the one I was to be assigned before the info was put on MDE or texted to me. (I do not think they can change a room once that info has gone to where the person can access it but before they check in...but I do not know that for sure.)
 
I would just call the Disney reservation line to make your room request. No guarantees it will happen regardless of how you submit it, more like stating a 'preference'. Lots of others threads about this subject. Personally, I would rather do it myself then depend on that 3rd party website to send in the info, too many middle-men can make things go wrong.
 
How successful are you at having your request granted?
Just about three for three. Twice got the exact room (or cabin) and once got the floor and building but not room.

With the Cabin when we arrived the Front Desk CM told us there was a cabin in the loop we wanted ready (8AM) but the exact cabin would be available later in the day. We chose to wait and got the room ready text at 5PM.

My forth try is coming up in a week. I asked for a specific room. Second; building and floor facing NE. Third; building facing NE. We'll see if I can make it four for four...

I'm happy to let the third party handle this.
 
We did the TP fax and a few days before they were due to send it in I put my room request criteria in the free test box - 60’s section lake view and we needed a tub. We got our criteria met - not the exact Room but all our criteria was met. That being said we had to move for or second half of our trip to 50’s and while we couldn’t really see the lake we were in the room closest to 60’s and that side of the building. Our walk was shorter to the main building from that room than our 60’s room it seemed anyway.

How far in advance do I need to do the request for touring plans to fax?
 
Requested a specific room at BWV for my Sep 2017 trip. After hurricane irma messed everything up, and our first two days were cancelled, by some miracle we still got the same exact room number we requested.

So cast members will do the best they can
 
I have used it 3 times:

One time, I got a room very close to the one I requested (AKL), which was about as close as my original request and met my two requests.

Another time, I got a partial set of requests (POR), which also worked out just fine.

A third time, (WL) we got a totally different room than the one we requested and had booked, but it worked out extremely well (we asked for a non-connecting, quiet room away from lobby, had booked Nature view and were placed in CCV).

The key is to let them know what you are looking for, not just give them a room number. If you just give them a room number, and that room and the ones next to it are occupied, they won't know what you want. So, for example, if you are staying at POR and traveling with a stroller, let them know that you are traveling with a stroller and want either Mansions (they have elevators) or Bayou first floor. That's just an example, but it's important to explain what you are looking for. And, of course, make sure your request is within your category, otherwise they really won't know where to put you. It's also a good idea to make requests that are general enough that they have a large number of rooms that satisfy that request. If you ask for a corner, king bed room and there are only 10 of those, then It may be difficult to get it, as they may already be occupied.

You can set it up as far in advance as you want - they send it 5 days out. (They'll send a reminder a few days before to edit it if you want - or set it up if you haven't.) Mine was faxed today for my stay beginning Friday night.
 
I'm surprised that DVC villas are being requested by fax since DVC has asked members not to bother faxing since faxes are just thrown away at DVC resorts.
 
Requesting something very specific like an exact room # decreases your chance for success since you never know if that room is already occupied by someone staying longer then you are. General requests (i.e. near an elevator or a higher/lower floor) seem to have a greater chance of being met.
 
I'm surprised that DVC villas are being requested by fax since DVC has asked members not to bother faxing since faxes are just thrown away at DVC resorts.
I would expect it to work for reservations made directly via Disney CRO for BWV but not when reservation is made through DVC Member Services.

Which is why I said what I did above. The pre-populated line does not say one room unless altered. It reads something like "Bldg 2,Flr 3,NE-facing room.Exmple:2332,2331,2330,2329,2328,2327,2232,2231,2230" which is in room assigner-speak and lets them know the general view you would like. Then in a larger box, you can prioritize your requests. That section of mine sent today says this:

"I have a River view room booked, and I would love:
1st priority - top floor and
2nd priority - corner room.

I'll be arriving late at night (probably after midnight) - so the closer to the lobby I can get the better - I do understand that the river is on the opposite side of the resort though. :)

That way, the assigner knows from the pre-populated line the building and area I would like. Then my wording lets the assigner know that my top priority is a top floor room and my second is a corner room.

So if all works well, the assigner will look at Building 2 Floor 3 to see if there are any rooms available. If there are, the assigner will look to see if any are corner rooms.

My explanation gives them more information, so that can help, but is not mandatory.

I fully understand it is only a request, but when done with priority order lists for the requests, it helps them assign a room as close to your requests as possible. Sometimes it just isn't.

I agree. Why not just call in the request?
 
I would expect it to work for reservations made directly via Disney CRO for BWV but not when reservation is made through DVC Member Services.

I rented points last year for BWV and and still got the room I requested

Lasy year a cast member told me they prefer exact room numbers so they can put you exactly where you want, or close to it. They told me general request are more work. That's just what I was told, and by no means what every cm thinks
 
I understand that the general advice is the odds are against you if you ask for a specific room. I'm two for three. Since I've actually beat the odds my advice is to go for it! I see no harm in asking.
