When does the concierge room assigner, assign your room?

We just wanted to know how far in advance they assign you a room and get it ready if you've made any special requests on concierge. Is it the day of arrival?

Well how could that be, when you arrive? Because if they have a room set up with like presents and things like that, doesnt that have to be ready for the person when they get to the room?
 
Not sure how it works with concierge but regular rooms may be assigned to you but until you are checked in it can be assigned to someone else.
 

Generally the conciege have rooms preblocked for people a day or two in advance. If you have specific room requests, make them a month or so in advance.

If you have pre-bought gifts to be in the room when you arrive they normally will have you wait a few minutes while they set it up in your room. At least that's how BWI does it for us. They have us wait in the lounge and "check the room" to make sure it's ready.
 
Well im not sure it works that way. Because we checked in to the Yacht Club concierge in early jan. We sat at the CM desk while we were checked in. Our room was only several feet from the desk. So there was nobody in there getting our room ready. After she checked us in, we walked in and there was a card a baloons for my friends bday...so anyone else know for sure?
 
I know at the BW the rooms are assigned 5-7 days before arrival. They my be tweeked a little after that, but this is when your name shows up in the concierge system. The concierge does not assign the rooms, however. The room assigners do this. If you have made a request through your planner it is usually granted.

Thanks very much! We just wanted to make sure we had a "direct" lagoon view, and that no one would take our room.

Even in concierge regardless of when rooms are blocked, you might not get your exact request. It will depend on many factors including what is going to be available when you check in. I don't necessarily mean what time you check in but the day you check in. They can only give you what is available due to guests checking out on that day.

Even after they assign a room, you might be reassigned due to numerous reasons. That is why they dont give out room numbers.
 
Well if they get a room ready for a guest, setting it up with baloons, candy, card and such, they can't just easily change the room at check-in? That would make no sense.

It does happen and the set up is moved. I just don't want you to have your heart set on one particular room and think it is a absolute you will get it.

Have you ordered gifts for your arrival. Sometimes the setup is not placed in the room until after the guests checks in, ours have even arrived late in the day.

Goofy, you can order anything you like from either in room dining, if you want a food item. Or from WDW Florist which has many gift items beside the usual flowers.

Not always will the items be in the room when you check in. Some times depending on how busy they are, occupancy levels, and when the items are delivered they might not arrive until later.

On a very busy week, we have gotten ours the next day.
 
Also if someone had a standard view, and then the day before they left, called CRO to upgrade to lagoon view and it was avail, would concierge see that and change the room?

Yes, this is one of the cases where a standard room that had been assigned would be taken out and replaced with a room in concierge. Also maintenance can affect changes. When rooms are blocked as stated by CMKerry, you might have a maintenance problem occur after blocking that they could not fix quickly and the room is taken out of service. Also a room might be blocked and the guest decides to extend their staff and are allowed to stay in that room. The guest that was going into that room would then be assigned to a new room.

Many things can happen to change room assignments. Until you actually take possession of your key and have a room number you are not sure what room you will get. Even then mixups happen and a very few times guests have been given rooms that a guest is still in. :)

Also the mangement staff has the option to make changes at anytime.
 
I'm just saying right now we have a standard view concierge room booked. If we decided last minute (a day or two before arrival) that we want to upgrade to a lagoon view concierge, would the room assigner see this and switch us to a lagoon view? Or would it be too late?

If you pay for a lagoon view room you will get a lagoon view room, even if it's only an hour before you check in. They won't "sell" a view they don't ahve. Because you pay extra for that, you'll get it.

Just as Anne said, they will check inventory to see if they have an open before they allow you to change. That is why sometimes at the desk you can ask to pay for an upgrade. They will check inventory and if its open they will rebook you in the new room.
