Cancellation question

My mom's health is questionable at this point as to whether or not they will be able to join us on the trip that we have planned the week between Christmas and New Year's. Right now, we have our dining reservations made with them included but in the event that they decide at the last minute not to go, how hard is that going to be to change reservations from say 11 people to 9. I am so afraid that after a year of planning, that we are going to lose all our dining reservations because part of the "group" had a health issue come up. What should I do, I don't want to cancel them yet, because they still might go. Anyone with experience in this type of situation that can offer advice?
 
I would leave the ADRs alone. If they decide last minute that they cannot go, I would show up with 9 people and tell them when you check in that 2 were unable to make it. You would have to be seated at a fairly large table for either 9 or 11, so I would keep them the way they are and make the adjustment (if needed) when you get there. Just make sure that if you have any ADRs that require pre-payment (CRT, etc.) or a cc guarantee, that you cancel them within the allotted time frame so you don't get charged ;).
 
I agree with leaving them alone. You don't want to mess those up at this point. You would probably never get them back.
 
I agree to not cancel them. And for a pre-paid, as long as most of the party shows up they can make an adjustment.
 

Thanks! I think the one I am most concerned about is our NYE at 1900 Park Fare. I can't remember but I don't think I had to give a cc guarantee? I am afraid if only 9 of us show up that we will be charged for the extra two. I will know for sure the week before at the latest and I would love to be honest and call to take them off but that is where I am afraid I will lose the whole reservation then. So according to all of you then, I should leave everything as is and we should be fine?

These are our only reservations that include them. Let me know if you think any will be an issue.

The other issue lies in the fact that they have reservations for Germany for the candlelight processional with one other member of our "group". We are eating in Mexico. If we find out early enough, how hard do you think it would be to add that "lone" person to our San Angel reservation for the candlelight. I am scrambling right now to try to get a decision made...like now! I would just hate for my MIL to suddenly have no where to go :/

So frustrating how we had this all planned perfectly this summer and then just as life goes, everything changes on you a few months later!

You really can't "change" an ADR by dropping the number of guests. You would indeed be cancelling your current ADR's and hoping there are still openings. For that week, I doubt you will find availability. Same goes for adding 1 more. If you call you would have to cancel the current reservation to make one for a new number of guests. If you have a reservation that requires a CC guarantee, and you show up with fewer people, you can be charged a now show fee for those guests. This is the exact scenario they have put this rule in place for. I don't think any of your reservations do though.
YOu are better off in both scenarios just keeping your current reservations. If you are less, just tell them at the podium and it shouldn't be a problem.
As far as adding one to your Candlelight Processional reservation you may or may not be able to do that on that day. It is up to the restaurant.
