Tips for a BAND TRIP Requested

hahahaha kidding. But yeah, I took clarinet lessons throughout college and am currently teaching 7/8 grade clarinets, and I can relate to the pain of how some beginners/younger players sound. :P
 
We are doing the MSEP parade on April 2nd.

I just talked to OnStage programs (use to be Magic Music Days) and she told me that they don't have any photography set up but we can stop into the PhotoPass location, Town Hall in MK, and ask about it that day. I am going to go there on April 2nd and request that they have someone, or two, to take pics of the bands that night and have them give the cards to the directors. Hopefully, that will work!

We are from Battle Creek, MI and our band is the Lakeview High School Spartan Marching Band. Our band goes to Disney every 4 years so all of the high school kids in marching band get to go once. It is so much fun to be there with them and watch them perform! At least the MSEP parade is going to be a little cooler for the kids. The last time we marched it was 90 degrees and sunny. Beautiful weather, but very hot in wool uniforms! Make sure that the kids stay hydrated during the day.

If I think of any more tips I'll post them. Maybe if you and I both request that PP take photos that night we will get our wish! (*fingers crossed*)

I believe you may be thinking of Grove City H.S. :confused3 Central Crossing has only been open since 2002 and this is the first trip to WDW.

How soon do you find out which parade you are marching in? My two Nieces are marching just before Memorial day. We are driving to Florida to see them march and worried we will not make it in time.
 
Non-band mom here but I'm an elementary music teacher and watch our district's high school bands and choirs go all the time.

DH and I joke that if DS or DD ever goes with their band/choir, mommy and daddy are going to fly down ahead and stay DVC while they're "slummin'" it on the bus and with their buddies.

Who am I kidding? They're probably going to be embarrassed we're there. :rotfl:

Anyhow, one of our district's high school choir just went over T'giving break and they had no plan, no groups, no nothing. All their itineraries said was park hours and curfew time. :scared1: My friend who was sending her freshman son panicked a little.

I was head chaperone/trip coordinator for my sons' WDW trips with their marching band, and after they graduated, I just couldn't give it all up (if you do it, you understand!). So now I am one of those group escorts. I work for a travel company and escort bands and choirs on trips of all kinds. Lots of Disney, plus band competition trips (mostly BOA), NYC, etc. So I am essentially getting paid to do what I did for free for ten years! It's a tough job...

I LOVE taking groups to Disney. Partly because I am so familiar with it that I can offer lots of helpful advice, but also, as several PPs have said, because it is so heartwarming to see kids enjoying one of my favorite places. For my own kids and those I have escorted, it was/is always surprising to them just how much of a rush it is to have literally THOUSANDS of people along the parade route cheering for them.

I believe the OP said they have a guide from the travel company who set up the trip, is that right? If that is the case, there are many things the director/chaperones do not need to worry about. One of the main ones is photocopying/keeping track of ticket numbers. At least with our company, I always have with me a binder with all the information I could possibly need, including phone numbers, confirmation numbers, and most importantly, a list of everyone on the trip and his or her ticket number. With large groups especially, there are ALWAYS a couple each day who lose their tickets, or forget them at the hotel, or whatever. The procedure is that I take those students to guest services, show MY ticket (so they know the "batch"), and tell them the number of the ticket that needs to be replaced. They void the old ticket and assign a new one. Only takes a few minutes. Our company also writes individual names on each ticket, so that if one is found on a bus seat or the hotel lobby or wherever, they immediately know who it belongs to. (Not to mention when four kids in a hotel room can't agree on who actually lost a ticket...)

None of the groups I have taken to WDW have collected the tickets after entering the park. To me, that is a cumbersome step and takes away the opportunity for fastpasses, one of the best features in the parks. For the PP who mentioned having the chaperones get FPs for everyone...wow, what nice chaperones you have! I guess it's like the Brazilian tour guides. I hope your group was not too big!

Several of the groups I have traveled with have done what one PP suggested, having chaperones at certain spots (they rotated shifts), so students could find them if needed, for medications or other issues. In general, meeting up during the day just to check in (as opposed to for a scheduled activity) is MUCH more trouble than it is worth. That takes a huge chunk out of touring time, which is already much less than a typical WDW trip because of the scheduled performances and other activities. My oldest son's trip was Christmas week 2000, and not only did none of the kids have cell phones, most of the chaperones did not, either! To me cell phones have totally changed the nature of such trips. And we have never had a problem with spotty cell service in the parks.

The meals can be set up a few different ways. Sometimes our groups get one credit-card type dining card for the whole trip. These are great and convenient (can only be used to purchase food and drink), but unlike park tickets, they CANNOT be replaced if lost. So if a kid accidentally throws his out with his trash, he is out of luck for the rest of the trip. Talk about a lesson in responsibility! They other option is youth program meal tickets. These entitle each holder to a combo meal, a drink, and a dessert. I tell kids that is a lot of food, so they might consider splitting one with a friend, then getting another one to split later that day. Admittedly, that advice works better with teenage girls, since teenage BOYS can generally eat anything you put in front of them...

Find out what your travel company has organized for meals and go from there. And use your guide. He or she has most likely been to WDW many times with groups and can be a valuable source of advice and info.

Enjoy your trip, I know your kids will! I am actually escorting a band from Louisiana next week for the Disney Honors program.

No...I meant that I was one of Mr. Wolfe's band directors when he went to Logan Elm High School. He's now a Music Ed student at Capital University and I thought he was student teaching at Central Crossing this year...just can't remember if it was Fall or Spring Semester.

I'm also an OMEA Marching Band adjudicator...I always enjoy your band!

I see, I misread your post! I know we do have a student teacher from Capital right now but honestly don't know his name. My son has had very nice things to say about him, which is good since my son is planning on attending Capital in the fall! We're just waiting on his acceptance to the conservatory and his financial aid packet. :scared1:

Thank you for saying you enjoy the band. DH and I have been pit crew parents since 2002 when our oldest was a freshman in the band. We have had so much fun over the years and we're sad it's ending this year.

Ok, back to planning our trip.

1. We didn't either, but some must do it. Thats why there is no finger scan for YES tickets.

2. As for getting FP's for everyone. We only did it once when all the kids were in their Its Instrumental at Epcot. We had to "check in" their tickets backstage before they got out so they could just go into the parks right away. Also they only allow a few chaperons in the class so since we had all the tickets in hand and had to walk back to FW. We decided hey lets give everyone a treat.

Last trip four years ago, we didn't get Soaring FP's they ran out and we waited 90+ minutes.

The three of us got FP's for everyone for Soaring and before you say anything since it was Feb and rainy and cold we had all the machines to ourselves.

We then rode it before heading to GS to take care of some broke ticket issues. The return time was so quick for Soaring we could have gotten them TT FP's also but we needed to get back.
 
Our trip they will collect the tickets, so no FP. My ds is quite disappointed with that!

My younger DD goes to Capital...Math major, though. I'm with you on the :scared1: over the cost!

(She actually dated the young man that is student teaching at CC when they were in HS! :) )

DH and I leave on Thursday morning and the band leaves on Saturday !!!!
I got their shirts in on Saturday, the blankets are almost done and now I am working on some travel bags for the kids (park maps, candy and other stuff.)

No word on the exact way down main street yet but hopefully soon ... I am trying to get video cameras organized to get most of it and I guess either way they will still get a great shot from the locations I have picked.

I plan to ask about photo pass that morning !!!
I really hope they will take photos but if not my DH has a really great camera and he has been our "unofficial" band photographer for four years.
 
Tip for the conductor - I was a conductor and we performed in front of the Spectro magic parade. Yes it is easy to see the train tracks walking forward....but no it is not easy to seem them walking backwards.

Just a warning to watch your step :)

Yes our Drum Major had problems with the tracks.
 
Contact the booster club of another high school band that has done this succesfully. Our HS band has done this many times over the past few years and has it down to a science. With over 250 members plus the color guard it is a neccesity. In the past few years they have been to China, the inagural parade in D.C., The Rose bowl, St. Patricks Day parade in NYC (this is an annual trip) Disney (both coasts) and many other trips. It can be a logistical nightmare if you don't know what you are doing. So I would suggest just contact a large band in your area that has done some traveling.
 
We are getting excited too!! We leave on Friday morning and the band on Sunday. We march on Wed the 30th before the afternoon parade. I just hope it doesn't rain and they cancel. That would be really heart breaking.
