We have been on numerous Disney Cruises before, but never with another family. We have linked reservatikns with my in laws on our upcoming cruise. What exactly does that mean? Do both cabins have to do online check in? Can one cabin book port adventures for everyone? Will we automatically be assigned to the same table for dinner?

It means they will seat you together for dinner and that if you allow it they can pick up yoiur kids at the club etc. You do not need to vheck in together and you can sign up for things independently.
 
Last year I made reservations for 3 cabins and we were all linked together. When it was time for online check-in 75 days before (or whatever time frame it was) only 1 person could be signed in and check-in/book excursions, nursery time, PALO, etc. I think I could book excursions and PALO for the other cabins, but I think they had to sign in for PAT and to check in their kids.
My friend and I were on the phone and took turns signing in:)
 

Yes, if you are linked then when you go under your reservation online, you can get into theirs. You need their reservation number and one persons birthday. You can set your excursions at the same time, sign up for nursery, etc. I always handle the reservations for our extended family when we go and sign everyone up for what they want. I also put their credit cards on their room.
 
If booking port adventures/dinner, you can book for everyone only after each persons booking window opens. We have traveled with my parents on 2 cruises, we are Gold CC and they are Silver CC. When I log in the first night you can book port adventures for Gold level, only my wife and kids are able to be selected, and I see my parents names listed but they are greyed out. I get a warning that I cannot book for all parties until the booking window opens up. Once my parents/Silver level opens up, they become active on my account and I can then book things for them. They do come up in the child registration right away so they can be added to check in/check out our kids.

They other room needs to do that on their own. I linked our reservation to two other cabins. I was able to add people to dinner ressies at Palo, but I could not check in for them. We each had a slightly different port arrival time (within half an hour of each other) but it honestly didn't matter. By the time we arrived at port, they had already called all of our boarding numbers so we all boarded together.
 
Because you have cruised before your booking window will open before theirs. You only will be able to book your PAT and port adventures when your booking window opens, once theirs opens (if it's their 1st cruise it will be 75 days prior) they ( or you can) can book their PAT and port adventures.
Your linked reservations will make it possible for you to sit together at dinner.

Also, if the accounts are linked, other than activities, port adventures, Palo etc - what can the other family see? For example if I'm linked in with our friends, can I check all their personal information as well such as address, dob, on board credit info, prior sailings etc?

You can't see private information but for dinning you need to be linked as well as port adventures booking.
