Delivering Welcome Bags......

Ok, I need to hear how people delivered thier welcome bags to the hotels. I am trying to do it as efficiently as possible. I am shipping the bags down ahead of time to my future SIL house and I plan to pick them up the day we arrive, stuff the water and snacks in and deliver them to the POR-FQ and All Star Movies.

I made tags up for my bags that will have the guest name, arrival date, hotel name and reservation#. I figured it would help the front desk out.

Also did they charge you for distributing the bags?
 
We just went to a wedding in Disney a few weeks ago. The bride did the same thing you did with the tags on the bags. She went to the front desk of each hotel and spoke to whomever was the manager on duty. She said that they had put a note in the computer for each reservation # that she was dropping a bag off for that there was a package waiting for them at the front desk. This was SUPPOSED to make it so the CM checking them in would notice it and get the bag to give to them. In some cases this worked....in others it did not. There were more than a few bags that people had to go back to the front desk to specifically ask for b/c they had not been given them at check-in. At least one bag that I know of was waiting in the room when the family checked in. It seemed like a bit of a hassle for the bride, making sure that everyone had actually gotten their stuff. She did not get charged any delivery fees or anything like that.

If you plan on having them handed out by the CM's at the front desk as she did, I would definitely reccommend telling all your guests ahead of time 'make sure to pick up your welcome gift at check-in'.

So as to us, we are not quite sure yet what we are going to do about deliving the bags for our wedding. I don't really want the headache of calling around to make sure everyone got their bags, but I'm not sure how else to get the stuff to everyone in an efficient manner, unless we have some type of welcome gathering or something like that. Anyone else out there with suggestions on this?
 
I'm giving them out at the Welcome dinner. My parents did this for their Vow Renewal trip and it worked great. But I only have about 30 to hand out.

That’s what we ended up doing...ours was more of a weekend itinerary then gift bag, but it had the basic stuff...

When i talked to the planner they went on and on about how busy the front desks can be and how they cant guarantee our guests would get it...
Just seemed easier to hand it out at dinner
 

I am doing as dvcgirl49 suggests. I will put a tag w/ all the info and give it to the manager but I am sending out a last minute newsletter 2 weeks before the wedding and I will mention that people should look at out for a package at check in!
 
I am really nervous about this, but we are planning on making our own and have the hotels give them out. I hope it works! We were going to do bags through Disney Floral, but wasn't too impressed with the prices. However, we are ordering a surprise treat for my parents from them . . . hope my Mom isn't lurking on this board!
I think it's a great idea to send out a newsletter and tell the guests they should expect a delivery. Ingenious! Saves time/energy! :wave2:
 
For my wedding in Nov, we made tags with the guest's names and res #'s. The CM at check-in made notes in everyone's file. I also made a point to tell everyone, just in case the CM's at front desk forgot.

All my guests received their bags without having to ask. Keep in mind though, there were only a total of 8 rooms for our intimate wedding. We stayed at the POR.

I am going to agree with most of the other posters....if it is possible give them out at the welcome party...rehearsal or something else. This was our onyl area of trouble and it was a big deal. A LOT of our guests did nto get their bags even thought we labeled everything even down to resevrations numbers. In all cases the cm made a "notation" on the guests resevrations and sure enough at both the Caribbean Beach and Grand Floridian no one got their bags. Lukily we had informed everyone to expect one on arrival and if they did not get one to call us. We went to each hotel a second time to find out what happened and in all cases the bags were still sitting there and no one knew why. It went as far as the GF telling us they lost all the bags.

This is not to discourage you at all but to give you a heads up that it does not always go smoothly.
 
We delivered our bags directly to the resort along with a printed copy of all the reservations for that resort so that they could easily enter the information without having to look at the tags. The only problems we had were at the Value resorts - the other resorts were good about handing them out or putting them in the room after the guest checked in. We did have minor issues if more than one bag went to the same room, but those were sorted out quickly.
