Magical gatherings

Has anyone had experience planning a magical gathering? We are planning on 2009 gathering that will include probably 11 or as many as 14 and we are thinking of the least expensive way to go. I am thinking of planning the lodgings, perhaps 2 or 3 cabins at Ft. Wilderness, or two villas, through packages with the DDP. We will have ages ranging from 75 through 2. I think it will be fun but I need to make certain that we are not over spending and that when we get there no one will have any huge expenses unless they want to, LOL.

Any suggestions, plan ideas, etc. will be greatly appreciated.
