My Experience With Modifying Our Existing Reservation To Include Free Dining

Probably the most non-magical moment I've ever had with Disney. Here's a bit of background before I get into the conversations we had with two CMs yesterday. My wife is a school teacher & we had planned our trip over Fall Break (10-8 through 10-15). With her job, me being a professional firefighter & having our two boys (one of which will be in the 3rd grade at the time of the trip), we have to be pretty selective of our vacation dates & don't have much wiggle room. We wouldn't have actually arrived until 10-9 (Saturday) because we drive through the night. I always reserve the extra night on the front end so when we arrive at 4:00 am, we have a room instead of waiting until 3:00 pm check-in. It's worth it to me & has never been a problem. We had already paid our vacation in full & were kind of hoping we'd catch a promotion or a PIN.

Fast forward to yesterday. I get an email saying that Free Dining has been extended, however, our dates are one of the "blackout" times. I figured why not add another night onto the front end (10-7) & then Free Dining would be included throughout our vacation. Maybe I'm technically abusing the system but hey, I'm trying to save money & would be paying for 2 extra nights total that we wouldn't have even been there. We go to Disneyworld every year for at least 7 days, stay on property, etc. & have never caught a break so do I feel bad about manipulating it to work for us? Not really. Regardless, I was at work & with the possibility of having an emergency call & having to hang up mid conversation, I had my wife call.

After a 30 minute hold she finally spoke with a CM & explained exactly what we wanted to do. He told her that if we weren't there on our check-in date that they'd cancel the reservation completely so we couldn't do that. She explained that we reserve the room an extra night every year for the reasons I mentioned above & have never had an issue in the past. She also asked how they were going to cancel a reservation that we'd already paid $3000 in full on, regardless of when we arrived. He then said, "Yeah, well...now you're talking 2 nights instead of 1 that you wouldn't actually be here. They'll cancel it. Nothing I can do for you." So first they'll cancel it if we're not there until the day after our scheduled arrival, we explain that that's never been the case & then it turns into okay...but with 2 days they will? My wife voiced her displeasure & he asked if she'd like to speak with a Supervisor. Of course she did. 15 minutes later a Supervisor is on the line & is basically saying the same thing. So my wife says, "So if our reservation starts on 10-7 & we're not there until early in the morning of 10-9 they'll cancell my pre-paid reservation but if I'm there early in the morning of 10-8, everything is fine?" The Supervisor confirmed this as being true & my wife told her to do it & we'd get there on Friday somehow.

All in all, we got back $500 & got an extra CS & TS credit that we can use on 2 meals that we were going to pay for OOP. It's worth it but it was a HUGE hassle. We're part of a Grand Gathering & our other party called & were treated wonderful...no issues at all. Other than wanting to rant a little, I thought maybe this would be helpful to someone so they know what to expect & that's the only reason I posted this.

Since the other members of your party had no problem making the change that proves my point about the inconsistent CMs. If I don't get the answers I looking for I call back until I get what is accurate. You can call five different CMs and get five different prices, deals and answers.

I think the reason that you have had no issue in the past is that you have checked in during the middle of the night, before the system resets for the next day. You mention usually getting there around 4:00 am.

When the system resets for the next day (around 6:00 am or so), any reservations "not checked in" by that point, from what I am told, would be cancelled.

So, even though it was early in the morning of the next day, you were still checking in to the system before it was "technically" the next day of check in.

I think you'll be fine arriving late but I would call the resort that day and let them know you are running late and will arrive at 4am whatever day. When people run into trouble with their flights and get there late I've never heard of the whole trip being cancelled. We switched our reservation as well and rather than doing a split stay with a weekend at Universal in between it was actually cheaper to get one room the whole trip and just not stay in it while we are at Universal (wanted the front of the line passes) so I'm thinking I need to leave a note for them in our room that we aren't missing/dead just away for a night ;)
 

We'll call en route to touch base with the resort & the system reset thing makes sense. I guess I'm just kind of dumbfounded at how they'd cancel someone's pre-paid reservation, regardless of when they checked in.
 
What about online check-in? Couldn't you do that on 10/7 or 10/8 and just pick up the keys when you get there saying you had engine trouble and your car borke or something?

FWIW, I completely side with Disney as far as cancelling no shows. IF you stay in contact with them and let them know you're still coming but got "delayed" for some reason, that would be different. but to just not show up for a day or two? Nope...I agree they should cancel your reservation for that.
 
I think, Disney understands that not everyone is going to arrive from travelling to orlando at normal hours, and wants to accomodate people who may arrive overnight. However, if you are going to be gone a full 24 hour period before you get there, that's another thing entirely. Yes, you'd have paid for the room.... but to Disney, that's a full 24 hour period that they could have had someone ELSE pay for the room....someone who would have potentially have been in their parks spending more money, that day.

I'm not trying to argue, just explaining a possible reasoning, not that any of it justifies any rude CMs. I understand your frustration with the codes- I was bummed, too, and I can't even get the "check in date = whole trip under code" thing because my flight doesn't arrive til the 18th.
 
Ok here's our issue. We also added a day at the front to take advantage of free dining. My dd and I will be there that day came He!! or high water however my ds and dh and dsf might not be able to arrive with us until the next day. I understand that they will give me and dd our KTTW but would they also give me the guys or will they make them check in the next day and if that is the case will I lose free dining or will we all get to keep it since dd and I will check in with the time frame

You shouldn't have a problem.

All of the meal credits are applied to your room key and as long as everyone in your room has purchased the same park ticket (i.e. at least 2 days) you should be fine. It happens all the time that parties travel separately and if one of your parties is delayed getting there it shouldn't be a problem, as you will be checking in for the full party. I did this last year, with free dinning. My sister didn't arrive till later and I was allowed to check in and get her room key. If you are worried about getting their keys without them, you could always check in online and when you arrive all the keys will be inside your welcome envelope!
 
How does online check in work? What is required to be shown at check in at the Hotel if you have done online check in?
 
Yeah...I had planned on doing online check in via my Droid on the way down & I'll still call & let them know we were "delayed" & will be there in the early am. Thanks for the input guys.
 
Unfortunately, you are going to encounter that most hotels work this way. I have had quite a few clients who like to book the night prior to arrival so they can get into their rooms immediately. This is especially true when taking the overnight European flights or very early flights to the Caribbean/Florida. I always make sure that the resort knows that the clients will not be arriving until the next morning so that the reservation will not be cancelled. That all being said, I know that if a client did not show up for the reservation within 24 hours (or contact the resort) their reservations would be cancelled. This is true of every hotel company I know. This is really important when there are airline delays due to weather,etc. Even if the entire reservation is paid for, they will cancel the reservations, issue whatever credit is due, and resell the room. They have the right to do this if you do not contact them. Everyone should remember that if your travel plans go awry and you will not be arriving until the next day, it is IMPERATIVE that you (or your TA:goodvibes) call the hotel and make the necessary changes. I will tell you that Disney is extremely understanding during these situations. I had to make numerous changes during the snowstorms this past winter, and Disney did not once charge my clients change/cancellation fees, etc. They could not have been more understanding or willing to work with me and my clients. That is the reason I work with Disney Travel sooo much. I wish I could say that the cruise lines or other tour operators were as understanding :confused:
 
I don't understand why you found it to be a hassle when you said yourself you are working the system. Right or wrong, not my call. However, just because you got cm's that were following their companies rules, doesn't mean they were somehow wrong or not magical. I'm sure you didn't exactly make their day either and since you saved a load of money, I think you came out pretty good. I'm glad the CM alerted you to the possible cancellations instead of just doing the change like your families cm. Think of the lack of magic if you'd shown up and the ressie wasn't there.:scared1: Have a great trip and glad you were able to work it out.:wizard:

I was only posting my experience so others would know that it wasn't very cut & dry.

It's still a big deal. There's a real chance you will have your reservation cancelled.
