When to add people to Cabana list?

We are staying in concierge and hoping to get a cabana. There are 5 of us. Plus my In-laws and Aunt are going on the cruise with us, but they aren't staying in concierge. When we book the cabana (hoping one will be available) how do we add them to the list since I know we have to pay extra per person over the original 6 occupying. Since they are a separate stateroom, how do we have them billed separately for their portion of the cabana rental? Is this done once in the ship or before?

I'd just let the Concierge people handle it. Let them know what you want, and they'll take care of it.
 
Don't want to be insulting, why not just pay it and then settle up with them yourselves? Don't see any real need to make it a billing situation that could easily be settled by family.
 
Because our credit card is going to be maxed out as it is by the time the cabana and shore excursions get put on. The billing isn't as big of an issue as I am questioning more of at what point do they get added. Plus, well, some people don't always pay people back when loaned money...
 

Let the concierge host know during your embarkation day meeting and they will take care of everything.
 
The process it's different to what has been quoted here, we have actually done it ( twice) about the day before CC ( ours was Thursday) Concierge made contact and said how many wristbands for the cabana was required by us.

So at that point ask for how many you want. It doesn't matter if the cabana is in one persons name or four or six, they will ask and you say what you need. If it is over six they will pass the actual charge.

As said, I have done it twice.
 
We shared a cabana on both of our B2B cruises earlier this year. On embarkation day, we let the concierge host who was going over our itinerary know of our plans to share. We let him know which stateroom was sharing with us, how many bands we needed and how the charge was to be split (5/8, 3/8). Everything was taken care of at that time.

As said, I have also done it twice.

Concierge always does it for us and has the correct amount billed to the appropriate peoples rooms. including our party who isn't in concierge. Have done this on three different cruises now on the Fantasy.
