Using My Disney Experience App With a Large Group

Hello!

I’m going to WDW in June with my family, and I’m so excited! My travel party size is 14 people total, with myself included. I’m a little confused on using the My Disney Experience app with a group this big. I’d been under the impression that everyone in my group would make their own MDE account and we would all add each other under Friends & Family.

However, my travel agent advised, “Also, before you make these reservations, all confirmations must be entered into the MyDisneyExperience App so each person can be included in any plans. Make sure ONE person makes the app and gives everyone the user name and password to be able to see their reservations. Do not enter any confirmations into two different accounts.”

People who have traveled to WDW with a large group - did you share one MDE account? I’m just slightly confused. Thanks! :thanks:

I have not traveled with a big group, but I would only give my Disney login info to people in my immediate family (husband and kids).

We usually have a few accounts involved. I will say that fewer is usually easier, especially if you have group members that are averse to using a new app.

I wouldn't give the password to my Disney account to anyone I wouldn't hand my credit card to, so we usually end up with 2-6 people per account. Then we link with friends and family. I just don't care if everyone can see dining reservations, though. Everyone should be able to see LL return times and their own hotel reservations either way.

I trust everyone in my group, they’re all family members. Just wasn’t sure how 14 people using 1 MDE account would go

I 100% trust everyone in my group with my account info (most of them already have it to use Disney+ :rotfl2: ), but more so just wasn’t sure how it works/what it looks like when multiple people share a MDE account. You make a good point about people averse to using the app, I know that some of my older relatives may struggle with the app.

No just no. Think smaller family groups or for your group of 14 how many of them are comfortable working with technology and using smartphones. The system does support that complexity of linking 14 separate MDE accounts but it is simply not needed or required. Check with your group and decide how many MDE accounts your want's to have and then you work with this smaller group to link their MDE accounts, making sure you resort reservations are linked based on who is in each room reservation.

However, my travel agent advised, “Also, before you make these reservations, all confirmations must be entered into the MyDisneyExperience App so each person can be included in any plans. Wow that is some bad information from your travel agent. They may be a great for travel information and even traveling knowledge but don't try to manage a group of 14 by using only 1 MDE account.

How many rooms will your group have?

You should have at a minimum of 1 MDE account per room. Here is an example of what will likely happen to your group, and this happens often, your account gets locked by a simple mistake by anyone. Nobody can manage your group until Disney is able to unlock your 1 MDE account.

Check with your group and let us know when you have more specific questions.

Dave

I would have each family create their own MDE account. Their account would be in one adult’s name with the other adults and children listed as F&F. Then you link to them via those MDE accounts - link to the managing adult first, then to the rest of their family through them.

Once everyone is listed in your MDE F&F, you will check each name in your MDE to connect them to relevant activities such as ADRs and LLs. For hotel reservations, if they’re staying in the same room as you are, you add the confirmation number to your MDE and then check off the relevant F&F, and it will show in their MDE. If they’re staying in a separate room, they need to link the confirmation number for that resort room to their MDE, then check the relevant F&F who are staying in that room.

I agree with @Dave006 - if some members of your party belong to a separate family group but won’t be comfortable managing MDE, you can include them in your F&F as profiles you manage directly. But if they’ll have their own resort room, you’ll link only their names to the confirmation number for that resort room.

Just for added context, everyone going to WDW in my party is an adult. There’s 2 people per room, 7 rooms total.

OP, You don't say how long your trip is, but if it's more than 1 day, a day when everyone in your group would stay together and do everything together, then, realistically, different people are going to want to do different things.

Unless you have some super-Luddites in your group, it'd be a good idea for everyone--or at least every couple--to have their own MDE account. Certainly, you could have everyone in your friends & family list, but that doesn't mean that everyone would have the exact same account. I think that's a recipe for disaster.

Someone--even a tech-savvy someone--could accidentally delete an ADR or LLMP, or whatever, and they might not even realize they'd done it. And, the obvious: It's highly unlikely that any group of 14 people, no matter how close, would all want to do the same thing at the same time on a several-day-long vacation.

I travel with a group of two, including myself. That is my maximum number of people I want to vacation with. My sister and I each have our own MDE account and we are each other's friends + family. We split up the LL selections on selection day and book our ADRs while emailing back and forth to see what the other person has. This would be nearly impossible with 14 people.

One last thing--and it's probably too late to do anything about this--but I'm guessing that you booked all the rooms. This is something that should have been done by each couple (are they couples?) individually. 7 reservations, not 1. That way, if someone can't come for any reason--and things do happen--they would be responsible for canceling, rebooking, etc.

And the best advice in this thread is from Dave. He knows what he's talking about.

I agree with @Miffy - one MDE per room, unless neither person could handle MDE.

Hopefully there are 7 resort confirmation numbers, one for each room, not one confirmation number for 7 rooms.

There are!! I only called and booked for myself and my boyfriend. So the only confirmation code I have is for myself and him.

Separate mde accounts make it much easier to manage separate payments, so that might also be a deciding factor for your group.
