Visitors while at resort

I might get lots of angy answers(or maybe not seems my posts go unanswered more often than not) but here goes.
Myself, DH, DD & DS will be at PC in December for 9 nights, we have two rooms so we can spread out and have two bathrooms, makes it nicer. Other DS, his DW and DD(3) and DS(2) live 2 hrs from Orlando and MIGHT(stress might) get to come and spend one day with us to take the kids to MK(we will be spending time at their place as well, but DS won't but a few days off). We thought it might be easier if they could come when DS gets off work the day before (would arrive sometime after 8:00 pm) then head to park for the day, They have to return home that evening. We will not know until the last minute if they will even be able to get away for a day after we leave their place.
Should we try to get them a room at the last minute before leaving their place, or could they stay with us? We would not be over the room max of 4 per room, but they won't be registered guests either. I can see right and wrong with them staying, but am not sure what the Correct thing to do would be.
Opinions??

It is my understanding that as long as you don't exceed the maximum capacity, you are fine.

You will, however, need to let the front desk know that you will have overnight visitors so that the gate attendent will give them an overnight parking pass. Otherwise, I think the gate attendent will only issue a 2-hour parking pass.

When they arrive just let the front desk know. You are not going over the room capacity because you will have two rooms. You will have a total of just 7 people in rooms that hold 4 each. They will not charge you any extra either as you can have two adults in each room without a charge. No problem!

The easiest thing to do is to add them to the registration from the start (like now, before you even go). As the others have said, you're not over your max adults per room, so this is really a no cost no brainer

Plus they will have room Keys and be able to do EMH..if thats avalabile that day.

Is PC Polynesian Concierge? If they are going to be with you in Concierge, they will need the room keys and be registered. Concierge services/food/etc are only for registered concierge guests. If PC is not Polynesian Concierge, I haven't a clue what it is. Since you aren't over the max room limit, I'd get them registered into the room.

I agree as you are allowed 4 guests per room just add the names to your list up front and they will give you a parking permit and room cards for everyone with no extra charge. You could wait until you know they are coming but that would be an extra trip over to check them in. You are still in "good standing" with the ethics review board.

I'd add them to them to your room when and if they decide to stay.

I agree, when you get there just tell them at the front desk that you are going to add them to your room and they will tell you what to do. There is absolutely no problem whatsoever for them staying with you, you just want to register them so they can take advantage of the benefits.

BTW, do not add them to your registration until you know for sure because if you add them now, you are not guaranteed adjoining rooms, why go through that hassle if they may or may not just be staying one night.

Thanks for all the opinions. PC is Pop Century, looking forward to seeing Tyler (if he is working) when we check in on 12/23. DS says he may not know until after Xmas day if he will be able to come or not. We will be driving to their house for the day Xmas and should know then. So we have not decided if we will add them to the reservation when we check in or later??? Just wait and see what he finds out between now and then. Still have time for now. Again, thanks
