When do they assign rooms?

When do they assign rooms and when do they pull room requests from the reservation system? Is it the day you check in or prior to that? Thanks!
 
Officially, DVC uses "room ready" where they assign your room when you check-in, looking for a room that meets your requests and is ready for occupancy. Unofficially, they do pre-assign rooms in some situations. I know at BWV my room is always pre-assigned. I've seen room ready used at OKW.
 
I was told that they do not pre-assign until you check in. However, I have noticed a few instances where we checked in and our cards have been printed and ready. I thought that was strange since on other occasions, they spend quite a bit of time looking for a room. I don't know if it's already pre-assigned that day or days before.

But on one occasion, the CM was explaining something to me about the computer system (don't really remember why:confused3 ), but he turned it around and showed me the screen and there was a room already noted on my account. Now, when he turned it back, he had asked if I was fine with room xxx, but that was not the one noted. Then when I said, is there anything on a higher floor, he quoted that room that I saw on the account. :confused3 Don't really know what was happening there. It just didn't bother me enough for me to say anything (and plus, I didn't know whether I was suppose to see it - even though he showed it to me).

And there didn't seem to be any difference between checking in early or late. So, I don't really think they have any procedure. I do think that they try to look at the request and possible pre assign some and not others.:confused3

The last time the whole familiy stayed at VWL, I was there a day before, so I went down to the desk around 7:30 AM to check in for the 2 bedroom. Apparently OUR room was not ready, but the CM graciously offered us another room that was just down the hall a bit from my DSis's room which she would be keeping for the rest of our stay. So, the room had been assigned, but we were able to get into a room that was already ready, so "assigned" isn't written in stone. Thank heavens. I would always be happy with a ready room than have to wait for a particular one at VWL. It's all great there!!!

From my past 11 years experience it seems to follow a pattern for us. If I make any type of request, the room seems to be pre-assigned and I may have to wait for it. If I make no request at all, the room is assigned when I arrive and there is normally no wait. This past trip we stayed at SSR with two separate reservations. The first reservation I asked for CP and the second one I forgot to ask for anything. Again, we had to wait for our room for the first reservation and it was in CP. The second one we were able to choose a room that was available right away. All I know is that I have a better chance getting a room when I check in if I make no requests.
 
For the most part it seems to be a room ready system with the exception of special needs guests and GGs.

I'm kinda with Diane on this. We've been pretty steady customers of VB for a long time, but I can't nail down what method is used and when it changes.

My theory is that when the resort has reached a high percentage of capacity booked (say 85%) it goes from RR to assigned. I expect the % of requests getting fullfilled drops as you get closer to being booked to capacity. So it would make sense to have a set point at which they say after this point we need to assign all rooms or we're not going have an acceptable number of requests fulfilled.

Just a theory though. And I wouldn't think VB is as steadily filled as the WDW resorts so maybe they would be different than the WDW resorts.
 
I tend to agree with the posters who say it depends on the occupancy. When I have gone at busy times, I often have to wait for a specific, pre-assigned room to be ready. During slower times, if the room is preassigned, it must be ready or they just assign one on the spot as I never have to wait. I always request an upper floor and a specific view, so I can't comment on whether or not a special request impacts the assignment. BWV seems to be the resort where I have had to wait the longest-sometimes 4-5 hours before my villa is ready. No waits at AKV and minimal (less than hour) or no waits at VWL, which is my home property.
 
We have always had easy check-ins (SSR,OKW,BWV). We just called DVC today as we were going Saturday, and are having family meet us at the resort to stay. They told us we have a dedicated 2 bedroom (not a 1-bedroom and a studio).

Not sure how this is set, but however they do it is fine with us, we have always had good service and good rooms!!!
 
When I stayed at SSR over Labor Day Weekend I sent a box of things ahead of my arrival. Upon check-in the CM looked at the screen and said, "oh, you have a package waiting" and promptly went to the back to get it. When she returned and handed it to me it was already marked with a room number ... the same room number that she then told me about after doing a few more things on her computer. So, in this one case, I know for sure that our room was assigned before we arrived and checked-in. All other times it seems like we have been assigned a room at check-in ... :confused3
