My cousin and her husband just returned from a Vero/OKW stay as my guests. They aren't computer savvy so they don't know how much we all crave information. I did get some information from them. I thought I'd share it as a balance to someone else's negative experience that was shared for roughly the same time period.

They were at Vero Beach March 12-14 in an Oceanview Inn Room. This is their 4th or 5th trip to the resort at roughly the same time of year. They said everything was beautiful. Room was terrific, just perfect. (No mention of any smell.) The weather was terrific and they really enjoyed their time by the pool In other words, no complaints at all.

They were at OKW from March 14-17 in a one-bedroom. They have also been to OKW several times now. Also great weather with one day of partial rain/cloud cover. She commented that the crowds were far greater than in the last few years. They did not do the parks.

She did comment on problems with check-in. They arrived at about 11:00 a.m. and faced a giant line. (Sundays always are crazy.) The lady (described as very nice) looked at their requests and remarked that they had a golf course view room. However, they were told the room wasn't ready yet and to check back later for the 4:00 p.m. check-in. They tried calling several times throughout the day and only got busy signals. They returned to the resort at 4:00 and found the line just as long. At this point, she had a problem with a gruff CM at the counter. Another CM helped her and had someone else with her. They called up her room to see if it was ready but then told her they had to talk to a supervisor. The CM then told her that she had a "garden" room. Not knowing what that meant they accepted the room. (I've never heard that term at OKW either. My poor cousin thought that meant she would have lots of flowers.) They were somewhat disappointed that they ended up with a room that just looked at shrubbery that was a divider to the roadway. They remarked that they could hear the road noise when they sat out. I couldn't get the room number from her but it was in the Old Turtle Pond area. Having had terrific golf course views in the past they were disappointed but not unhappy.

It was interesting that her concern was that I had to spend the same amount of points for this room as for the rooms they have had in the past. I told her about how BWV had faced this problem and now had 3 levels of rooms with 2 levels of points.

I can accept that they had to take the less than great room this trip. However, I'm a little concerned about what took place at check-in. It sounds to me that their original room was given to someone else who probably had complained about the room they were assigned. That's my concern with the "room ready". If one person goes to the park to wait for their room to be ready, that room should not be allowed to be taken back into inventory to satisfy someone complaining at the desk.

Pam - First of all, thanks for taking the time to report.

Whenever we've checked in early (at BWV) and not been able to get into the room, we have been given the room keys - just not the room number. We call to get the room number - usually we can't get it until after 4. We never have to go back to the front desk as the keys are already programmed with the correct room number.

Doesn't OKW do the same?

If not, I agree with you - It's wrong to "grease the squeaky wheel" if it negatively impacts another guest.

Your cousins sound like very nice people - but then, they're related to you! :D

Yes, the procedure you describe above is the same at OKW. I encountered the same problem on one trip that this couple did. In theory, you can call and get your room number. In reality, you can't get through on the phone if they are particularly busy. One Sunday there was a giant line at the desk and a giant line waiting to use the house phone. I thought by now they had resolved that -- this was probably 7 years ago that I had it happen.

I think the "problem" CM was reacting to my cousin possibly cutting the line to try and find out the room number. She mentioned how they had stood in line in the morning and just wanted her room number.

I don't think having the keys in your hand means they can't change your room. Until they finalize it and give you your room number, I think they can reprogram the keys to put you in a different room without you even realizing what was done. I may be wrong, but I think that's the case.

I may be wrong too, but I don't think the key system is that sophisticated.

To do what you suggest (without giving the guest a new card or reprogramming the room card the guest already has), they would have to "reprogram" the lock itself. That would take a lot of connections from the locks to the computer/server or a visit to the room by a maintenance worker. Both seem too expensive for the little value received from such a system.

Once when we were waiting for a room to be ready, (again at BWV), we had to return our original keys to a "back office" CM to get them reprogrammed "because of an error" - something about the studio and 1 bedroom portion not matching. I suspected that maybe we got a whole new room assignment, though. Always wondered what happened, but the CM looked a little harried so I didn't want to add to it. We had a standard view and the particular room didn't matter to us as long as it was N/S. We've always been happy with our BWV room, no matter where it was. That time it turned out to have a great view of the fireworks from the balcony and was very close to the bus stop.

I do agree that a guest could get another assignment without knowing it if they weren't aware of how the system works. For example, the CM could just tell them he/she needed to check the keys (and them reprogram) or that there was a computer problem and give them a new set. Aren't there always computer problems? What did we do before we could blame the computers, LOL! :teeth:
 

Maybe someone in the hotel industry can tell us about the card keys. I'm not sure how they work. They just take them all from a stack so they aren't specific to the room. I wonder what "happens" to make them work as keys and at what point that takes place.

Pam - They slide those keys through a machine (connected to their computer) that programs the magnetic strip on the back. If you watch the CM carefully at check in, you can see them do it. After they do that, the keys are specific to a room. It's the same process/concept that is used to put UPH tickets on your room key.
 
I am sorry for the mixup with your guests. I checked in last week at 7am and got a room THEN! It is always a mystery how they work things out, but I have never checked in on a Sunday. I did notice it was quite busy a few times. When went to eat at Olivia's or shop at Goods, I noticed lines at check-in. When I checked in I asked about attendance and the CM said they were "80% full that night and 100% the rest of the week." I am starting to doubt that WDW is ever truly empty anymore!
