Room with a pull out bunk

to OP he is a CM who does a lot of room assignments. one idea that has not been mentioned but I would pack an air mattress in case you end up with a standard room. problem solved. the person you talked to on phonies not at WDW but a remote call center and can not say for sure. yes you have a medical need but a family of 5 will still get the room over you as they can not fit a standard room. for that reason look into blowup air mattress

Agree.

Mr. Scupper is a CM who is very knowledgeable in this area. My view is his style of posting is his "signature' and not meant to offend. It's to give very clear answers to questions. He is absolutely correct that no matter what someone tells you on the telephone, all decisions for all things are made at the local level whether it be the hotel or restaurant or park. All Disney fine print protects them from all promises made. Mr. Scupper's post was not intended to trigger anxiety but to prevent it should you arrive and be told you do not have a bunk room. His point is to be prepared since you are a party of 4 and to have a backup plan as Ms. Rohrer suggested.

Crazy! I looked all over the Disney site for pictures of the pull-out bunks at CBR at couldn't find any!

1)The person I spoke with understands the medical necessity and confirmed it as an absolute
2)You may not know absolutely everything
3)Like the fact that you left out the number three

1) I assign and reassign rooms almost every day at The Concierge Desk . . . It is part of my job.
2 And, yes, people say they were "promised" by the reservation agent.
. . . some were promised suites (yes, even expensive multi-bedroom SUITES are not guaranteed)
. . . some were promised specific views
. . . some were promised bunk-bed rooms
. . . some were promised cots or rollaway beds
. . . some were promised King Rooms
. . . some were promised handicapped rooms
3) But, reservation agents DO NOT have control over room assignments.
. . . regardless whatever they tell you
. . . regardless even what is written on your confirmation !

4) Some reasons your room request is not honored
. . . the room might be assigned/reassigned to someone else
. . . the room might be given to a VIP (Level-1 or Level-2 VIP's can frequently get their rooms changed, but usually not Level-3 VIP's)
. . . the room may have mechanical or sanitary problems
. . . the room might be part of a resort rehab
. . . the room might become part of a group event and be blocked out solely for that group (eg. conventions, weddings)
. . . the room might not have been cleaned due to low Housekeeping staffing that day (eg. absenteeism, tardiness)
. . . the room is occupied and WDW hasn't evicted the current guests (by law, Florida does not allow guests to overstay their ressie)
. . . larger families can get priority for pull-down-bed rooms over smaller families

REPEAT: NO ROOM STYLE OR TYPE IS GUARANTEED.

NOTE:
Not trying to ruin your vacation or make you stressed.
But, getting out the room-reservation facts are important.
What would you say if you got to the resort and did not get the desired room style?
We do try to make it right, but sometimes it simply does not work out.

While not common, it is important to remember that even a bookable room category is not guaranteed. Disney's small print covers them for just providing any room on property. An accommodating phone rep with a verbal "guarantee" doesn't mean much if the desired room is not available, and specific rooms are not blocked at the time you make a reservation.

That said... OP, since you have booked a preferred room at POR, which means Alligator Bayou where I believe all of those rooms have the murphy bed, the chances of not getting that room are relatively slim. If it would ease your anxiety, PP's suggestion to bring an air mattress is a good back-up and many families do just that.

Enjoy your vacation!

I won't argue with people who have different experiences, but I will tell you that if you have a medical reason for a specific room and you tell them ahead of time and follow up, they block the room for you several days before you arrive, and if anything is wrong they will do there best to fix it.

A year ago in March we had a specific room we needed for medical reasons. We talked to special request and disabilities and recieved a call back from a Donna. She promised that she has already talked to POFQ and they knew and it would be granted, but to make sure I followed up with a faxed request 7 days before. I did and when we got there the room was exactly what we asked for.

In January and April of this year we went to DL we needed specific room assignments for medical reasons. We called and spoke to them and they promised it would be granted, again I booked in the catagory needed to get the request, and I followed up 7 days before and it was granted both times.

In August we are going BC, we can not book what we want because what we want does not come with the number of beds we need. After frantically talking to room assigners and disability and managers, who all know what we need and the medical reasons we need it, they admitted they may not be able to get it at the hotel we are booked at, but they did say and promised that my reservation would be granted and they will even move us to a different resort if the room does not work out. For two months they know already what room we will be in, they will block it out just before we arrive, I am hoping it does but I know for a fact that if it does not, they will do everything they can.

With that all said, it sounds like you booked the way you needed to to get your needs met, prefered room will give you the pull down bunk. To calm your nerves a bit, I would fax over the request for a room with pull down bed 7 days before you arrive and explain why you need it. Then follow up with a phone call, POR and POFQ have always been able to tell me a few days before that the request was granted, because it is medical they put you in before anyone else coming that day. They can not tell you what room you are in but they will have it blocked out so no one can have it but you.

Basically, on the day you arrive, say there is 15 rooms with a pull down bed open and 16 people are coming in for those beds. Your room was blocked off three days before so your room is yours and none of those 16 can get it.

Hope that eases your mind. Also, I woul ask for a bed rail, those pull downs are narrow and if she tosses so much she may fall off, so a bed rail can be ordered from the resort.

Have a great vacation.

Unfortunately, even a blocked out room can be re-assigned to someone else. I've twice been bumped from my blocked off preferred room to non-preferred. So while the odds may be great of the OP getting the room location they need, it is not truly her room until she is in it. And bringing an air mattress as back up is good advice.

Also, one of the people who have posted their different experiences that you seem to doubt is a current Cast Member. One who works at the resorts. So I wouldn't be so quick to dismiss their advice.

We would like to stay at POR and they have rooms with a pull out bunk, but the travel agent is telling me that she will not be able to get a guarantee at POR, but CAN at Caribbean Beach.

We need the 3rd bed because my daughter's autism involves a lot of flapping at night and she can't share a bed. The TA says families of 5 will get priority for those rooms because "they can't be accommodated" in a room without one.

Neither can we.

Do I need to find a different agent? Does it make sense that she can guarantee a 3rd bed at CB but not POR? Is there someone at Disney who could help us?
besides the air mattress I suggested earlier you could look at the cabins at Fort Wilderness. you and younger child could sleep in bedroom and older child could sleep on murphy bed in the living room. unlike pull downs in other resorts the cabins do sleep adults not just kids. the cabins are listed to sleep 6 but that is true of all the cabins, so if you have ressie you would have all the beds you need

Besides, people who stay at The Fort (and those of us who work at it) agree it is the best resort on-property.
. . . nothing fancy, just a supercharge campground
. . . more activities for a family and more kids' things to do
. . . campers are friendlier than typical "hotel" guests
. . . kids meet other kids they can pal-around with the entire vacation, and even vacations to come
. . . campers are usually more friendly, and talk to each other, instead of just nodding as they pass in a hallway or lobby
. . . you can BBQ or cook at your campsite/cabin -or- you can do WDW restaurants
. . . wildlife consists of there are rabbits, ducks, geese, deer, armadillos, and peacocks
. . . 504 square feet, 12' wide by 42' long.
. . . all cabins have separate bedroom with a double bed, bunk beds and a pull down bed in the living area
. . . the cabins will sleep 6 people

As an added (huge) plus, you might have a chance to meet TheRustyScupper.

I would say that if you have a medical need and let them know it is a medical need when making your reservation, you do have a good chance of getting the need met. From what I have heard from room assigners, those rooms are assigned first, before the general requests for the same type of rooms.
But, things can happen, even with a guaranteed room. Several times over the past 20 years, we have not gotten the roll in shower room that was guaranteed and locked in for us.
Once it was a mechanical problem with the room that needed to be fixed before it could be assigned. And once it was something the previous guests had done in the room that required the carpets be shampooed.
In our case, with a roll in shower room, there were not a lot of options since there are not that many per resort.

For something more common, like a room with the extra bunk, there are more rooms available that fit the need. But, even then, it might depend on when you are checking in and when the problem was noticed with the room. If you arrived later and all the rooms of that type were already occupied, there would not be much that could be done.

1) Checking-in EARLY in the day is VERY IMPORTANT.
2) Early check-ins frequently get to change their room assignments, even during extremely busy periods (like Christmas).
3) It is a fact of hotel life.
4) EXAMPLE:
. . . guest #1 checks-in at 7:00am
. . . guest #1 does not like the room type or room location
. . . guest #1 can appeal to the Front Desk CM for a room change within the same-priced category-view-type
. . . guest #1 usually gets a different room, even one assigned to guest #2
. . . guest #2 then has their assigned room moved to another room bumping guest #3 (think of dominos falling, and falling, and falling)
. . . guest #2 checks-in at 4:00pm and finds the room they requested is already assigned to someone else
. . . guest #2 usually doe snot even know the had a different assigned room, they just are told their "new" room number
. . . guest #2 got what is left from vacant rooms "in inventory"
5) Thus, if you check-in really early in the day, you have even a better chance at your room request
