Hotel Room Assigners??

Howcome if the resorts have a person whose specific job it is to assign the rooms to the guests before the guests arrive, why then, when you arrive at the front desk at check in, does the desk clerk search in the computer looking for an available room to put you in??? Everytime I go and check in, they "search" for a room for me that meets my requests, etc.

I had thought from a friend of mine- that a week prior to your stay the computer downloads the info and assigns the room. Just a example I had put in a request for a certain part of the resort- when the info downloaded the person was going to put me there- she said no put them in here. ( we had a group of us she was trying to get us side by side and near the pool) the person goes well I hope she doesnt get mad when she checks in. Of course I didnt since she always has us in a good spot..

Okay, this is just a GUESS on my part and could be way off base.

Since we know people put in requests and that people seem to have better luck getting their room requests if they arrive earlier rather than later, I had imagined that you were assigned to a certain block of rooms rather than just one specific room. So as you arrive you get the rooms that are still open. Again, this is just the thoughts that go through my head. I've only been to DW once so I'm no expert.

One of the reasons may be that the assignment is done 3 days before you arrive. In the hotel business, many things can change within those 3 days and sometimes your room assignment can vary depending on what time of the day you check-in. For instance, if you arrive early, your assigned room might not be available and the CM can easily search through the already cleaned rooms for an immediate availability. Depending on the occupancy rate at the resort, I think the CM's have a fair amount of leeway when it comes to assigning another room at check-in.

We actually had the opposite happen to us at the YC though. I had requested a room with 2 queens and a daybed. When we checked in, we had only 4 guests as my daughter wasn't arriving until the next day. We ended up being placed in a room without the daybed. Because of the lateness of the hour (12am) we took the room and I thought I would just straighten it out in the morning. At 7am, I went down to speak with the concierge staff and she told me that because the room assignor was not scheduled to be in that day, she couldn't possibly have us moved . I found it hard to believe that a resort that runs 24 hours a day, 7 days a week, 365 days a year, had to rely solely on this one room assignor.

When I stayed ar POR in Feb, when I was cheking in and the desk clerk was :looking" for a room for me, she said, "ill put you in Magnolia Terrace" (I requested a plantation room) and then she said their was a corner room avail with two windows on the first level so she gave me that. Maybe they do assign before hand, but maybe if you arrive early, they will loook for a "better room"?? And the previous yr when I staed at CBR, same type of thing..she said she would put me in Jamaica because that was near the food court and shops, and then she said she would give me the "Quieter courtyard view" I figure since I am an adult and staying solo, she probaly thought i would want something quiet..and she was correct on that assumption.

Not every room is pre-assigned. Requests for general things like non-smoking or close to lobby are assigned from the room pool at check in. Room assigners for most resorts (who are actually regular front desk CM's who rotate the assignment) will only pre-assign things like connecting rooms, handicap or special (out of the ordinary) requests.

Keep in mind that too that all resorts have the discretion to handle these things differently. What is done at one resort is not necessarily what is done at another.
