Cheap welcome party

We currently have booked a welcome dessert party at Italy Isola West Plaza that is costing about $2,000 for 36 people to have beer, wine, liquor, and mickey pretzels. Can anyone think of something that would be cheaper? We have considered doing a full-on dinner somewhere that includes alcohol (spirit of aloha or hoop dee doo) but that would actually be more expensive at around $2500.

We will have a one bedroom villa at the Grand Floridian and a 2 bedroom villa at Animal Kingdom Lodge. We have thought about just doing pizzas/ drinks that we bring around the pool area (AKL has chairs outside of the fenced area) or on the beach at the GF but if it rains, then I don't know what our back-up would be? Everyone hanging in the lobby or at a bar at either resort? Do you think this is a bad idea?

We are thinking of having everyone stop by as they arrive the first day and having some food and snacks. We are doing the dessert party the night of the wedding.

My sister had a suite at Boardwalk Villas. We just went to the local Publix bought some finger foods and booze and it was fine. One of my best friends, was even able to do a Power Point presentation that he did with a bunch of pictures we gave him. I wanna say we had about 20 people.

We had a casual meet-n-greet in the Parlor, one of the public rooms in the lobby of the DVC wing of the Beach Club. Nobody else was in there or even came by, and it gave us a place to hang out and chat for a couple of hours. We scheduled it between meals because we couldn't afford to feed everyone, and lots of people grouped up at the end and went out to eat together.
