When's the best time to call the "Room Dispatcher" about your preferences?

I know this has been mentioned before, but a few words from my wise fellow DVC'ers would be of great assistance. We are going with another couple (all on our points) and are taking TWO one bedrooms at the Beach Club Villas. Needless to say, we'd like our rooms to be as close together as possible. I have made this request with our reservation.
I recall a few posts here about calling (and I probably have this title incorrect) the "Room Dispatcher" a few days prior to arrival to re-state your preferences.
Any advice would be greatly welcomed!
 
I'd fax it in about one to one and a half weeks ahead. If you have it on your preferences already, I personally wouldn't even do that. I wouldn't call as you won't likely get anywhere.
 
While I have no personal experience with BCV, I know that whenever it was listed as a request on the ressie, we always got rooms very nearby each other and I never did a follow call or fax at OKW.
 

My understanding is that the calling/faxing a week or so before arrival only helps on cash ressies....not on DVC point reservations. In other words, what works for the WDW resorts might not necessarily work for DVC resorts when staying on points.

Basically, the "call a week ahead" theory flies right in the face of the "first ask, first receive" theory that DVD has always promoted (with the notable exception of the recent "first check-in, first choice" trial).


Personally, I wouldn't care which method DVC used as long as it's consistent for all resorts, all the time.
 
But my general understanding is that, for example, there are 75 one bedroom villas which are scheduled to be available three days from now. Out of those, perhaps 20 have room requests which were made at reservation, with requests including particular room, building, view, floor, smoking preference, etc. While trying to accommodate those I expect that there will often still be "leftover" rooms which would meet another guest's request made later. Some requests are likely filled quickly ("Epcot view") as there are lots who may want that, but not that many rooms which have it. On the other hand, say if you want a particular floor at BCV or prefer farther from the elevator to cut down on noise, then they can usually make some accommodation for you, even just before or even at check-in.

Okay, I'm not explaining this well, but I think that during the assignment process, if there are fewer rooms which meet the criteria than have made the request, the CM will give them in the order of the request, but if there are as many or more units, then even if the request was made later it will still be accommodated. (Just like you can make a request at check-in and sometimes they willl be able to give you what you want.) I am sure it can get a little tricky, as when you have someone making reservations and their requests months in advance, but they have multiple requests, then you have another with one request made a week ahead. I think that has to be a judgment call by the individual CM and there can't be an absolute, set-in-stone, procedure.

Anyway, making a request just in advance of the room assignment does not take priority over those made previously, but does give you a step up from those made days later, at check-in. And I still believe, based on my asking of friends, that most people do NOT make room requests, with the possible exception of nonsmoking, which I think is the easiest to accommodate.

Lastly, my understanding is that DVC rooms are assigned in the same manner as other resort rooms.
 
So here is what just happened to me . . .

We will be arriving at the Beach Club on Thursday, so after reading the posts on this thread, I called the Room Assigner to ask for the fax number. I told him I wanted to fax my room preferences. He asked me what my preferences were and said he would do his best to try to accomodate my request. He said I didn't have to fax the request because he wrote it in the log. He was extremely pleasant . . . a really nice guy.

Now, I'm getting excited about this vacation!
