Complicated Stay, How to Book?

DD2 is going to a conference at WDW in June. We impulsively decided to also go prior to a planned trip to Cooperstown with DS's baseball team.

We are looking at:
DD2 to conference June 18th
DD1 joining me in WDW from June 20th (2 in room)
DH and DS joining us from June 23rd (4 in room)
DD2 finishing up conference June 25th (5 in room)
DD1 leaving June 26th (4 in room)

Questions: DH is the AP holder. Does he have to be there to get an AP rate? Do I need to book split stays? It wouldn't be so bad if not for the few nights needing a room for 5. Tickets are not affected by all of this?
 
Agree with the PP - I am usually asked to show AP at check in and wouldn't want to risk it, they sometimes give you until the next day but that is too soon as your dh won't be there yet.

I would book a moderate or value for the first few nights and then move to a mod or deluxe that sleeps 5 when your DH arrives (with an AP discount if available!) for the remainder of your stay.

Bell services will transfer your bags if you like but it takes all day so plan accordingly, we just hit a park and return after check in time to the new resort.
 
Are any of your family Disney adults other than DH and you? Be aware that you will need to let the resort know when additional people join you in the room. there is a fee for additional adults above 2. If the children are not Disney adults, so much the easier. Forget what I say about extra adult fees.

First off, I would book room only. Easier, IMO.

i agree that the best plan is a value or moderate from the 18th till the 23 for you and DD1. Book a GP discount. Then get a room that sleeps 5 with DH's AP (discount), booking the 4 of you in there up front. When DD2 finished the conference on the 25th, go to the front desk at the resort and have her added to the reservation, noting that DD1 is leaving the next day so you only need to pay for her as an additional adult (assuming DD1 is an adult too) for the one night. When DD1 leaves on the 26th have her removed from the reservation and check that you are only paying for any additional adults above the 2 allowed for the remainder of the nights. (e.g. 4 not 5 adults)

It does require going to the front desk a few times as people come and go, but you can just stay where you are as long as everyone is good to stay in one room. DS would need to sleep on the daybed, but these are quite comfortable in the deluxe resorts. Both DD's would sleep in one queen bed and you plus DH would sleep in the other queen bed.

They will ask at check in to see the Annual Pass. So that may be a problem.
Now that they don't give you an "Annual pass card", what did you show them? Do you just have to pull up MDE on your phone and show them your AP tied to your account? I'm a new AP holder (haven't activated the AP yet, but it's tied to MDE) and I wasn't sent a card like they did in the past. We are heading down in a few weeks and want to make sure I'm prepared. TIA!

I have an annual pass card in addition to my magic bands, as do my daughters, that's what we use for all discounts, restaurant, resort, merchandise etc. When you activate your AP they will give you a card that can be used in lieu of a MB for park entrance and FP+. Was not aware of them discontinuing this ?
 
Thank you for the replies. This is rather an 'impulsive' trip for us. I have been looking at every scenario possible since DD2 earned her trip to HOSA nationals. Hoping for an AP room rate for the last half of the trip when DH joins us!

You do get a card. That's how you get discounts unless the cm is giving pixie dust. If you don't get the card when you activate the ap, ask for it.
