In college we ran a speech tournament every year, we had close to 500 people we fed between Friday late afternoon and Saturday night. We made it work with a team of about 5 of us dedicated, and a few shift helpers.
Friday afternoon - We did barbecue beef sandwiches with the meat on the heater. We had rolls, pickles, onions and extra sauce on the side. We had fresh veggie trays and chips (potato and tortilla) on another table. That table we kept stocked until about 10:00 that night. The sandwich table we ran for about 2 hours, which was enough time that anyone who was going to eat could, then we put out cookies, juice boxes (we didn't do carbonated drinks - bad when you are going to be speaking!) and water bottles.
Saturday breakfast we did breakfast casseroles, which we cooked and then put in disposable trays. We had an oven we could use to heat about 4 at a time, and they only needed to bake for about 10 minutes, we got two sets done, and then started serving. We then baked 4 more continually and had hot ones coming out every 10 minutes, again for about 2 hours. Our other table had hot water with cocoa mix and tea, oatmeal packets, bagels and cream cheese and whole pieces of fruit, along with our juice boxes and water.
For lunch we did hot dogs which we kept warm in large crock pots, and had chili and Fritos too. They could do hot dog with chips, chili dogs or Frito pie. We bought big bags of grated cheddar cheese at
Sams Club, and put out onions, catsup and mustard, along with pickles. More fresh fruit along with the same drinks.
For dinner we called Olive Garden, got big trays of salad and lasagne, and penne in alfredo sauce with breadsticks. More fruit and drinks, and we put out monster size cookies, because that toward the end of dinner everyone was pretty much finished with competition, there were only a very few still going, and then our awards presentation.
We didn't sleep much Friday night, but it was well worth the thanks and praises we received. Everyone was very grateful and appreciative.
