Old Key West and guests of members

Just got back from a stay at OKW. About a month before our trip I called member services to make sure all guest names were on my reservation and that it was noted they could check in prior to me getting there.

Thursday morning I get a phone call from my friend saying OKW would not let her check in - that her name was not on the reservation. Mind you, she also had a copy of my confirmation but since her name was on on it, she couldn't check in. Since it was a weekday I immediately called MS. MS said her name was on the reservation and there shouldn't be a problem. Since there already was, I asked that someone call over to OKW (which they did).

When I finally got there, I got the same CM who checked in my guest. She told me that we (members) should call OKW a few days prior to our arrival and they will "note" guest names on the reservation and the info that they can check in before we get there.

I have a problem with this. If we are putting the names of our guests on the reservation to begin with, why do we need to call OKW too.

This is the second time this has happened to guests of mine at OKW. I have not had this problem with BWV.

Sorry you and your guests ran into this situation. It does sound like that CM either needs some additional training or a procedure/process is broken. If you haven't already, consider sending the details to Jackie Lueders. Here's a copy of a post by Judith M that talks about Ms Lueders' role within the DVC:

I cannot stress enought that DVC CMs DO CARE about what we think, how we feel, our suggestions/comments, etc.
 
That is really a situation that could be a nightmare. We've been lucky it hasn't happened to us. We travel from a different state than MIL and FIL, who have stayed with us at OKW since we joined in 1993. They almost always arrive before us - they start out flying at the crack of dawn almost every year.
Anyway, we have never had a problem with them checking in. It may have to do with them having the same last name, but I don't think so, since FIL is very careful to tell the CMs that he is not the member. Here's what we do:
1) Have their names added to the reservation and send a copy of reservation to FIL and MIL.
2) Make a copy of our DVC card and make a note on the copy that they may check in before us, then we sign it before sending it to MIL and FIL.
3) We have sometimes sent a fax a few days before we are due to arrive, listing our reservation number(s), preferences and MIL & FIL names and that they may be checking in before we arrive. We haven't done it each time, maybe 2 or 3 visits. I can't remember if we did for our last trip in March 2002 or not.
 

We've never had a problem but I know in the past some info got cropped off the confirmation when it was sent over to the resorts. Things like multiple requests as I think only 2 come up on the screen. At least that's what I was told a few years ago, I don't know how accurate it is or if it could have changed over the past 2 or 3 years.
