Dear Sarah,

Thank you so much for choosing Bubba Gump Shrimp Co. for your group function. We are absolutely delighted to be working with you!

I have enclosed your group event contract. Kindly take a moment to review the information outlined. If you are in agreement with all the specifications, please sign the contract and complete the deposit information and fax it back to my attention at (952)853-9847 or send it via email to kkelley@bubbagump.com.

Also, just a couple of reminders:
Please be sure to confirm with the restaurant by speaking with either me or a Manager at least 48 hours in advance. Be aware that the number you confirm will be the minimum number of guests you are charged for, unless you contact us prior to your arrival. If your count changes between the time you confirm and the time of your reservation, please call us at least 3 hours in advance to adjust your count.
We highly recommend that you provide us with a meal breakdown/count at least 48 hours prior to the group’s arrival. This will allow us to be more efficient and to better serve your group.
Lastly, we can allow your group a 15 minute grace period past the start time. However, after 15 minutes, we will not be able to hold your seats. Please call us in advance and speak with a Manager if you find that you are going to be late.

I thought it was only 20 or more people that you had to put down a deposit for?

And if you say 17 and less show up, I don't understand what you are charged for?

I know there will be no shows, it just happens. Life gets busy and people who said they could come, just can't make it.

I don't want anyone to get stuck paying anything they shouldn't have to.

I don't want to do that. :( I too wish they would be more accomodating and understanding that things can happen were people might not all be able to make it at the last minute.

That's what I thought too, but I guess not. She said they are even more strict on there guidelines, when it comes to sat. and sun.

She said for each person that does not show up, I am charged $15.00 a person that does not show up. I think they are being very, very strict on our party, because they have another group lined up behind us that wants to book a party. And becaue we are taking up space they could use for other people to sit( at least thats what I get from talking with her and her email).
 

Sarah - what about guaranteeing fewer people...would they let us add on at the last minute? I know they are requesting a 48-hour headcount, but this is sounding a lot more restrictive than what they originally led you to believe. My guess is that the "other party that wants to book" is probably larger than ours and they don't want to lose it.

I know from previous meets that not everyone shows up. Life happens to good intentions, and there are a lot of things going on for folks in May.

Anyone else have any thoughts? I don't think this group would have any difficulty meeting a $per person requirement, but I don't think any of us wants to pay $15 for no-shows or last minute cancellations.

Any alternative locations?
 
Hi Pat, I just called the manager back to ask her about if we could do that. And she said in order to make reservations we have to have 15 or more people ( I don't know about you guys, but this is really :confused: me). Jenn Lynn just sent me a pm letting me know that the three of them will not be able to make it. So it looks we are down to 13 or 14 people coming now. I am not sure what we should do. Is there maybe some other place we could go?

I know it's sort of last minute, and i would feel so bad that you did all this work Sarah and it didn't turn out. I just really don't want anyone getting stuck with paying for no-shows.

Aw Tamie thanks! :) I was really looking forward to meeting you too and am quite disappointed. :(

I probably will be in Minneapolis sometime this year so maybe we can meet then. :)

I think your right we should try and get a better head count of who's coming. And maybe we should try some other place, the Rainforest Cafe sounds good. I wonder if they have the same strict guidelines as Bubba Gumps. And I would feel so bad if this does not work out( I feel like I am failing you guys).:(

This will work out - we'll figure out some place to have it!

I think Players has a small room in the back of the restaurant that you can use - not sure if you have to rent it or not. Players is very good actually, a sports bar, but a bit nicer. It's been awhile since I've been there though.

zen1 - Don't get me wrong, I think we can make it, but I don't want you stuck with a bill that seems very unfair. Especially with all the hard work you have put into a meet.

Do we want to maybe make a priority list on where we might want to go and then we all meet maybe at 4:45pm and then we walk to our restaurants in order of preference and see who can accomodate us first?

I know that makes things so iffy, but it seems that our size of a group is being penalized with deposits and all.
 
Guess what Everyone, we have reservations for the Rainforest Cafe!:Pinkbounc I told her we have about 13 or 14 people coming and she said that was fine. And I asked her if they had any guidelines and she said no. :) So we have reservations for May 8th, time: 5:00p.m. She also said there tables only seat 8 people, but she would make sure they put us together.

Just to let you guys know I am going to start a new thread, so we can get a new head count. And don't worry I will post the thread on here when I get it up.
