Waitlist filled, but did not replace reservation.

We just had a waitlist filled, but were surprised that the reservation it was supposed to replace was not cancelled and is still there. It's a good thing we still had some current points in our account for this; otherwise, would be very upset if they went and borrowed points instead of cancelling the existing reservation and using those points.

Is this common? Has anyone else had this happen to them?
 
This happened to us last week too. I noticed my balance was lower, and noticed my first reservation was still there, even though I set up my waitlist to replace my existing reservation

They would fix it if it was set up that way.
 

Does this mean that filling a waitlist is a manual process? Or only waitlists that replace existing reservations are a manual process?

My recent experiences seem to point towards the idea that matching a waitlist is or can be automatic, but the actual filling of the waitlist (making the reservation) is done manually.

I recently had put in a waitlist request (Poly studio) to replace an existing reservation (AKL studio). I also had another reservation (BWV) that needed to be adjusted. I called MS about adjusting my BWV reservation and while I was talking to them, the CM mentioned that she sees that I had a waitlist that had been matched. Just before the call I had pulled up my reservations on the website to make sure that I had the correct information about my BWV reservation. There was no sign of the Poly already being matched. I even had put through a quick search for Poly availability since sometimes you can find stuff online despite having a waitlist.

The CM asked if I wanted her to change over my AKL reservation to the Poly now. I agreed and that is what she did. From that process it seemed that if you have a waitlist, the requested room will be put on hold for you automatically. But the actual adjustment of your reservation and the taking of the points would then be done manually.

However, some time before that, I had a waitlist to add on two days to my BWV reservation and I had luck with finding those online. For me there are two possibilities that would explain this: I already had an automatically put on hold room when I found another room myself. Because I cancelled my waitlist, those rooms then freed up again. The other possibility is that because the availability that I found was for 3 nights, but I only needed 2 nights, the automatical system did not catch those nights because they only go for exact matches.
 
I also had a WL filled but original reservation was not cancelled. I know I filled out the WL form correctly. I had enough points to cover the new reservation and just cancelled the old one. I would've been upset if I hadn't had enough points and they borrowed to cover the new reservation. I would've been on the phone for sure!

The system matches and places the room on hold. Then a CM has to finalize which can vary on being done within hours or I've had some take a couple of days. If you see that the waitlist is gone from your dashboard (will still be showing on your waitlist page though) it usually means it's matched and if you called in a CM can get it finalized while you are on the phone.
 
I had the opposite problem - I specifically marked DO NOT cancel and they canceled my original room at BWV during Food and Wine!!
 
Waitlists are filled by a CM, not by the system. Many CMs search for availability for the WL, then the reservation is made. It is human error when the existing reservation is not cancelled or replaced. Just call MS and the CM will fix the VPs in your account.
