Help with writing a letter

I am never good at writing: My boss is looking at hiring someone in our group but would like other importatnt people in our company to meet with this candidate. I have to send out an email but I'm not sure how to make it better-Any ideas:

We have identified a candidate for the Credit Analyst position for Mr. Smith whom we are very serious about and would really like you all to meet. He will be at our New York, NY office from Monday, Sept. 19th through Wednesday, Sept. 21st.

Please give us your availibilty so that we can schedule a time for you to meet with him.

OR

We would like to schedule a time for you to meet with him at your convenience while he is here. Please give us your availibility so that we can schedule a time for you to meet.

When setting appointments it is easier to give the people you are writing to specific times to pick from otherwise you get a hundred different responses. With that in mind I would say...

The prime candidate for the Credit Analyst position under Mr. Smith will be in the New York, NY office from Monday, Sept. 19th through Wednseday, September 21st. Mr. Smith would like for you to meet CANDIDATE'S NAME. We are considering the following dates and times for that meeting: LIST DATES AND TIMES. Please let me know whatmeeting time is most convenient for you. Thank you.


And then pick the date and time that the most number of people respond with. Amazingly enough everyone else's calendars should open up for that same date and time
