How soon before our arrival can we do online check in and where do I find the link? Am I contacted via MDE when it's time to be able to do this? Should I even bother doing online check in if we need to go to the desk anyway to get DH birthday button?

You will get an email when it's time to do online check in. Just click on the link. You can do it 60 days before arrival. You get another email about a week before to recheck and confirm. I got that email 6 days ahead. Of course you can just wait to check in when your arrive.
