Cancelling one room and moving people around

Our trip is scheduled for August 19, and yesterday DH had a heart attack and needs bypass surgery. We booked the free dining bounce back and have a room in my name and a room in DH name.

In my room is me, DS1, and DS2. In DH room is DH, DDIL, and DGD. Trip is paid for and all ADR's and FP are made. Obviously DH and I won't be going. DH and DS1 were just going to switch MB so DH would be with me and DS1 would be with wife and daughter.

The whole family was looking forward to the trip and I really don't want to disappoint the kids. Can I call Disney and cancel one room and move everyone into the other room? The problem is the rooms are in our names and we won't be there and we booked bounceback which is the reason we are both in separate rooms.

I'm pretty sure that Disney would refund us for our portion of the trip, but don't know if they will be able to move everyone into one room in DS1 name.

Also, what happens with our Southwest tickets. Under the circumstances will Southwest put our portion of the airfare into travel funds for us?
 
I would call. I am not sure that you can "transfer" the reservation to someone else given that it was a BB offer/ You are also inside of your changes and cancellation period, I believe so that may impact your ability to cancel a room without penalty. I believe the best way to get accurate information under these circumstances it to call and see what Disney can do.

I agree with Nancy56 that I'd call and explain the situation. If the CM can't do anything, ask to speak to someone in guest services as they can sometimes make changes that a regular reservation CM can't. It's not guaranteed that guest services will do anything as it is a BB with both rooms in your & your DH's names, but it never hurts to ask. Also, as has been mentioned, you could be charged a fee (think it's $50) for cancelling, as you are within 30 days of arrival.

As far as your flights, once you cancel, the amount you paid (for flight only, you lose EBCI cost, if you purchased that) will be applied as a credit for future travel funds. Keep in mind that those funds are good for one year from the time the tickets were originally purchased, not from the time you cancel.

First of all, let me offer my prayers for you and your husband. Having dealt with open heart surgery for my own husband a few years back, I know how stressful this is for you.

Now, on to your predicament. As was pointed out, you are already inside of the cancellation/change period where Disney normally tacks on a fee for any changes. And you have the added problem that both you and your husband are the lead names on the rooms. A sympathetic CM may be able to waive the cancellation and change fees but I don't know if they can edit the lead name on a reservation. Is it possible to leave your husband on the one reservation and move everyone into that room without exceeding the occupancy limit? That would be the easiest solution but you would still end up paying for a ticket for your husband. Since you have to call one way or the other, just explain it all to the CM and maybe they can get some pixie dust to blow your way.

I hope it all works out for you and that your husband has a speedy recovery. Take care of yourself, too. You will need your strength in order to take care of him.
 

I had to cancel a trip a few days before due to a stroke in the family, and Disney was kind enough to waive the cancellation fees and rebook us a month later. It might have been because I was rebooking rather than cancelling outright though -- is that something you would consider?

Southwest has the best cancellation policy of any airline, IMO. If you want to change the flight, the only fee is the change in price, and if you cancel, they will apply your funds toward a future trip within one year of the purchase date, but depending on how far in advance you bought your tickets, again it might be better for your to rebook everyone for a future date rather than just trying to cancel DH's ticket and room Good luck!

I am so sorry to hear about your DH :( I wish him a speedy recovery.

You need to call WDW and ask to speak with someone in guest services. A regular phone CM is not going to be able to help you with this. Typically, the lead guest's name cannot be changed, but I've had success changing the name AS LONG as it was changed to the name of another adult already on the reservation (I did this back in 2015, when I changed a reservation in my name to my sister's name).

Explain the situation to the guest services CM and tell them, it is your understanding, that a lead guest's name can be changed as long as it is changed to the name of another adult currently on the reservation. Decide whom you'd like to be the lead guest and then change the room they are currently in to their name. Then move everyone else into that room and cancel out the other room. Unfortunately, because you are within 30 days, you may be subject to a $50 fee on the changed room (but that's typically waived if the new package costs more, which it will in this circumstance) and a $200 cancellation fee on the cancelled room. The CM may waive this or, in order to avoid the cancellation fee, you could re-schedule the second room reservation to future dates.

I called Disney and got a wonderfulful CM. She was able (with the ok from guest services)to cancel both reservations and book a new reservation with all the same components as the original and put all our kids and granddaughter in the same room. She also updated ME.

We have another reservation for January for just DH and I and she was able to take the credit and apply it to that reservation. Thank you for the suggestion. It may be the reason they waived the $200 a room cancellation fee.

I called Tech support to make sure all FP were linked to new reservation but still under my MDE which I will give info to son. I was also able to order new magic bands which was great cause DS1 told me I ordered the wrong color for DGD. So now everyone has two bands.

The original CM also told me that I should call the dining line to have the reservations modified from 6 to 4 people. I have read if you have less people its not a problem with the restaurant. I'm worried that I will have to rebook if I call the dining line and won't be able to get the ones I have now. What would you do?

Good to hear. You need to cancel the southwest tickets before the flight time (I think it’s at least 10 minutes, but please check) and SW will issue you travel funds under your confirmation number. As PPs have said, you need to have completed use of the credit within one year of the original purchase.

I'm so glad the CM's were able to help you! Yes, definitely leave the ADR's. Your family will not have a problem checking in with 4 people.

Called tech support and she told me everything was fine. Well this morning I got an email that there are no tickets attached to my MDE account and if I didn't add tickets the FP would be cancelled by tomorrow! So now I'm wondering why after calling tech support to fix this it isn't fixed. I sure didn't need this today. Well it gives me something to worry about other than DH surgery.

Just to keep you updated. DH surgery went well.:cheer2:

I called tech support this morning and had everything transferred to my DS1 sons MDE account. Told me the email was computer generated and that nothing was cancelled. Then he transferred everything over to DS1 account. Assured me everything was ok. DS1 signed into his account and I was listed not DS2. At this point I was to stressed to handle this anymore so he took over and got everything fixed. Now all 4 of the family is listed in the same room, same FP, and same ADR.

Really why does it take multiple calls to get something done right? What would have happened if I wasn't so proactive?

For as nice as the CM's are that I talk to I don't do the survey at the end of the call anymore because something always ends up messed up.

My son keeps checking is MDE account to make sure everything is as it should be. I'm just really thankful that Disney was able to make the changes.:tink:
 
I'm so glad your husband's surgery went well. We went through the same experience two years ago just two days before we were leaving for Disney. It took some phone calls but everything was rescheduled. Four months later, we made two weekend trips to Disney/Universal and were definitely celebrating! After everything, we were just happy to be there.

I just wanted to say that I am glad that your husband's surgery went well. I pray that he has a quick recovery. I am also glad that everything worked out with Disney.
