Help me plan this reservation...

I did this last Dec and it didn't work so well. It was a combination of poor front desk service and a complicated reservation on my part. We are going in Oct to WDW (YEA!) and right now we have a studio reserved. My in-laws are thinking about joining us for a few days - OK, no problem. In that case, we would like to have a 2 bdrm for the time that all four of us are there, then have a 1 bdrm for just DH and I.

Here's what I know:
It will be listed as 2 reservations, one for the 2 bdrm and one for the 1 bdrm.
I know that there is no guarantee that we will not have to switch rooms.
My IL's will be listed on the reservation - but do they "check in"? Will that confuse the front desk?

Does that sound right? Is there anything else I should be concerned about? Last time things went awry when I had four people there, then two more check in for the weekend. It was not good.

Assuming you will arrive before the ILs, you can check everyone in when you arrive and pick up all of the room keys, so they won't need to check in.
 
Are you staying in each of the rooms and the others are your guests? If that's the case, just you have to check in and get all the keys and hand them out. We have never had any problems doing that. I might not be completely understanding your question.

We always check in for everyone.
 
had a 2 bedroom, went to a 1 bedroom...

We checked everyone in - they were at the Parks:)..and when they left, we didn't have to move rooms..MK just locked the adjoining door...and we got new room keys - if I remember correctly.

Only issue was room charge...we gave my parents the non-charge keys;)

If oyu two are going to be there first in the 1BR, you would check in for that. You might want to tell MS that you will be needing to a 2BR on X date, & maybe they will be able to plan to put you into a 1BR with a studio lock-off, so when you are starting your 2BR stay, you can just expand into the lock-off studio next door. Then you wouldn't have to move all the food etc. You'd probably have to get new keys, or at least additional keys though. They try to do this expand thing when possible, but they don't guarantee it.

As far as the check-in process, on the day you are moving to the 2BR, send one person (preferably the DVC owner) to do the check-in thing. All parties staying in the unit do not have to be physically present at check-in.

I think that's your question.

If our guests are arriving 3 hours before us will they be able to check in even though we are not there yet? :confused3

Yes - as long as their names are on the reservation. If the reservation only has your name on it, they will not be able to check in.

Thanks for the advice. Last time things had already gone bad by the time my second set of guests arrived. We went through 30 room keys, for 6 people - they reprinted our keys THAT many times. So by the time we had to do the check-out/check-it for the room downgrade, tempers were running high. They actually canceled our ressie at one point and rebooked it - USING MORE POINTS - it was that bad.

I am thinking we will go from 2 bdrm to 1 bdrm, so just locking the lockoff door makes the most sense (but they won't guarantee that you won't have to move rooms).

I need to get on DH to see if his parents are coming so I can do this!
