Organizing a Fundraising Crop--was table space at a crop

I've done a few crops for our PTO and yes you need "thank you for coming goodies". And $35 is kind of high for a partial day crop. My LSS does a 10-10 for $25 and that includes dinner (on your own for lunch)

I think at this point you should just go, watch the cards fall where they may and make suggestions when it flops. If they listen, they listen. If not Swim Team can rake in the money. Just make sure when you do it you promote the good stuff in your fliers.

:thumbsup2 I think is great advice. It is kind of where I am at today. To heck with it, if they ask I will answer otherwise good luck! I have a few weeks to even decide if I will go. It will probably depend on what my friends decide. They have said they won't pay for round tables.

What do you all pay for shorter crops? The norm around here seems to be about $10 for an evening crop of 4 or 5 hours, minimal snacks and maybe some drinks at a "for profit" location -- no goodys or prizes, just show up and crop.

We socialize just fine at the round tables, but they are pretty close together. We also tend to wander a lot to see the other croppers work.

Our PTO did $20 for 9-5 including lunch 1/2 of the rectangular lunch tables and had a CMC available for purchases.

The church used to do a crop that was $20 from 4-10pm including pizza, snacks, drinks, 1/2 of a 6x3 table and had a CMC and a Stampin' Up rep available. The SU rep moved though, and we haven't had a crop there since.

Remember too though, that scrappers adapt to their space, it's like Disney characters the larger the piece of paper, the bigger the autograph.

How many people are pre-registered and how many tables are there?
They could do what SDV does and offer up a second space, or the other 1/2 of the table for an additional fee say, $15.

LindaBabe, Morgansmom and I all got the same crop on occasion that has round tables. Most of the time they get up on the lido deck (platform in the room) so they get rectangular tables but I sit at a round with one other person. I don't mind at all. I use the chairs to hold my boxes and stuff and use the table surface for the project and tools. I like the round tables, and have never had a problem. I've sat with 3 to a table and while tight, it wasn't unbearable.
The tables we have probably seat 4-6 to eat comfortably.

Right now this is still in the planning stage-- with a date for next month set. No registration yet or anything. I am just going to step back and wait and watch and see what happens. :rolleyes1
 
Our prices here range from 10-60 for a 10-12 hour crop. I love my friend but 60 is a little much even though we usually can have an 8 foot table to ourselves.
the one church fundraiser I went to was 25 or 30 for 6 hours with lunch and 1/2 a round table, like others have said a few extra chairs and I was okay.

Personally I was intimidated by the thought of a round table and how to make it work.
 
Holly and I did a crop on Saturday night at a hotel in town, run by a CMC. It was $10 pre-pay or $15 at the door. We got about 6 feet by 3 feet of space (and we did adapt and fill it) each. There weren't any prizes or gifts for coming. She did had a container of cookies and a basket of 100 calorie packs and small bags of chips, and the hotel had glasses and pitchers of water out. It was from 6-midnight, but we left around 11:00.

I've gone to all day crops (9 or 10 am - midnight) that were $30-$35 and included snacks, water/soda, lunch and dinner, and had awesome prizes and make and takes (they were the ones at the round tables).

I don't get a lot of cropping time at home, so I prefer longer hours so I get more time to crop. Since I pack it all up and back at least twice, I want a lot of time to get my cropping done!

I'm going to a weekend crop in April at a ski resort in New Hampshire. It's just over $300 for Thursday (I get there around 1 or 2), through Sunday lunch...It includes ALL my meals and a room. They feed us non-stop. Scones and breads for morning snacks, cookies and cocoa for afternoon snacks, nachos and mozzarella sticks for evening snacks - AND, 3 meals a day of awesome food! There are classes (for additional cost), make and takes, contests, and door prizes. Such fun!

Yes, yes you should!! We would have a blast scrapping!

Hopefully you can drop a few hints as to the fact that no one is coming and maybe the PTA will listen to your suggestions.
Which reminds me I need to start planning our mommy and me crop.

I am getting more excited about this. If I can find a space (I have a few options to look at) I would like to do it from 10-9. I agree that when I pack up my stuff and load it up, I want to work all day. I always figure the first hour there is for unloading and setting up and the last hour is for winding down, finding everything to pack it back up and cleaning up my space and loading it all back in the car. Since we hopefully can get the space for free the number of hours we are there won't impact our fundraising profit.

I think with $35 pp we provide a box lunch (catered for $6.50 pp), drinks and munchies, and a dinner of salad and baked potatoes with fixins that my friend and I can purchase and prepare ourselves if we use the space that has a kitchen. And we can get some prizes donated from different sources. If I can find some volunteers that would like to do a mini class or make and take that would be great but I won't stress over it.

The only problem with the space we want to use is that we can't have anything actually Sold there-- we can hold a fundraiser for a non profit, but we can't have a CMC there with things for sale. But at the last few crops I have been to I haven't really noticed anyone buying things because they HAD to have them-- like stickers and paper for a layout they are doing. Mostly they were just buying because they liked the new products or needed a new album etc. And we do so much borrowing and give and take that I hope no one would miss not being able to purchase items.
 
You can do a freebie table too. Like if someone has stickers or paper they don't want you can put it on the table and someone else can get it.

Or do the same thing with a donation jar. So say I grab a pink sheet of paper, I drop a quarter into the donation jar and it goes to the Non profit.
 
I love all of this feedback about organizing a crop. I've given it some thought over the years to do as a fundraiser either for DD's swim team or for DS's robotics team. I still think it might be a good idea, so I am happy to see all of the "expert knowledge" here (I have only attended one or two crops away from home).

I think that my greatest concern would be that I would put lots of hours into organizing it and planning it and I wouldn't get enough people signed up to make a profit. Has anyone ever planned one and stated that there must be "__" number of people signed up by a certain date for it to be a go?? Or do you just assume that you will get enough and just hope for the best??

I'm already sitting here brainstorming where I could get donations from and such.

If I did it for DD's swim team we could probably use a space at the Y for free... maybe the aerobics studio. And I would have a large group of people to help with it...... and even though I don't know for sure, I suppose there are probably other scrapper parents that I don't know about on the team.

If I did it for DS's robotics team, I could probably use a space at either the elementary school or the middle school.... but I'm not sure if it would be free. But there would certainly be enough space and enough tables! But it would fall to a much smaller group of us (like maybe me and one or two other parents!!) to plan it and organize it..... and as far as I know, I'm the only scrapper in the group.

No hijack! I may just change the title so it reflects that this has turned into a fundraiser discussion.

The one that I went to Saturday was completely organized and run by ONE person. There really wasn't a huge amount that went into it. She said she picked up the snacks/drinks/paper products when she was at Costco already shopping for her family. She got paper to cover the tables from the local newspaper-- the newsprint end rolls-- and they give them away free. She put the tables where she wanted them and covered them in paper. She did have assigned seating and she made some place cards just on her computer with our names on them and put them at each place. She had a cup of candy at each place, a sharpened pencil and there were a few handouts-- a schedule for the day, a thank you for coming note, our payment receipt, and can't remember what else.

There was sign up flyer available online, and some printed to hand out. She had a registration date (but also allowed late ones since we all know it happens!). Really she just needed to have the lunch orders in a few days early to the catering place. So the week of the event she knew how many were coming and bought her snacks/drinks/paper goods based on that number.

During the event she greeted everyone when they came in, showed them to their place and was a gracious hostess. But after about an hour she was able to spend the rest of the day scrapbooking, with an occasional run to the kitchen to refill the ice bucket.

At the end she was going to have to clean it all up on her own (even her friends abandoned her!) but myself and a friend stayed after and assisted. She said that her total out of pocket was about $100, and she was going to submit the receipts for that to come out of the profit. She had 24 people at $35 per person. Lunch was $6.50 so that was $684 profit minus her expenses. But she was taking the left over food and soda home so was only going to take out about $50 for expenses. And the CMC was donating back a portion of her profits so she expected to clear over $700.

I would certainly want to have at least 2-4 people to help with the set up and clean up. I actually felt sorry for her because no one on the PTA or the Prom Committee that this was for showed up to help-- they stuck her with the whole thing and were just taking the money. :mad:

Getting the space for free or very cheap is the key to maximizing the profit. Talk to area business about their box lunch options and factor that in your cost. My friend and I may even consider making up our own box lunch--a variety of sandwich options (ham, turkey, club and something vegetarian), a bag of chips and a cookie. We will have to price it out and see what the best option. Certainly it is easier to let someone else do it! She and I have done quick and easy (and cheap!) food options for other events before--Chili, baked potato and salad; spaghetti and salad and bread; and taco/nacho bar are some of the easiest-- you can do the prep ahead of time and just have to heat up and, set it all out when needed and put the leftovers in bags when done.

If the space is free and you have the price of lunch covered in your fee then if only 4 people register and show up you will have a fun day cropping and still make a little money-- you just don't buy very much drinks and snacks. I think that things like this can get bigger each time. Do it this year and the positive word of mouth will cause more to register next year and the next.. .


Like I said, she and I are absolutely KICKING OURSELVES for not having thought of this before! We have run yard sales, spirit wear sales, donation dinners, crap sales (cookie dough, pizza etc), and several other things in the past to fundraise. We have brainstormed so many things and worked our butts off to make them happen, I have no idea how we didn't think of this---we have even been scrapbooking together while brainstorming! :headache:
 
I host a monthly crop with the best scrappers ($15 for seven hours, includes lunch, drinks, snacks, and a gift) where six of my tables are round. I prefer to put just two people to a table, on a rare occasion there might be three at the table, but that is usually because the people want to to sit together. I have never had anyone say anything about the shape of the tables. Some people utilize stackable wire shelving and chairs on either side of them.

If additional attendees attend, then I put two 8'ft tables together and seat four to the grouping. I found out a few months ago that the lido deck wasn't the same size across the platform and that messed up putting another grouping of 8'ft tables. In the future I would put two 6' ft tables together and only put two people at that set. It is important to me that croppers have plenty of space. I don't care to be cramped scrapping and I don't expect others attending my crops to be either.

It isn't unusual for a fundraising crop to be about $40 for the day including lunch, drinks, snacks, and a gift for attending. Good luck with your fundraiser!

Yes you can say in your fliers that the minimum is X, if you don't make that number you will have to cancel, but I doubt you would have to do that. When they pre-register ask for contact info, either phone or email.
We opened ours up to kids 10 and over. I know some kids, especially girls like to scrap but we didn't want little kids running around either.
You could invite the local girl scout troops, I bet some of them would come.

Is your robotics team a school sponsored club? If so the school space should be free. Our school doesn't charge school clubs, PTO, etc for room use. Our fire house also has a hall that is free for non profit groups in town. Check with your school secretary or board of ed about that one.

For food at Lisa's crop we have easy stuff. One time it's pizza and salad. Another time is chili, someone always brings dessert. And we leave a cooler outside in winter with waters and ice tea. MomE brings her electric tea kettle too if you want hot tea.
We usually don't have a separate table to eat at, we either clear off a space at our own table. But if there is a table that's open we sometimes gravitate to that.
 
If I do it here in town for the Robotics team, I could look ito using one of the schools, or I could use the old town hall. They rent it for $10 per day (dirt cheap!!) and it has plenty of tables and chairs. The biggest draw back would be the lack of any kitchen facilities and the shortage of electrical outlets. Also, my town is a bit off the beaten path and I'm not sure if I would get many people from outside of town to attend. But I do know that there is at least a small core of scrappers here in town. I used to belong to a town scrapping club, but I think I got dropped from the group for lack of participation (I could NEVER make their scheduled crops.... I was always busy!).

I could hit up the Dunkin Donuts in town for either a snack/coffee donation for that day, or for a gift card for a door prize. I could also ask our two restaurants here in for a donation (food or gift certificate). And if I wait until Spring, I could certainly ask our new garden center here in town for a flower/plant donation.

We don't have many businesses here in town and I know that the ones we do have get hit up A LOT for donations for everything that goes on here in town... but it certainly wouldn't hurt to ask!!

Maybe I could get Subway to donate one of their big sandwiches for lunch??? The nearest Subway is about 15 miles away, but I would consider it our "local" Subway.

When requesting donations I always keep in mind "The worst that can happen is they will say no." It makes it much easier to approach them! I always come prepared with a letter printed on an appropriate letterhead (even if I have to make it up!), with the information on the group, the 501c status if applicable, the request for what I want , and of course a thank you and my contact information.

I go in person-- it is harder to say no when you are standing there :teeth:. Phone calls and emails are easy for them to say no to. And be reasonable in your request, but don't sell yourself short. So if you would like something from Dunkin Donuts request "Coffee and 4 dozen donuts for breakfast and a $25 gift card for a prize" They may not agree to all of it, but you also may be surprised! I would hate to ask for a $10 gift card and find out later than they usually give out a $50 one to anyone that asks! But I am also not going to ask for a $100 gift card from a place like that. KWIM? I usually add something to the effect of "or whatever you feel your business can donate" to the specific request.

Grocery stores often will honor requests but some prefer that you ask for the specific items you need-- 50 hamburger buns, 10 pounds of ground beef and 3 boxes of cookies. They may give you a gift card to shop with anyway, but they want to see you have a specific plan.

And think outside the box. A group I used to work with got 100 hamburger buns donated by Fudruckers, and Wendy's donates hamburger patties to our swim team now. A few years back we were able to get local Pepsi bottler to come to our event with a fountain soda set up, they put it all up, hooked up the cans of syrup and carbonation, gave us the cups and came back and cleaned it all up-- for FREE! Well, they did want credit so they had a huge sign with their advertising and our group name on it in huge letters to hang up! It was wonderful.

I have heard a lot of "nos" but you can usually get enough of what you need with the right attitude and some flexibility. Be creative! If you get a $50 grocery store gift card and don't need any grocery items see if you can put together a basket or two of "spa" supplies from their health and beauty section, or some office supplies into a stationary basket and of course some wine or sparkling cider and a selection of yummy treats is always welcome. Instead of one prize, you may be able to get 2 or 3 out of that one donation.


My friend and I were at the High School tonight for orientation for next year and went to a presentation in their art room. We sat down and both looked at each other with the same thought-- this room would work! Unfortunately their tables wouldn't, but I am going to see what our art room on the Middle school side are like (our Middle and High school are connected and mirror images of each other)
 
I'm attending a breast cancer fundraiser crop next month at a local church. It's from 9 to 9, includes lunch and dinner and costs $30. I think it's good deal. I know that my friends and I are willing to pay more if it's a fundraiser than a for profit.
