After reading the thread about the desk staff at WLV I thought some of you might find this interesting.

We checked in March 6 at 10:00 in the morning. Got our "Welcome home " from everyone and the service was excellent. The Location we had requested wasn't available but we got a NS third floor that was close (BLDG 28) no problem there. We tend to swing with room assignments if our requests aren't available after all they are just requests.

The problem began when one person in our party of seven ask for and got a park hopper placed on their room key. No problem so far.

Everything is fine until my best friend called on our third day there and asked if he could stop by. He had been previously invited when we heard he was in the area for several days. We decided he should stay for a couple of days . So we went to the desk and got him registered. No problem. I also gave them, at that time, my disney rewards card to offset the charges on our bill thus far. After the credit we owed only .73 . After this was all done I asked several times if everything with our room keys and charging were exactly the same. We had had problems on a previous trip when we had added a guest. I was assured by the smiling desk clerk that everything was fine.

Later that day when charging a meal we were told that we had reached our credit limit. This was not the fault of the person I was dealing with so I just payed cash and told her I would take care of it with the desk. But, it was embarasing. Here I was with a $.73 bill and a credit limit of $1500.

When I confronted the desk about this later that day they had no idea what was wrong and issued us new cards (8 of them). The cards worked for room keys, but the next time we tried charging we got the same story sorry, but .... embarassing again. It was late so I didn't go see the desk until the next morning. They said that they had a "glitch" in their sysstem and that they would issue new cards again. 3rd set.

My wife and I took different paths the next day. I played Golf at the Mag and she went to the parks with the kids. Yep you guessed it. We were both denied charging privaledges. I had to put my golf on my credit card( wow, no problem) and fortunatly my wife had cash. But now both my wife and I have been embarassed multiple times and seriously inconvenienced. Now were mad.

When I get back to the desk that evening I immiediatly asked for a manager. After telling my sad story she looks at the history and tells me that it's my fault. I had a rroom key with a pass on it and I added a guest. My reply was HUH ! She gave me some kind of gobbldy gook about the computer and each change being a multiple reservation and I lost it. I asked what I had done wrong . I bought a pass and I was within our room limit on guests. She proceeded to try to redo things by canceling our current reservation and trying to redo all of it. Warning bells were going off in my head. After about ten minutes she apparently gave up and just rechecked us in. She asked for my credit card again and gave us new Room keys. Yea, our 4th set of 8. What amazed me was No Apology, nothing.

The next day we decide to go to WL to swim. Called and everything . Yep we're open come on over. We get there and are having a great time when we decide to buy a pin and some lotion. Then it happened, my wife is denied, for like the third time. It's out of my hands now the varsity has checked in. 45 minutes later and with the help of a very apologetic manager at WL the staff of OKW delivers to us pool side at WL a new set of room keys. 5th set, I should buy stock in whoever makes these. Her small purchase at WL of lotion and pin are free.

The rest of the week things are pretty peaceful. Saturday rolls around and we had added a day to our stay with a linked reservation. We don't have to move like we were told we might have to. But we did get a new set of keys. I've lost track now on how many we've gotten. Fortunatly they were hand delivered to our room that morning along with a gift basket from the desk staff. While it was all appreciated a simple apology would have gone over alot better.

On a side note, while I was at the desk with the manager two people came to the desk having just checked in with major problems either to their rooms or their room keys/passes. The problems were of such magnitude that tboth required that they be handled by the manager. Who was busy with me. So they had to wait. I draw no conclusions from this experience. For the most part we have received outstanding service from our desk staff, but this has made me think that that perhaps that level of service may be in jeopardy.

I think, perhaps, this was their form of apology ? It was, at least, a nice gesture of acknowleging that it was their fault. But you're right---I was stressed just reading about the stress and inconvenience you went through. What a mess. So noone ever figured out what was causing the problems ?

We also have had excellent service at check-in and never had a problem with our cards. I'm hoping this was some sort of temporary glitzch and that what happened to you will be a valuable learning experience for the staff ?
Hope you were able to enjoy your vacation despite the card problems. That was very nice of the WL to not charge your wife for the pin and lotion and for OKW to deliver the keys poolside.
 
I have never had any problems, but relatives have. It seems that putting charge privilidges on room keys does not work all the time. I have never put charge privilidges on any room keys ever. I don't see the purpose, I bring my wallet with me everywhere I go, I just don't see the benefit and am afraid of all the problems.
 
WDWDad--I am going to tell you one of my mottos regarding anything at all to do with this type of situation. The motto is "Do not do anything out of the ordinary" if you do you are asking for trouble. Now you added an extra guest after you check in thus somehow changing the reservation, so that is my understanding of the situation. This was not a problem created by you, but, this day and age you just have to hold your breath when you do anything out of the ordinary. It has to do with the combination of computers and the help that work at these places. It worked o-k the first time, but the second time it did not. I would say that is about average for a screw up given the situation a 50 percent chance. The problems really lies with the help, they did not know how to do what you asked, or they just did not care, or both. I went to a casino hotel about 10 times last year, they took my credit card number because they had to-the room and charges to the rooms were suppose to be free for me. At least 3 or 4 times they charged my credit card, they had to take the charge off my credit, the problem there had to be the person at check in made the mistake, that would be my guess.this is the way the world works, when something goes right without error consider youself a winner. I do a tap dance about this everytime I check into this casino, they finally got it right the last few times. It happens everywhere-people just do not know what they are doing or do not care.
 

We always worry about charging to a room key, so we use a credit card with rewards instead.
 
I've always used the room charge and had only 1 one problem. That was last year when a charge at Mousegears got charged twice. They took off the extra one promptly.
 
What I nightmare. You did better than I would have. I use the charge feature extensively. It's much easier to keep track of expenses than having them show up individually on my credit card bill.

My biggest concern would have been the park tickets on the cards. This story would make me hesitant in the future, but I've been told it is the only way to keep track of the tickets for replacement if lost.
 
Wow.....how many times do you get hit in the head before it hurts?

After the second problem I would have REMOVED charging priviliges from the room key (or not added them back) and just used the credit card.

We had a slight problem in 2000 when we stayed at CSR with room charges--I had booked the rooms for 13 family members and ONE uncle wanted to put charge privileges on his room key and it turned into a problem.


We are going back in Sept 2005 on my DVC points and I'm telling everyone in the family NO charge privliges on the room keys!!!!

We had a small problem last time that was fixed pretty quickly but we decided next time we would just use our credit card instead. However, how does this work if you make a phone call from the room. Do they just bill you when you check out? thanks.

Over 40 plastic keys that get thrown out in 4 days but just try to get an AP to use for a year in a plastic card. Oh and sorry for your charging trouble.
 
Wow is all I can say to that

I work designing some of these computer systems and it does not surprise me that the combination may kick off some kind of UNDOCUMENTED feature within the code. I do charge to my kttw card but no matter where I go I carry another Credit card, and a picture Id card just to be on the safe side. Hopefully this is your one time snafu (technical term for the computer system screwed up)

Was the problem that they still had your "rewards" card listed as the credit card on your keys and they never put the credit charge card back on?

Back in Feb we had dinner at the Contemp and used our Rewards (the dollars we had earned) to pay for our meal. Our waitress had never seen this before. Our meal cost just about the entire cost of the rewards available on the card, so she "charged" our rewards card like you would a normal credit card. It used all by a few cents of our balance. We then paid the tip in cash.

Flash forward to last week at BWVs. We had accumulated another $50.00 of rewards to use and kept forgetting to use them in the restaurants. So, Wednesday nite I stopped by the front desk to ask them to apply my "rewards" to our current balance. I was thinking in the back of my mind how the "rewards" get charged like a credit card (looks similar, too). I intended to ask her when she finished if she had to cancel our original credit card/ apply the rewards card / then re-apply our credit card. Before I could ask, she explained to me that this is exactly what she had to do.

When I presented the "rewards" card, she had to apply it as the "new" credit card on my account. It took the balance (all $54.00). She then had to re-apply our credit card to our account so that we could continue to charge.

It sounds to me like when you used your "rewards", it used them all up and they never reapplied the "credit card number" to your account. You would have been coming up with an "over the limit" message because your rewards were depleted at that time.

Hope this wasn't explained already and I just wasted your time. Do you think this could be what happened? If so, I think there needs to be more training involved with the CMs and this card. I was almost denied using it in Feb at the Contemp since our waitress was not experienced in it. It really was a "well, we'll try it and see what happens experience".

I have to preface this with - this is the only problem we have ever had with DVC...

In January of 2000 my family stayed in a Grand Villa at OKW. We had a separate reservation with our points for a three night stay afterwards in a 2 bedroom with just part of our family. We had to check out and re-check in. While we were staying at the Grand Villa my mothers credit card was left on the room. When we checked out of the Grand Villa my mom was gone - she flew home to OH. No traces of her should have been on our 2-bedroom. My sisters credit card was placed on our 2 bedroom. After we got home all of our charges from the two bedroom - a boat cruise, meals, etc. had been charged to both my mothers and my sisters credit card. So, we had been charged twice. SOunds pretty simple, right? It has taken years and we still have not gotten it resolved with DVC. To the point where my mom wanted out of DVC. It also caused problems between my mom and sister. It really put a strain on their relationship. My sister had paid her credit card bill since they were her charges. My mom disputed the charges since they were not hers. OKW still claims that the charges have not been paid. My sister faxed them a letter from her credit card company stating that the charges have been paid. Didn't help. We were making our reservations to get married on the Disney Cruise in December of 2002 and to make the reservation DVC told my mother that the charges had to be paid for them to allow the reservation to be booked. Since we needed to book the cabins to secure the wedding date, my mom went ahead and paid the charges. So, now they have been paid twice. I told my mom she should still fight for her money back. But, she is tired of fighting with them.
Well, we finally convinced my mom to go back and try OKW again. We are going the first week of May. if anything like this happens again... It just can't - lets put it like that.

Ugh - sorry to hear about all your room key troubles! What a hassle.

Question: can't the front desk 'test' a card to make sure that charging priviledges are working correctly? I think I'd insist after one problem! I don't want to order lunch at the pool, having that card be my only money, and suddenly have it stop working!

And for those that don't use the room charging privledges, thats fine, but if Disney is going to provide this perk, then it should work correctly. Many families only have one credit card, and its nice to be able to have each member of the family have available 'cash' if needed. Well - it is if you can trust them to use it wisely, but thats an entirely different issue! ;)

Better luck next time... I think I'm stopping by the resort store and buying some gum after I check in this July! :teeth:
 
last year we stayed at OKW while we were in town for the Disney Marathon. A few of my friends were running as well as me. they were staying in one of the All Star resorts and had to check out before the race so I figured it would be good to offer everyone to come over after the race for a quick shower. I went to the front desk a few days early to get a couple of extra room keys. No questions whatsoever - in fact, they didn't even ask to see my card or id before issuing the cards. The person just asked for the room # and asked how many cards I wanted.

Wow, I am really surprised you did not have to show ID to get the room cards. I have been a guest of friends at their WDW resorts and I also have had many friends/family as my guests at WDW resorts, and everyone has always had to show ID to get the room cards.

To the OP, what a mess. I would have been frustrated too. I agree with others and think your problems were caused by making changes to the reservation. Not that this should be an acceptable excuse but I do think that is what happened.
I use room charges all the time and have never had a problem. Matter of fact when I returned home last month from WDW I got a refund check for $12.57! It seems I was overcharged and did not even realize it, and I check all the room charges bills. It must have been a food counter charge or a pin purchase.
I love the room charging cards--it is so convenient, I also like having all the charges on one bill rather than a bunch of little charges on my cc. Also if the room charging card is lost it is a lot easier to invalidate the card and the chances of someone charging large purchases is a lot less likely then it is if a credit card is lost. A friend unfortunately had this experience at WDW with a cc lost at MGM and it was a nightmare. By the time she realized her cc was gone and called the cc co, the thieves had already gone to the Millenimum Mall in FL and had themselves a field day buying electronic equipment, DVD players, CDs etc.!

We make xerox copies of the back of all of our Hoppers. We never charge them to our key cards. It's my understanding that if they're lost they can be tracked this way. Anyone else hear this ?

Actually this also happened while we were there. One of the kids tickets just disapeared. We think it might have gotten left in a fast pass machine. We had zerox copies of the backs of our tickets. One simple stop to guest services and the ticket was replaced.

On the original topic, I deliberately waited until our third day to use our rewards card so that we would have a balance to cover. I explained to the desk clerk that I only wanted to make a payment on our account using the complete balance on the rewards card. I repeatedly asked him before leaving if everything was just as it was before, other than the fact that we had added a guest. I was assured that it was.

The manager i spoke to after we had had continued problems told me that it had something to do with the circumstances of buying a ticket , which was placed on a key card, and them later adding a guest. Something about the reservation defaulting to the card with the key on it. it wasn't explained well and I certainly was not in the mood to listen to a bunch of lame excuses.

It wasn't as if I had dropped 3 guests and then picked up 5 more, putting me over the limit or something. We were within the boundaries of what I would call "normal behavoir". We have, in the past, put payments on our account as guests have come and gone. This is necessary sometimes as their computer will only allow one charge per room despite the fact that those charges are separated by the card number on your bill, To have more than one charge in a room does not seem that difficult considering that the charges are kept separately like this.

That, however, is a whole other thread.
 
All of you with horror stories: please cut and paste them into e-mails to MS! They need to turn these into "training opportunities."
