Reservations for a very large group.

What is the best way to make reservations for a very large group. We are going down next may for a baseball tournament we are wanting to have one meal together that we pay for with money raised. We are thinking Trails end buffet and then let the team go to the Chip and Dale campfire afterwords. Should I call and try to make reservations for everyone or should I set a time and let each family attempt to get that time at 180 days. Also thought about Mickey's BBQ but hated to pay up front for that many people in case someone changed their mind the day of about coming as it will be the arrival day for some and I know how arrival day ADR's can go.
 
How large? There may not be enough space left for everyone.

It really depends on how important it is for everyone to eat together. If you let everyone do their own you know some people just won't or won't be able to get one. If it's important then call yourself.
 
I was able to make several reservations for 16 people by calling right at the 180 day mark. Good luck!!!
 
I would have one person make the reservation for the whole group since you want to eat together. If you let each family make their own reservation, inevitably someone will procrastinate and won't be able to get a reservation. Since it is for a baseball team and their families I am assuming it will be a very big group so you can call the dining line and ask to speak with Group Sales & Dining.
 

I would definitely make one reservation. Call the dining reservation number prior to the 180 days and explain to them what you are trying to do. More than likely they will give you the number to the restaurant manager (depending on your group size [i.e. 20+]). I know at Ohana's if you have a very large group they make you take the very first seating time when they open or the very last seating time. Also, you may want to plan something through Disney Catered Events. We did a breakfast at Animal Kingdom that was a breakfast buffet (eggs, sausage/bacon, biscuits, fruit, etc.). They closed off the Tamu Tamu courtyard for our group of 30 for an hour and a half. We added a Mickey waffle station ($9.50 per person) and a safari ride mix-in (they have a guide take your group to the front of the line and ride the ride) for $15 per person, but the total ended up being right under $2k (not sure what your budget is) and you can generally add or take away people within days of the event. Your guests would not have to have admission to the park to do this.

1) Call 407-WDW-DINE and ask for the restaurant, due to a large group ressie.
2) The individual eatery will make the arrangements for you, if there is room on your dates.
 
We will be a group of around 40 if everyone decides to go. I wanted to do something with characters But breakfast will be out since we will be playing ball in the mornings. I though this would be the cheapest way to go to get a meal and characters though not together and easier to get than chef mickeys. There is also lots of other stuff i figured thd boys would enjoy at the fort like the horses. Princess meal at 1900 park faire probably wouldnt go over well with a baseball team. Isn't there a character meal at the Swan or dolphin? We never go there because we always do the dining plan but this will not be on the dining plan.
 
That's an awful lot of people to swamp one thing like the Chip and Dale campfire. It's really not that big. I know lots of people do attend that aren't staying at Fort Wilderness, but I don't think it was created in mind to be an attraction for large groups like that.
 
If I want to make a reservation online and do not want to prepay (I realize this excludes some restaurants), what is the max group size?

Only about half of those are kids. The adults won't be fighting for time with Chip and Dale. That is the max group size anyways. I'm certain some will not feel like doing anything after traveling or will want to be in a park anyways.

There is a character buffet restaurant at the Swan resort called Garden Grove. It depends on the day of the week with what they are serving (some nights are seafood nights, others are BBQ and Mediterranean nights) and the cost (ranging for adults between $29.99-$35.99 and children $13.99-$16.99). Goofy and Pluto appear nightly and Chip and Dale appear on Fridays.

Another idea is you could always order pizzas from Trails to Go (next door to the Pioneer Hall in Ft. Wilderness; large pepperoni $15.49 and large cheese $13.99) and get drinks (either from the little grocery store at Ft. Wilderness or from an outside store if you have a car) and take them to one of the picnic pavilion areas around Ft. Wilderness. Hope y'all have a great time whatever you decide to do!

I actually disagree with this. I used to work at Fort Wilderness and they bring in boy scout camps and a variety of other large parties. They can handle the crowd. Plus, Campfires are open to all WDW resort guests, not just those staying at Fort Wilderness! I think the campfire would be a great activity! Have fun, OP!

Thanks! I think it will be just fine if we do go too. It would be on a Wednesday or Thursday night so I'm sure not as crowded as a weekend anyways.
