Every time I've stayed at a Universal resort, my parents have checked us in while we went off checking out the resort. We didn't have to be present at the desk to get our keys.

I'm only speaking from my past experience, but no one but me was present during check in and I received all 4 keys. My wife and kids were exploring the lobby and enjoying the scenery. I'm sure the front desk will be able to accommodate you and answer any questions you may have. When I stayed at the Portofino, I was impressed how kind and helpful they were.

No, the kids are never around when I check in. They are already off enjoying the hotel.

I have always checked our whole family in.

They will usually ask the names of all the people in the room if they are not already on the reservation, the ages of the children in the room (they note whether adult or child on the hotel card) and whether or not you want charging privileges on the cards.

Then they print out all the key cards, slip them into the folder, add the minibar key if you want it, and hand the whole package to you.
