Question on names for reservations

DH and I are using our points in May to take our family (my DM and DF, DBs and their families) to BWV. Since DH and I are the members all of the reservations (one 2-bdr and three studios) are in our names.

Here are the questions ...

1. Some of our family will arrive before we will and they will want to pre-check in to their room. Should we change the name on the reservations?

2. We have four separate confirmation sheets and numbers. We have given one to each of my DBs. Will this be enough?

Call and have others' names added to reservation on room that they will have. You can leave your name on those other ressies for them along with theirs or take it off, your choice, but putting their name on the ressie is what allows them to check in without your being there.
 
For peace of mind and to eliminate the possibility of any problems, I would add their names to the reservation.

One year I had a reservation for an OKW Grand Villa, my wife and I flew down seperately because of her job. She arrived several hours after me and my daughter. We went straight to the parks and were planning to meet at 6:00 or so at the room to go out to dinner. My wife arrived at about 2 pm and asked for a key to out room. This arrogant french CM told her that her name wasn't on the reservation, you can't have one, (you fat american pig) ......Parenthetical notations are mine to describe my wife's impression of his attitude.....

Well, she went and walked around and sat and read for a little while. Came back a bit more determined only to have the CM deny her in a very belittling way. After a while, she blew up, suits came out of the back and they let her have a key.

Prior to that I only made reservations in my name, now, even though we have the same last name, I am certain to add both names and any guests to any reservation I make.
 
I'd suggest that you call MS and add the names to your reservation. That way, your family members can check in if you are not there.

I've never needed to show my confirmation, but I always have it with me, "just in case". I would think it would be sufficent to give a copy of the confirmation to each family that isn't arriving at the same time as you are arriving.

Add their names to your reservation. But, here's the rub, the first person to check in gets all the door keys. What I have done is give all my guests the same instructions - whoever gets there first puts room keys into an envelope or envelopes with the names of those coming in later. This way when you or another guest arrives, the CM only has to find your envelope.

Also, if you want charging privileges or are guaranteeing any room charges (such as phone calls), be sure to have the CM take your credit card information when you get there. Otherwise you get a phone call from the front desk asking you to "settle your bill." A friend checked in before I did and left the envelope. When I got there, the CM never asked me (or her for that matter) for a credit card. We used room service that night and I had a "friendly" call to be sure to come down to the front desk and settle up.

Regardless of whose names are on the deed - the reservation will be in the name of the person who actually made the reservation with MS.

At least, that's always been our experience. I've always made the reservations - and it's always been my name on the reservation. Last year - I had my husband call, and - it was HIS name on the reservation (and the room keys.)

Unless I specify that his name be added - I'm afraid we'd have the same experience Rich's wife had...
 
Dh, who is handling all of the details of my birthday bash, was reading this over my shoulder and then making a bee-line to call MS;)

I can't imagine what Dbs would do if they knew that they had charging privilege;) Bad enough DH is springing for dinner at Vic and Als in addition to covering rooms...

Rich, Dh and I can feel your pain ... I can't imagine how your DW felt. Dh would still be making it up to me:)

Figment, is that all the door keys for one specific room or is it for all 3 studios and the 2 bedroom. This would be bad since there would be MAJOR fighting over who got DM and DF and small child:bounce:

Jen - Sorry it took so long to answer - haven't been home very much lately.

Hopefully when your DH put the names on the reservations he put the names of who will be in each specific room. Since you are providing the rooms, you should have a say who stays where. Then they will only get the room keys for let's say one of the studios.

You can specify who gets charging privileges. I usually like to have them but everyone else sharing my room does not.

Many years ago we went down with our neighbor and best friends family. We had his name added on the reservation but because the room was in bothof our names, they would not let him check in when he got there first. I have sent my brother and his wife down by themself and they had no problems as long as their name is on the reservation. I would say, determine who is in what room and put their name only on that reservation. Maybe things have changed, this was around 8 years ago and I haven't done it again. I always have put the specific person that will be in that room if there are separate rooms. Good luck
 
We have never had a problem with FIL and MIL checking in before us (we are the members). They arrive before us every year. We have Member Services add a note with their name and that they will be arriving first. We also give them a copy of the reservation confirmation sheet.
They pick up their room keys and have never been given all the room keys. When we come, we pick up our room keys, give our credit card number for charging (on some of our keys, not all) and we're set.
We've been members at OKW since 1993 and we've always done it this way since we live in different cities and arrive by plane at different times. Sometimes we've had a dedicated 2 bedroom and sometimes it's a lock off.
 
When I made reservations for family members as well as myself for two different units at Christmas I made the reservation for their unit in their names. The confirmation slip came to me but the reservation was in my daughter's name. With the additional security at the gate when we checked in, it was a good thing we did as they were able to confirm they were checking in even though I wasn't there yet. I also left keys at the desk and had the names of other family members added to my reservation once I checked in so they were able to get through the gate and into the room without my having to wait for them in the room. It sounds like a great trip- Have fun.
 
I took the advice offered and had EVERYONE added to the reservation for our GV this coming August. One question, will they print everyone's name on the room keys or just mine (I made the ressie)? The reason I ask is that my friend's daughter got a kick out of having her KTTW card with her name on from our cruise last year - she liked the fact she could keep it as a souveiner since it had the dates on it.
 
I really appreciate this thread. I read it last night and when I called MS this morning to book a studio for my sister and her husband I asked to have their name added to the reservation just in case they arrive before we do. I don't anticipate that happening but being the "type A" personality that I am, I like to be prepared so thanks guys for the advice!

Last summer I used my DVC points to get a room at the Disneyland Hotel in Paris for my brother and his wife. The confirmation was sent to me with only my name on it. I called MS to see if this would be a problem. I was told it may cause a problem and they had me change the name on the reservation to my brother and SIL. They also told me to have them bring along the confirmation letter when they went to Paris. Not sure if they needed it, but they were able to get into the room (BTW, they said it was beautiful!).
